PARENT INFORMATION GUIDE: 

WHAT TO WEAR / BRING

·        Students may wear: T-shirts or tank tops and shorts OR Leotards (no loose clothing).

·        No jewelry (especially dangling pieces or rings).

·        Hair must be neatly and securely tied away from the face.

·        No footwear is required during class.

·        Please label all personal items with your child’s name.

·        Ensure your child brings a drink bottle filled with water.

DROP OFF AND PICK UP

·        Please ensure your child arrives on time for warm-up (important to prevent injury).

·        Classes finish as scheduled—be punctual for pick-up. 

·        Children need to be collected from the coaches upon completion of the lesson at the door. For safety we cannot allow children to meet parent in their vehicle

·        If running late, contact 0411 166 051 as soon as possible.


Absences & Make-Up Lesson Policy

To ensure clear communication, accurate attendance records, and the efficient operation of all classes, United Gymnastics Academy (UGA) has implemented the following Absence and Make-Up Lesson Policy.

Absence Notifications

All absences must be submitted via the official UGA Absentee Notification Form:

It is important that all absence notifications are submitted at least one (1) hour prior to the scheduled class start time.

The Absentee Notification Form can be accessed via:

  • The UGA Website
  • The Parent Portal Dashboard
  • Kindergym Classes
  • 1-Hour Fundamental Tumbling Classes
  • The absence must be submitted using the official UGA Absentee Notification Form.
  • The form must be received at least one (1) hour before the scheduled class begins.
  • The make-up lesson must be booked through the UGA office.
  • Make-up lessons are subject to class availability.
  • Make-up lessons are not guaranteed and must be used within 70 days of the missed class.
  • The absence is not submitted using the official Absentee Notification Form.
  • The absence is submitted less than one (1) hour before the class start time.
  • Parents notify coaches directly instead of completing the official form.
  • Performance Programs
  • Competitive Programs (including Acrobatic Gymnastics, TeamGym, Trampoline, Tumbling Squads and FreeG Squads)
  • Invitation-only or specialised programs
  • Private lessons
  • Any class longer than one hour, unless otherwise approved by management


This system has been implemented to replace the absence notification function previously available on the old parent portal.

Make-Up Lessons

To ensure fairness across all programs and to maintain appropriate coach-to-gymnast ratios, make-up lessons are available only for the following recreational programs:

These programs rely on consistent attendance, progressive skill development, partner and group training, and fixed coach-to-athlete ratios. As such, missed classes cannot be made up in another session.

Why This Policy Exists

By receiving absence notifications in advance, UGA is often able to adjust coach allocations between classes where appropriate. This may create additional availability for make-up lessons while ensuring that class safety, coach-to-gymnast ratios, and the overall quality of our programs are maintained.

Fees

Class fees remain payable for all missed classes, regardless of the reason for absence, including illness, injury, holidays, school commitments, or other personal circumstances.

United Gymnastics Academy reserves the right to amend this policy at any time.

BILLING AUTHORISATION

·        By making a payment or enrolling:

·        - You confirm your payment details are valid and authorise UGA to charge your account.

·        - A 30-day written notice is required to end billing.

·        - Disputed charges may lead to legal action, penalties, or termination of services.

INDEMNITY WAIVER

·        By enrolling your child, you:

·        - Understand the assumed risk in gymnastics.

·        - Release UGA, its staff, contractors, and partners from all liability for injury or damages during participation.

·        - Agree not to sue for incidents occurring during UGA programs.

MEDICAL TREATMENT

·        You authorise UGA staff to seek medical or ambulance assistance in case of emergency.

·        You agree to cover any associated costs.

FEE POLICY

·        Fees are charged by the hour, based on total weekly hours.

·        Charged by the term or remainder if starting mid-term.

·        Term rollover is automatic unless advised otherwise.

·        Payment options:

        - Fortnightly via direct debit

        - Full term upfront via portal

          - Bank transfer (must advise schedule Week 1 of each term to re set up)

·        All fees due by end of Week 3.

·        10% late fee applies if overdue.

REGISTRATION & INSURANCE

·        All gymnasts must be registered with Gymnastics Australia.

·        Registration must be paid by the third lesson.

·        Price set by Gymnastics Australia (with processing platform fee added and any applicable fees and charges).

WITHDRAWAL POLICY

·        Notify UGA via parent portal or email:

·        A 14-day notice is required for withdrawals.

·        Classes during notice period must be paid in full.
