AC Ballet Academy – Fees, Code of Conduct, Health & Safety, and Parent Policies

FEES

• All class fees are payable monthly in advance.
• Invoices must be paid by the stated due date. If fees remain unpaid, your child may be unable to attend classes until the outstanding balance has been settled.
• As the Academy’s costs remain fixed regardless of attendance, fees are payable even when a student is absent. We are unable to offer reductions or refunds for sickness, holidays, or other periods of absence.
• For private Lessons, a minimum of 48 hours’ notice is required for cancellations. Where less than 48 hours’ notice is given, the full lesson fee will remain payable.
• If you wish to withdraw your child from AC Ballet Academy, one month’s written notice and four weeks’ fees are required. Holiday entitlement cannot be used in place of, or deducted from, the notice period.
• Each student is allocated three weeks of holiday entitlement per class, academic year, running from September to August. Holiday entitlement refreshes each September. Holiday entitlement must be booked 1 month in advance (before 21st of each month) and is subject to the Academy’s holiday policy.
• All fees are non-refundable and non-transferable.

Late Payment Fees

• A £5 late payment fee will be applied to any invoice that remains unpaid two days after the due date.
• If the account remains outstanding, the late payment charge will increase by a further £5 for each additional week that the payment remains overdue.

CODE OF CONDUCT

At AC Ballet Academy, we aim to provide a positive, respectful, safe, and supportive environment in which every student can learn and develop.

• Students are expected to arrive promptly and attend classes regularly. They should arrive ready for class, with coats and outer clothing removed, correct footwear as advised by the teacher on arrival, and wearing the appropriate class attire. Student’s must wear the correct uniform stated under our uniform store. Students must not wear false nails and jewellery to participate in classes.
• Students are expected to wear the Academy’s full uniform within one month of enrolment.
• During lessons, students are expected to listen carefully, follow their teacher’s instructions, and behave respectfully. Unnecessary talking or disruptive behaviour is discouraged.
• If a student’s behaviour is disruptive and prevents the teacher or other students from learning, the student may be asked to leave the lesson.
• Bullying, intimidation, discrimination, or behaviour intended to cause distress or upset to another student will not be tolerated. Any concerns will be addressed appropriately and may, in serious or repeated cases, result in a student being asked to leave the Academy.
• Mobile phones must not be used during classes and should be switched to silent mode and stored safely away.

HEALTH & SAFETY

• Physical contact may occasionally be necessary during lessons to demonstrate movements or safely correct a student’s technique. All physical contact will be appropriate, professional, and carried out in accordance with our Child Protection and Safeguarding Policy.
• Students will only be entered for examinations when the teacher considers that they have reached the required standard. The decision to enter a student for an examination is at the discretion of the teacher and Academy.
• Parents/carers must inform the teacher before the start of the lesson of any injury, illness, medical condition, or other relevant concern that may affect a student’s ability to participate safely.
• If a medical professional has advised that a student should not participate in dance, AC Ballet Academy reserves the right to refuse participation until appropriate medical clearance or a fit-to-dance confirmation has been provided. Principal’s decision on this is final.

·       For the health, safety and wellbeing of all students, students must participate in classes wearing the appropriate footwear as required for their classes. If a student is unable to participate in the correct footwear due to an injury or medical condition, AC Ballet Academy reserves the right to refuse or suspend participation in classes until appropriate medical clearance has been provided confirming that the student is fit to participate safely. The Academy reserves the right to request medical clearance where there is any concern regarding a student’s ability to participate safely, even where the student feels able to continue.

• Students should bring a clearly labelled bottle of water to every class. Regular hydration is important during physical activity, regardless of the duration of the lesson.
• AC Ballet Academy cannot accept responsibility for personal belongings that are lost, damaged, or stolen. Any items found on Academy premises will be placed in Lost Property. Lost property is disposed of annually and any unclaimed items will be sent to charity.

PARENTS & CARERS

At AC Ballet Academy, we aim to encourage independence, confidence, and responsibility in all our students.

• Where appropriate, younger students should arrive wearing their dancewear underneath their outer clothing (for example, a leotard under their clothes) so they can enter and leave the studio independently.
• Parents/carers should wait outside the studio unless invited into the studio by the teacher.
• Parents/carers should not accompany their child into the studio or remain in the studio during lessons, unless specifically requested by a member of staff.

PHOTOGRAPHY & VIDEO CONSENT

If you have indicated on your enrolment form that you give permission for AC Ballet Academy to photograph or record your child for promotional purposes, the following applies:

By providing consent, you give AC Ballet Academy permission to take and use photographs and/or video footage of your child for Academy-related promotional and marketing purposes.

This may include, but is not limited to:

• Printed materials, such as brochures, leaflets, programmes, and newsletters.
• Online and offline advertising and promotional materials.
• The AC Ballet Academy website and other digital platforms.
• Social media posts and digital marketing.
• Promotional videos and other Academy-related media.

By signing the enrolment form and providing consent, you acknowledge that you are granting AC Ballet Academy permission to use your child’s image in print, video, and digital media for these purposes.

Images and footage may be used without the need for further notification or approval for each individual use.

AC Ballet Academy will not publish your child’s surname, home address, or specific location alongside photographs or video footage.

Consent may be withdrawn in writing at any time for future use. Withdrawal of consent will not affect material that has already been printed, published, or distributed prior to the withdrawal.

Staff and volunteers

AC Ballet Academy is committed to maintaining a safe, professional and supportive environment for all students.

All dance teaching staff employed by AC Ballet Academy are appropriately qualified and experienced dance teachers and are suitably qualified to teach the disciplines for which they are responsible.

In addition to its teaching staff, AC Ballet Academy is supported by a number of volunteers who assist with the day-to-day running of the Academy. Volunteer roles may include administrative support, chaperoning students at competitions and performances, registered first-aid support, and assisting teachers within classes.

All staff and volunteers who have contact with children are required to undergo the appropriate safeguarding checks before undertaking their role. Depending on their responsibilities, individuals will either hold the appropriate licence to act as a chaperone or will have a valid DBS check suitable for working with children.

AC Ballet Academy maintains appropriate records of DBS checks and safeguarding documentation for staff and volunteers. DBS status and relevant safeguarding requirements are reviewed on an annual basis, or sooner where necessary, to ensure that staff and volunteers remain appropriately cleared and suitable to work with children.

All staff and volunteers are expected to uphold AC Ballet Academy’s safeguarding procedures, professional standards and duty of care towards every student.

AGREEMENT

By enrolling your child at AC Ballet Academy, you confirm that you have read, understood, and agree to comply with the Academy’s Fees, Code of Conduct, Health & Safety, and Parent Policies.

These policies are designed to ensure that AC Ballet Academy remains a safe, respectful, professional, and enjoyable environment for all students, families, and staff.
