Terms and Conditions

SAFETY - Parents and other family members are not permitted inside the Gym or Studio (except in Parent/Carer and Child classes or invited in by the class teacher). During Parent/Carer and Child classes, the parent/guardian/carer will take responsibility for their child’s safety. Whilst in the Gym or Studio every effort will be made by staff to ensure the safety of all class members. It is the parent's/guardian's/carer's responsibility to ensure their own child's safety whilst outside of the Gym or Studio, entrance hall and other areas of the building before the entry time and after class hand over to parent/guardian/carer. It is also the parent's/guardian's/carer's responsibility in ensuring the safe entry/exit of their own child from the premises/car park. For independent child classes, once the class ends, the class teacher is no longer responsible for your child. As our classes are physical there is a risk of injury. Staff will not be held responsible for any accidents or injuries during class. Staff will take no responsibility for accidents which may happen inside or outside of the premises/car park due to the negligence of parents/guardians/carers and/or their children. No food or drink is permitted inside the Gym or Studio at any time. There is strictly no chewing gum permitted on the premises and no smoking permitted in the premises and car park.

MEDICAL CONDITIONS - It is the parent's/guardian's/carer's responsibility to inform the class teacher of any illness or medical conditions upon enrolment or during the course of enrolment that maybe relevant to the class being undertaken. Any child that requires an inhaler must have it clearly marked with their name. Any inhaler which may be required for a child undertaking a class should be handed to the teacher in charge of the class at the beginning of the lesson for safekeeping and collected again at the end. Staff are not responsible for administering medicine. Where staff have been advised of a medical condition which may be relevant to a class being undertaken the staff will agree an appropriate care plan with the parent/guardian/carer in relation to the relevant class being undertaken by the child.

UNIFORM - There is a strict uniform policy in place for all participants’ safety. A copy of the uniform list is on the AAPA Parent’s intranet. It is compulsory for any child undertaking a class to wear the relevant uniform unless otherwise advised by staff. It is expected by week 3 of the term that all students have the correct uniform. All long hair must be tied up and off the face. It is strictly forbidden to wear jewellery of any description in the Gym/Studios. This includes parents/guardians/carers. Children will not be permitted to undertake a class if they have any jewellery on. Children must wear the appropriate shoes for any class undertaken unless otherwise agreed with staff. All parents/guardians/carers who enter the Gym or Studio for the adult/child gymnastics class must remove outdoor shoes but can wear socks.

DISCONTINUING CLASSES - AAPA will not refund any fees if you stop attending classes before the end of a term. A 4-week notice period must be given before the end of term if you are not continuing a class so that the staff can reallocate your child's place for that particular class. Failure to give notice will result in you being charged for the 4-week notice period at the start of the following term. Any Gymnastics membership joining fees to British Gymnastics may have to be paid again if you re-join, as your insurance membership will be terminated once you leave AAGC. All fees are to be paid in full before the term starts. There are no refunds for illness, holidays taken during term time or for any missed class. In certain circumstances you may be allowed to make up the class by attending another one – please speak to your class teacher to discuss this possibility.

BEHAVIOUR - The staff at AAPA have a no tolerance policy to disruptive, negative, intimidating or abusive behaviour. We reserve the right to ask any pupil or parent/guardian/carer to leave class if their behaviour is deemed to be unacceptable. We reserve the right to terminate enrolment of a child to any class. If we determine that the behaviour of a child/parent/guardian/carer is detrimental to our school or club name the student must leave the school and will be removed from our class registers with immediate effect. For the avoidance of doubt, fees will not be refundable if the staff invoke this clause to terminate enrolment of a child or remove a child/parent/guardian/carer from a class and/or the premises.

FEES - Fees are required to be paid in full prior to starting any class via our online fee payment system on our website. The premises is cash free and staff will not be handling cash or cheques at classes. Any late payment of fees will not be eligible for any relevant discount and will be subject to a 10% administration fee. Fees are non-refundable. If you are joining a gymnastics class aged 5 years and over you will be required to join Scottish gymnastics as a member once you decide to continue classes after your initial trial class. There is an additional annual membership fee that needs paid £21 at the current time and this is payable direct to Scottish gymnastics . Our admin office will keep you right upon enrolment to the school.

CHANGE OF PERSONAL DETAILS - It is the responsibility of parents/guardians/carers to keep our online database up to date on any change of emergency contact, new address, or development of illness. The staff and AAPA/AAGC/Mac the Monkey will not be held responsible for any incidents that arise due to the parent/guardian/carer details not being changed online in accordance with this clause.

SOCIAL MEDIA - AAPA have a no tolerance policy regarding bullying and/or interrogating comments on any social media platform. It is requested that students/parents/guardians/carers use social media ie. Instagram/Facebook/Twitter with great care. We ask that when making posts or comments relating to AAPA, AAGC, and/or Mac the Monkey that you are careful in what you write. Any student, parent, guardian or carer be found to have made any defamatory comments will be asked to leave the school with immediate effect. If we determine that our business name is being damaged or has potential to be damaged we will take the required legal action as necessary. Staff will not accept friend request from any students on Facebook. Our business profile on Facebook called ‘Rachel Young’ will be able to accept friend requests. Please Join our closed AAPA parents group and Like our AAPA, AAGC and Mac the Monkey pages on Facebook to keep up to date with the latest news.

ACCIDENTS - AAPA/AAGC/Mac the Monkey staff members will take no liability for any accidents whatsoever while on the premises, before, during or after classes. All parents accept that any physical activity has risks and that by enrolling in our classes you deem that your child is fit to participate. Should any accident arise in class AAPA and staff will not be held responsible.

CHILD PROTECTION - We follow the codes of conduct laid down by Scottish Gymnastics. These codes are applied to all classes at AAPA/AAGC/Mac the Monkey. Please follow all procedures regarding sign-in and sign-out, including fire safety, Covid and public heath procedures that we have laid out. Further codes of conduct and our procedures are detailed in the Information section of our parent's intranet. These procedures are there for your child’s safety while at classes.

GDPR - It is necessary for administrative and health and safety purposes for us to collect and store and have easy access to parents and children’s personal details. By enrolling at AAPA/AAGC/Mac the Monkey you accept that we need and will store your personal data on our secure server as you need to fill in the online registration form. Any information which is stored will be held on an encrypted secure server. Upon notice of termination of your place at AAPA/AAGC/Mac the Monkey we will ensure that you are removed from our database within 12 weeks and that your personal contact details which may have been stored are deleted.
