Terms and Conditions
Ovation Arts Australia - 2025 Student and Parent Handbook
Code of Behaviour
Attitude
Students are expected to attend classes with the intention
of learning and improving their acrobatic and dance skills. A positive attitude
and diligent work ethic are essential for success. Students should:
- Avoid
using the word “CAN’T”.
- Listen
attentively to their coach or teacher.
- Focus
on performing exercises accurately.
- Embrace
challenges, understanding that setbacks are part of the process.
- Show
respect towards coaches and fellow students.
- Follow
the set class plan.
- Respond
to feedback and strive to correct mistakes.
Parental Support: Parents are encouraged to engage in
positive conversations with their children after training. Questions like “Did
you work hard today?” or “What challenges did you face?” “what
things can you do to conquer that challenge ? lets ask your coach what things
may help conquer that challenge” these
type of phrases can help build confidence and resilience. Acrobatic
training requires overcoming mental and physical barriers, and parents’ guidance
and encouragement plays a vital role. Parents are encouraged to drop their
children off and collect them at the end of their class. We have a couple of
shops and cafes close by including Costco, Caltex truck stop, Barkley and Pips
café and Booval fair. This is a great opportunity to get the weekly groceries
whilst you may be kid free.
Talking During Training
While a social environment is encouraged, talking during
training sessions should be limited
to maintain focus. Guidelines include:
- Students Interaction with
parents or friends outside the classroom is not allowed.
- Phones
should remain in bags unless permitted for training-related purposes.
- Urgent
communication with parents or friends requires coach approval.
Missed Trainings and Lateness
- Students
should arrive on time for proper warm-up to avoid missing important
instructions.
- Late
arrivals must perform their own warm-up and inform their coach of the
reason for their delay.
- Injured
students are encouraged to attend training to participate in non-injurious
exercises and receive feedback.
- Students
must notify their coach if they are unable to attend class.
Equipment and Facilities
- Treat
all club equipment and facilities with respect.
- Maintain
cleanliness and store equipment properly.
- Entry
into the facility is only permitted with a coach’s invitation.
- Do
not use equipment unsupervised or remove it from the studio.
- Equipment
in the studio is for our classes, and is not to be brought outside the
studio.
Training Attire
For all classes please note Hair must be tied back, and skin tags, warts, and wounds
should be covered. (this may be added to all aerial hoop dance also may need to be dot point into sections
clothing hair skin protection)
- Aerial
Silks/Hoop: Aerial apparatus are likely to give you friction burn
which can scar. We recommend a leotard and leggings or capri stockings to
limit the chance of scaring. Please note that we presume parents read our
guidelines and know the risks of sending their child to class without full
coverage. There is to be no Buttons, Zips, Hoodies, fake nails or
jewellery. Hair must be tied up.
- Acro/Contortion/ Tumbling: Comfortable activewear without skirts. Crop tops
and bike shorts are recommended under loose clothing. Barefoot is
essential for acrobatics; grip socks are suggested for tumbling if
students feel they need something on their feet.
- Ballet: Hair is pulled back into a neat bun with no fly
aways. Students are required to wear a leotard and ballet stockings with
ballet shoes from a dance shop. Ribbons are not required for class. There
will be no Crop tops, bikeshorts or skirts permitted in Ballet.
Ballet skirts are required until the student passes their Primary exam.
- Jazz/Tap: Students are required to wear form fitting
activewear. Coaches must be able to see the students body to assess
alignment and technique. Crop Tops are allowed in jazz and tap.
Appropriate Jazz/Tap Shoes will be required for class purchased from a
Dance shop.
- Performance Attire: Performance team members
must purchase a studio uniform for classes and performing.
- Eisteddfod Uniform: Black Ovation T-shirt,
black leggings, and a jacket are required for rig checks, arrival,
departure and any time the student is not performing.
Uniform Changes for 2025
·
Uniforms: We currently have shirts for sale $25.
Unitards are on clearance.
We will be making an order for a couple of different uniform
pieces this could take up to 8 weeks to receive once ordered. Those interested
in clothing items, please give us a rough estimate of what size street clothes
your child wears.
Events and Performances
Break-Up Party and Awards Ceremony
- Approx.
$30 per person.
- Annual
medals are awarded during the ceremony.
Concert
- Costumes
will be sourced from various places, and will be chosen to fit themes,
songs, styles etc. We will aim to keep costume costs to a minimum.
- Costumes should remain in garment bags until the
concert.
- Students should not eat or drink while wearing a
costume. If the student has no
option but to eat while in a costume,
the costume must be fully covered to keep it protected from
potential stains
- Performances include a fun show for everyone and a
recorded one for those who wish to opt out of photography and videography.
Group videos may be used for promotion. By attending our videoed
performance you are agreeing to our terms.
- All students learn routines; any student opting out
of performance requires prior communication with coaches at the beginning
of the term. This is to help with patterning and organisation.
Communication
- Emergency
cancellations will be texted directly.
- Updates
are posted in the studio’s Facebook group or e-mailed out.
- Fees
and other information will be emailed via the class manager app.
Code of Conduct
Students are expected to represent Ovation Arts positively,
refraining from negative talk about other students, teachers, parents or Studios.
Wanting to see more progress? Progression really comes from
repetition building an overall well rounded athlete takes time and all the
genres help one another out. It is important to focus on a balance of
musicality, flexibility, strength and stage performance.

Terms, Conditions & Waiver
Fees
- Fees
are invoiced at the start of each term (10 weeks).
- Payment
plans can be arranged via email.
- Late
payments incur a late fee.
These will be invoiced the week of enrolment. Fees are paid
by term. We offer casual classes ($20). These are to be purchased each week via
the class manager app. These are not discounted and your spot will not be held,
and classes are non transferrable.
If you do not register your classes at once you may receive
separate invoices. This will affect your discount.
Trial Classes
- One
free trial class is offered before term commencement.
- After
the trial, students can choose between term enrolment or casual
attendance.
Fee Structure
All fees will be invoiced upon enrolment.
- Invoices
will be processed by administration once a day from the opening of
enrolment until the first week of the term. Please ensure you enrol in all
of your interested classes at the same time to avoid receiving separate
invoices. Separate invoices will need to be manually merged, which may
delay processing.
- If
you receive separate invoices, it is your responsibility to inform admin
through [email protected] so they can be merged.
Class Costs
Class costs are outlined at the time of enrolment. Most regular classes are
priced at $150 per term. Discounts apply for students taking multiple classes,
with additional discounts for siblings.

- Multiple
children may qualify for free classes prior to the regular 6-class cap
limit.
Exclusions
- Tiny
Tumbling, Youth Group, and private lessons are not included in class
packages and are priced separately.
- Private
lessons are paid by the term, with no casual private lessons available
weekly unless based on coach availability.
- Fees
for Tiny Tumbling and Youth Group will be specified on the enrolment form.
Payment Information
- Fees
are due at the beginning of each term, and payments must be made in full by
the due date on the invoice otherwise students will be sat out. Payment
plans can be put in place to prevent this.
- If
a student chooses to withdraw from a class or program mid-term, the full
term fee is still applicable unless a special arrangement is made with the
studio.
- Payments
can be made via bank transfer, cash or through the online payment portal.
- If
payments are not received by the due date, a late fee of 10% will be
added.
- Invoices
will be sent in week 1 of the term, and payment is required by the
indicated due date.
- If
you will not be returning for the next term, please notify the studio in
writing via email.
Allergy and Medical Conditions
Parents must provide updated medical plans for complex
medical issues annually and keep the app updated with any medical conditions. Students
with the following conditions cannot participate:
- Influenza/COVID-19
- Chickenpox
or infectious diseases
- Gastro
- Coughs
and colds
- Head
lice
Please notify us if you believe any of the above could have
been spread so we can notify respected parties.
Discounts
- Discounts
do not apply to private or casual classes.
- Additional
charges apply for exams, performance teams, concerts, costumes, and
tickets.
Recreational Activity Risk Warning
Participation involves risks such as friction burns, torn
muscles, fractures, and bruises. By registering, parents acknowledge these
risks and consent to their child’s participation
Health and Safety
- First
Aid and Emergency Procedures
- First
aid kits are available on-site.
- Coaches
are trained in basic first aid and CPR.
- In
case of a medical emergency, parents will be notified immediately.
- Injury
Protocol
- Students
experiencing pain or injury should inform their coach immediately.
- A
doctor’s clearance may be required to resume training after a serious
injury.
- Hydration
and Nutrition
- Students
should bring a water bottle to every class and hydrate regularly.
- Snacks
are not allowed in the studio except during designated breaks.
Behaviour Management Policy
- Disruptive
or disrespectful behaviour will result in the following steps:
- Verbal
warning.
- Sat
out for a period of time in class.
- Sent
to the waiting room.
- Parent meeting if the behaviour continues.
- Suspension from classes for repeated issues.

Attendance and Commitment
- Routine
Retention Policy
- Students
are expected to perform choreography by coaches from Ovation Arts. Older
students may be given some freedom in this, if a coach tells a student to
take out, or change choreography it is expected the student does so.
There are many factors that go into our routines including, safety, originality,
difficulty level, technical aspects, fluidity, performance quality and
what suits the specific student.
- Students
are required to keep their routines for two years to ensure skill mastery
and avoid undue time pressure. This is at the coaches discretion, in
circumstances where the child has been moved up a category or outgrown
their routine a new one may be granted.
- If
students make it to nationals twice with the same routine, a new routine
may be granted.
- Routines
should not be run during
technique classes unless approved by the coach. Due to keeping the whole
class focused and safety
concerns of all students within the class, if students are not following the class
plan they will be asked to sit in the waiting room for the remainder of
the class.
- Performance
Commitment
- Students
enrolled in performance teams must commit to all scheduled performances
and competitions.
- Absences
from performances require prior approval from the studio.
Studio Etiquette
- Personal
Belongings
- All
items should be labeled. The studio is not responsible for lost or stolen
belongings.
- Cleanliness
- Students
are expected to clean up after themselves, including disposing of rubbish
and keeping shared spaces tidy.
Workshops and Masterclasses
- Your
studio owner will notify you of any upcoming workshops and masterclasses.
We ask all students who attend these workshops represent our studio in our
uniform.
- Parents
are to drop students off and leave once they no the students are signed
in.
Competitions
- Preparation
and Commitment
- Students
entering competitions must attend all scheduled rehearsals.
- We
ask parents allow the students to attend safety briefs and rig checks alone.
This is the perfect opportunity for parents to grab a coffee and get to
know one another. Coaches may not be visible during the safety briefing
but will be around for rig check. Please ensure your coach is there
before getting on the rig. They are very accommodating and will wait for
us if asked.
- Proof
of purchase for personal silks or apparatus used in competitions must be
provided.
- Students must use hollow apparatus.
- Students must keep their uniform, costumes in good
condition.
- Students must perform the routine taught to them
by their coach without any modifications.
- Students are only permitted backstage 3
performances prior to their own unless a coach has instructed them
otherwise.
- Students are to remain with their teammates on
premises throughout the competition from rig check to awards, we
recommend all students watch each routine in the audience to cheer
everyone along and learn from their peers.
- Performance
Feedback
- Judges'
feedback will be shared with students after competitions to promote
improvement. We ask that parents share this with coaches as soon as they
receive the feedback. This will help aid coaches on preparation for further
competitions and training.
- We
also ask everyone to send photos and videos in so we can share them with
the rest of the community. We are very proud of all students who are
brave enough to perform on stage.

and videos may be taken during classes or performances for promotional

Equipment and Apparatus Maintenance
- Silks
and Hoop
- Students
using personal silks or hoops must ensure they are well-maintained and
safe for use.
- Personal
equipment should be inspected by a coach before use in the studio.
- We
will only accept apparatus with a purchase code from a circus shop. If
your apparatus does not pass inspection you will not be allowed to use
it.
- Studio-Provided
Equipment
- Students
are responsible for reporting any damage to studio equipment immediately.
Volunteering and Parent Involvement
- Opportunities
for parents to assist with studio events (e.g., costumes, props, competitions,
concerts, and break-up parties, holiday and fundraising organisation). If
you would like to become more involved please let us know.
Student Demonstrator Program
Becoming a student demonstrator provides an excellent
opportunity to mentor younger students and contribute to the growth of the
studio community. From 12 years.
Responsibilities:
- Assist
in beginner classes and demonstrate key skills.
- Serve
as a role model by providing tips and offering guidance to younger
students in a positive and encouraging manner.
- Show
initiative, stay focused, and encourage students to listen attentively to
their coach.
Eligibility:

Students
MUST be enrolled in an acro class to be eligible for this role.
·
Students
MUST be enrolled in the desired class for demonstrating (to demonstrate in an
aerial hoop class you must take aerial hoop)
·
Demonstrators
must actively participate in their own classes, display respectful behaviour towards
coaches, and demonstrate the ability to be a good role model, listen actively
and follow instructions take
corrections, be positive and supportive to other students.
Important Notes:
- If
students fail to uphold these qualities, they will no longer be eligible
to continue as a student demonstrator.
If you are interested in volunteering your time to become a
student demonstrator, please contact Miss Brianna.
Student Demonstrators will be invited to the end of year
staff party.
Awards and Recognition
- Coaches
Awards – Each coach picks 1 student
who has stood out in a positive way and deserves recognition. This can be
because of improvement, behaviour, etiquette or anything that the coach
deems fit.
- High
Point Award – Awarded to the student who receives the highest points in
the studio for their Exams.
- Iconic
photo Award – Granted to the student who has shared an iconic photo with
us from the year. This photo can be from comps, in class, or even outside
of the classroom on holidays. To be applicable for this students must have
tagged us on Instagram/facebook or e-mailed the photo to us or shared through
a google drive etc.
- Faces
Award – Chosen by coaches who are sitting in the audience watching. The
faces award goes to a student who has visibly progressed in their stage
presence throughout the year. This can be in eisteddfods or performance
team.
- Most
Improved Award – a student who has shown the most improvement in their
genre. Students do not require to participate in any additional classes,
performances, exams or eisteddfods to be in the running for this.

- Merit
awards
- Born
to Perform – Awarded to a student who always gets out on stage whenever given
the opportunity. Attends all performance classes regularly, and shows us
their personality on stage.
- Spirit
Award – Awarded to a student who has shown incredible studio spirit both
inside and outside the classroom. This includes having a positive
attitude and encouraging all students in their class.
- Etiquette
of Excellence – Showing incredible etiquette in and out of the classroom.
This is someone who is always seen to be polite, prompt and ready to
learn.
- Dedication
and Devotion – Awarded to a student who is always seen at the studio
putting endless effort into their craft. This student takes the time to
master their skills, and always gives 100%
- All
rounder Awards are awarded to students who stand out in their age categories.
These are the big awards.
- Rising
Star - 6 and Under Must take part in 2 or more classes including acro.
- Emerging
Talent - 12 and Under Must take part in 2 or more classes including acro
- All
Rounder – Open age, Must take part in 3 or more classes including acro
Withdrawal Policy
- Students
must provide written notification via email to the studio if they wish to
withdraw from classes.
- Mid-term
withdrawals are not permitted.
- Parents/guardians
are responsible for payment of class fees at casual rates up until the
date the withdrawal email is received.
Private Lesson Policy
To ensure fairness and respect for our coaches’ time and
commitments, the following policies apply to private lessons at Ovation Arts
Australia:
General Requirements
- Group
Class Requirement: Students must be enrolled in a group class of the
same genre as their private lesson.
Private Lesson Costs
- 30-Minute
Lesson: $250 per term (10 weeks)
- 1-Hour
Lesson: $500 per term (10 weeks)
Booking Your Timeslot
- Timeslot
Booking: When booking a private lesson, you are reserving the timeslot
of the session, lessons are not able to be rescheduled on a regular basis,
for students unable to commit to regular lessons, please be advised casual
lessons are available.
- Coach
Assignments: While we aim to maintain consistency by having the same
coach throughout the year for different students, the coach assigned to
your private lesson may vary. This is at the discretion of the Director
and may change due to illness, schedule conflicts, or roster adjustments.
We do not guarantee that the same coach will be available at all times.
Cancellation and Rescheduling
Private lessons are booked for a set term and time. If a
student is unable to attend their scheduled timeslot:
- Forfeiture
of Timeslot: The timeslot will be forfeited unless:
- The
absence is due to an Ovation Arts event.
- The
class is canceled by Ovation Arts due to severe weather, coach illness
with no substitutes, or other reasonable circumstances.
- Prior
medical notice has been given (injury, etc.) this will require a medical
certificate, as well as a doctors clearance form to return to class. In
some cases injury can be worked around.
- Makeup
Lessons or Credits: May be offered only under the above circumstances.
Reasons That Will Not Warrant a Makeup Lesson:
- Forgetfulness
or mismanagement of personal schedules.
- General
illness (without prior notification).
- School
events, parties, or other personal commitments.
Casual Private Lessons
Casual private lessons provide flexibility for students who
cannot commit to a term.
- Cost:
$35 per 30 minutes.
- Booking
Process:
- Must
be booked at least 1 week in advance through the Class Manager system.
- Bookings
are subject to the coach’s weekly availability.
- Casual
lessons do not have an allocated timeslot in the timetable.
- Important
Notes:
- Students
must wait for booking approval before attending.
- Coaches
are not obligated to accept casual private lessons every week.
Lost and Found
- Items
left behind at the studio will be stored in a lost and found box. Lost and
found items may be cleared once a month.
- Unclaimed
items will be donated after this period.
Additional Performance Opportunities
Performance Team
Students have the chance to perform at various events throughout the year by
joining our Performance Team. This team is open to all students who are
eager for additional performance opportunities. Priority for extra performance
opportunities will be given to members of this team.
Requirement:
To be part of the Performance Team, students must be enrolled in an acro class.
Solos/Duos Trios
Solo/Duo and Trios are available. We recommend students get
bulk private lessons to learn routines and take 15 mins private per week, per
routine to run the practice and get feedback to practice at home. More
information can be found in the handbook.
Eisteddfod
We have a group eisteddfod performance, if you are
interested in taking part in our group performance please let us know. Priority
given to students who are already apart of the team. This performance will
compete a few times a year at circus/dance competitions. We would love to have
a large acro group, however please be mindful students who are joining our eisteddfod
group are the students who are wanting to perfect technique and remain focused.
Being apart of this group means if your skills are not up to standard or you
cant meet the corrections being provided, you will be removed from the stage in
different sections of the routine. These students must work hard in their acro
class to continue to excel at our required standard.
Please note, students wishing to
do Acro solos/duos should also be apart of our acro eisteddfod team.
2026 America Trip
- We
are after a group of parents/students interested in attending a group trip
to America in 2026/2027.
- We
would love to organise a group meeting for students wishing to attend! In
this meeting we will discuss, Parent Committees and Fundraising, we would
love to meet with a travel agent to organise a general quote for this, if
you have any recommendations please let us know.
Class Attendance Policy
If no students have arrived for a class within 15 minutes of
the scheduled start time, the class will be cancelled. Please note that in this
case, no refunds or credits will be issued. We encourage students to notify the
studio if they are unable to attend a class, as this helps us ensure the best
use of our time and resources.
Tiny Tumbling 2-5 years
- Gross
Motor skills
- Once
your child is walking, it is the prime age to begin learning Fundamental
Movement Patterns. Including Walking/Running, Jumping/Hopping, Climbing,
Rolling, Swinging and hanging
- Fine
Motor Skills
- Gripping/Holding,
Pinching/Manipulation, Coordination/Hand-eye movement, Bilateral
Movements.
- Vestibular
and Proprioception
- Promote
healthy body awareness, Control movement, improve balance and stability
and improve spacial awareness.
- Strength
and Coordination Development
- Builds
stability and control, protects against injuries by improving joint
support, develops muscle endurance for longer activity sessions.
- Social
and emotional growth
- At
this age, kids are learning to interact with others, manage their
emotions, and build confidence.
- Fun
and Exploration
Unenrolment Policy
- Before
the First Week of Term: If you wish to unenroll before the start of
the term, please do so in writing to [email protected].
Unenrolling before the first week of the term will result in the full
wiping of fees for that term.
- After
the First Week of Term: If unenrolment is requested after the first
week of term, parents will be charged a casual class fee of $20 for every
week the student has attended or not attended without the knowledge of the
unenrolment.
- Mid-Year
Unenrolment: Students are signing up for the year with payment on a
term-by-term basis. If you wish to unenroll mid-year, we can accommodate
this. However, please inform us by week 10 of the current term. After this
point, the fees for the next term will be due, and no refunds or
cancellations can be processed for that term.
- Unenrolment
Date: The date of unenrolment will be based on the date timestamped on
the email when it is received. Please ensure that you send your
unenrolment request via email to [email protected] to
ensure accurate processing.
- Kind
and Fair Treatment: We treat all students with kindness and fairness,
regardless of the unenrolment decision. We understand that unenrollment can sometimes be a
nerve-wracking process, and we’ve had some parents hesitate to talk to
coaches due to concerns about their child’s treatment. We want to reassure
you that this is never our intention. We want students to be happy and
engaged in activities that are right for them, and we understand that some
sports, coaches, or environments may not be the right fit for everyone.
- How
to Unenroll: Unenrolment can be done in person with a coach (if the
coach has a laptop available) or via email. We’d love the opportunity to
say goodbye in person, especially in the last class, to ensure we end on a
positive note.
Please note the handbook may be modified at any point.
