Ultraflex Dance Academy offers weekly term-time dance tuition, opportunities for students to participate in annual events, and represent the Academy in community events. By enrolling at Ultraflex Dance Academy, you agree to adhere to the School Policy detailed below, which forms part of the Terms & Conditions of our contract.

School PolicyJoining Ultraflex Dance Academy

• Classes are purchased in a minimum block of 8 weeks (This may be less depending on the length of the term or where you join in the term). 

• Classes generally run consecutively and may extend over school half-term holidays. For midterm enrollees, a prorated fee will be calculated.

• Following trial sessions, fees are payable in full via cash, direct debit, or through your parents portal.

• Class placement is by age as a guideline, with adjustments made for ability levels.

Communication

• We communicate via email. When you register via our class manager platform you will have received a confirmation email. Please check your spam and mark us as safe so you will be able to receive further emails and stay to date. 

• The best way to have full control over viewing your class information is via our class manager app. This has all your class details, times, important notices and updates plus you can check and pay invoices directly from the app. 

• It is essential that all customers download the app to enhance our communication process. 

• Once you download the app for your phone with IOS or Android you will need to go into your app settings on your phone and activate class manners app notifications. Here is a short video to get you started.

Trial Sessions

• Each child is entitled to a trial session, payable online, at Ultraflex Dance Academy.

• Ultraflex Dance Academy requires sufficient contact, identification, and health details to assume responsibility for the child during the class.

Fees

• The annual enrollment fee is payable upon joining Ultraflex Dance Academy and is payable every September regardless of where you join throughout the term/year.. This fee covers expenses not covered by the tuition fees for example, Insurance, Memberships, Training, Equipment, Techknodgly, Sofwear, Platform Fees. Administrative Fee, License to mention a few. 

• Tuition Fees cover term-time sessions and may be paid

• In full Online via invoice or the parents online portal. 

• You can also pay in full by cash on the first day of term.

•  Or via a 4 week payment plan. All payment plans must be set up online, see payment plan set up (No cash is accepted when using a payment plan)

• Fees are calculated in 8 Week Block (Term) and must be paid on or before the first week of the new payment. Unless you have set up an agreed payment plan in advance. Term fees are non-refundable.

• Invoice will go out two weeks in advance of the new term start date, Please advise if you no longer wish to take the spot as most classes hold a waiting list and we would appreciate this notice so we can arrange availability accordingly.

Payment

• All deposits for activities, costumes, or shows are non-refundable.

• Invoices issued must be settled promptly. Unsettled accounts may result in suspension of classes.

Discounts and Refunds

• Sibling discounts apply to the younger child and are not extendable to multiple classes.

• Missed classes are non-refundable. Makeup classes in any Ultraflex Dance Academy location are available upon notification. 

• No refunds or class credit will be offered if classes have to be cancelled due to unforeseen circumstances or reasons beyond our control, you will be offered a makeup class which may not be on the same day/time or venues you already attend.

Leaving, Waiting Lists, and Transfers

• Written notice before the term starts is required to leave Ultraflex Dance Academy; otherwise, a month's fee is applicable.

• Returning students are subject to class availability.

• Transfers between Ultraflex locations are allowed, subject to availability.

Uniform Requirements

At Ultraflex Dance Academy, we believe a uniform not only promotes unity but also prepares students mentally for the discipline of dance. Therefore, all students are expected to adhere to our uniform policy by the end of their first half-term.

• Uniform Information: We are our students to wear all black as a basis for example. Place black sleeveless leotard and plain black leggings, Black ballet split sole shoes. Students can also wear our black dance ultraflex dance t-shirt from our casual wear collection.

• Ordering Uniform: Dance Uniforms can be ordered directly through our recommended suppliers online (Leotards/Leggings/Shoes). While our Casual dancewear(T-Shirts/Hoodies/Jackets/Merchandise ONLY) can be ordered in bulk by the school through your teacher every four weeks. • Class Attire: Proper footwear is mandatory for all classes. Hair must be secured away from the face, with long hair tied back.

• Jewelry Policy: Only small stud earrings are permitted. Ultraflex Dance Academy cannot be responsible for the loss or damage to any valuables brought into or left on the premises.

• Dress Code Enforcement: Students not adhering to the dress code may be denied participation in class without a refund.

Class Etiquette

Ultraflex Dance Academy prides itself on maintaining high standards of dance, skills, and behavior. We expect all students to contribute to a positive atmosphere that demonstrates care and respect for everyone within the academy and during external events.

• Students are expected to uphold the Academy's reputation for high standards in both skill and behavior.

• Attendance at other dance schools offering similar styles may affect enrollment at Ultraflex Dance Academy and should be discussed with the Principal.

Viewing Classes

• To minimize distractions, parents are not permitted to watch classes. Special events will be organized to showcase students' progress.

• Details regarding participation costs and ticket pricing will be provided in advance.

Queries and Grievances

• For lengthy discussions, please arrange a private meeting with the designated contact person. 

• Grievances should not be discussed publicly or on social media

• Ultraflex Dance Academy has a zero-tolerance policy towards verbal, physical, or online abuse towards any members of our team or volunteers.

• If you wish to make a formal complaint/concern please follow the link  Complaints Report Form and will contact you back promptly.  

Class Cancellations and Cover

• Efforts will be made to reschedule any canceled classes due to unforeseen circumstances.

• In the event of a RED weather warning, all classes will be cancelled and we will make every effort to reschedule. This rescheduled class might not be held on the same day/time or at the same venue as the original class in which you are currently registered. We might also replace a class with online tuition.  

• Online tuition may also be offered in the event it is deemed unsafe and or a national health risk to our staff & students.

• No refunds or class credit will be offered if classes have to be cancelled due to unforeseen circumstances or reasons beyond our control, you will be offered a makeup class which may not be on the same day/time or venues you already attend.

Child Protection

Updates to Terms, Conditions, and Policies

• Documents may be updated periodically. The current versions are accessible through our communication channels.(Class manager app) Parents Portal

Merchandise and Costumes

• Payment for merchandise and costumes is required at purchase. Returns or exchanges for faulty items are accepted within 14 days.

• Show term costume fees are upfront and non-refundable.

Liability

• All teachers are qualified, background-checked, insured, and trained in child protection. Physical corrections in dance are made with care and professionalism.

• Ultraflex Dance Academy reserves the right to cancel classes alternatives will be provided.

• Temporary venue changes are communicated as early as possible.

• Parents must inform Ultraflex Dance Academy of any health issues that may affect participation.

• Ultraflex Dance Academy is not liable for loss or injury except as a result of our negligence.

GDPR Compliance

Personal data is handled in compliance with GDPR, with details archived securely or deleted upon request, except as required by law.

Miscellaneous

• Photography or filming for publicity may occur, with enrolment form consent presumed unless stated otherwise.

• Ultraflex Dance Academy does not share personal details with third parties.

• These terms constitute an agreement superseding previous arrangements.

Covid-19 Protocols

• Ultraflex Dance Academy follows Government guidelines closely, including online classes during lockdowns.

• Changes to class times for cleaning and safety are communicated accordingly.

• A professional risk assessment for each venue is available upon request.

Administration First Aid

• Trained first aiders are available, and first aid will be administered when necessary. Severe incidents will be reported accordingly.

Our staff members are trained in first aid to ensure the well-being of our students, with accidents and injuries recorded accordingly. In emergencies, we will act in loco parentis in the best interest of the child.

Opt-in

By enrolling, you consent to receiving email marketing from Ultraflex Dance Academy, with the option to unsubscribe at any time.

Participation In Events & Additional Cost

• We host additional events and community activities throughout the year and while we encourage students participation these events may incur additional costs. This should be considered when agreeing to sign up for additional events.

• Participation in academy events, including shows, awards days, community activities, signifies your agreement with these policies and an understanding of the commitment required. 

• We aim to foster a supportive and inclusive environment for all students to learn, grow, and express themselves through dance at Ultraflex Dance Academy.

Confidentiality and Child Protection

We respect the privacy of our students and adhere to a strict child protection policy. Our Privacy Policy details how we handle personal information, which is essential for emergency contact purposes and to be aware of any medical conditions. We ask parents to keep us informed of any changes to contact or medical information.

Consent for Participation

• Enrollment at Ultraflex Dance Academy implies agreement to these Terms & Conditions and the School Policy. Non-compliance may result in termination of enrollment without a refund.
