Acorn Gymnastics’ Terms & Conditions
By attending our sessions you agree to these terms and conditions set by Acorn Gymnastics with guidance from British Gymnastics.
Attire
We follow British Gymnastics dress code, it is designed to safeguard the participants and coaches. The following are the basics points for the dress code and should be adhered to during training and events:
· Participants wear appropriate tightly fit clothing which covers the torso. Such as; unitard, leotard, t-shirt & shorts or leggings.. Loose clothing can be a hazard to participants and coaches.
. · The wearing of clothing of raised adornments or items with buckles or clasps, zips or loops are dangerous and are prohibited.
· If hair is long enough to be tied up, it should. Hair should be kept out of the face.
· Participants should work in bare feet or gymnastics slippers or non-slip socks.
· Fingernails should be no longer than the end of the finger.
· Participants should be aware of the risks associated with wearing spectacles and minimise the risks by wearing flexible frames, an elastic sports band or contact lenses to ensure safety.
Body Piercing and Adornments
Jewellery must not be worn. If it can be removed, it should be.
If it is impossible to remove a piece jewellery or adornment then they must be sufficiently covered with protective tape.
Newly pierced stud earrings need to be covered with protective tape but must be removed as soon as possible (normally after six-weeks).
We understand that there are certain items of jewellery that are worn for religious or medical reasons. These items need to be covered by a sweatband taped in place to ensure the jewellery is covered. Certain items may be deemed unsafe by the coach in charge.
Classes
Parents/Guardians will become a member with British Gymnastics before their second session with Acorn Gymnastics. Where the child is already a member the parent/guardian will inform BG that they have changed clubs or add Acorn Gymnastics as an additional club.
Participants attending the pay as you go sessions and the Acorns at play sessions are already paying towards their insurance within the session price but if they attend more than 8 sessions in a row, will then need personal membership with British Gymnastics.
Acorn Gymnastics will where possible provide a place in a class
for you at your preferred time and day.
Acorn Gymnastics reserves the right to replace Coaches if necessary, once the
term has started, should this occur course refunds will not be given.
Coaches are only responsible for gymnasts during the independent sessions and
parents/guardians are responsible at all other times. The sessions begin when
the Coach accepts charge of gymnasts and ends when the sessions finishes and
children are passed back to their parents/guardians.
Parents/guardians are responsible for their other children not partaking in
sessions at all times whilst in the facility.
Parents/guardians are responsible for children when they are using the toilets and all preschool children will be supervised by their parent/guardian when doing so.
No phones. Parents/guardians who are on their phones are not supervising their children and therefore not being safe. They will be asked to leave with their child until they are ready to join in the session.
No photography or filming is permitted during a session unless
permission from the coach and all other members is sought and given.
Acorn Gymnastics are not responsible or liable for any loss, theft or damage to
personal property left within the facility or car park.
All parents/guardians are encouraged to supply Acorn Gymnastics with mobile
telephone numbers for quick communication purposes and keep us informed of any
changes to them.
Acorn Gymnastics may suggest an alternative class that would
better suit your child’s skill level, where possible, we will not move your
child unless agreed by you.
Party bookings
By booking a party with us you agree to the terms and conditions of Acorn Gymnastics.
Acorn Gymnastics will reserve your party booking once the
booking form and deposit have been received.
Acorn Gymnastics reserves the right to replace Coaches if necessary.
Parents/guardians are responsible at all times within the hired
space.
All preschool children will be supervised by their parent/guardian when joining
in and using the toilets.
No photography or filming is permitted during a party unless
permission from the coach and all other members is sought and given before the
party starts.
Acorn Gymnastics are not responsible or liable for any loss, theft or damage to
personal property left within the facility or car park.
All parents/guardians are encouraged to supply Acorn Gymnastics with mobile
telephone numbers for quick communication purposes and keep us informed of any
changes to them.
Payment and refund policy
Full payment is to be made prior to attending sessions. Admittance will not be given if payment is not made. Payment price is given by us and then a platform fee is then added which is approximately 3.97% + 0.20p.
Monthly recurring payments will be used for most classes and bookings will be on a termly basis with payments split across 12 months for term time sessions. Payments will be taken 2 weeks in advance so that any issues that arise can be rectified before sessions commence.
Personalised sessions and parties need to be paid as soon as possible and by the deadline date on the invoice to secure the hall on the chosen date. Refunds will be at the discretion of the management team but if a refund is authorised, it will be given minus the non-refundable deposit and platform fees.
Any refunds issued by Acorn Gymnastics for block bookings of
Preschool sessions will be in the form of credits against your account minus
the platform fees and will be used against the following terms fees. Platform
fees cannot be refunded. Should you not wish to enrol for the following term,
credits may be lost.
Acorn Gymnastics will not issue credits for missed session or for lessons
missed due to holidays. Your payment is to reserve your place in the class.
However, if you arrange in advance, we may be able to offer an alternative
session if places are available and suitable.
Refunds for unwanted courses will only be given within 7 working days of making
the booking and before the start of the next course so this place can then be
filled. Where the term starts less than 7 working days after the refund
request, we will only be able to refund the fees less the first session cost.
Medical refund requests must be put in writing to [email protected] and are given at the discretion of the management.
In the rare event of a facility closure or staffing issues Acorn
Gymnastics will make every attempt to contact customers as soon as possible via
text, email and or phone, via social media and on our Web Site. If a catch up
session cannot be arranged, a credit will be added to your account.
Complaints policy
Please
direct any complaints in writing to the management team by emailing [email protected].
Complaints will be investigated thoroughly and we endeavour to resolve your
complaint within 7-14 days of receipt.
Code of Ethics
Acorn Gymnastics follows the code of Ethics as set out by British Gymnastics,
this can be viewed on the British Gymnastics Website.
Behavioural policy
Acorn Gymnastics operates a code of conduct for all gymnasts. Verbal or
Physical abuse will not be tolerated. Should a gymnast be excluded from the
Gymnasium, no refund of course fees will be given.
1st instance of misbehaviour – The coach will speak to
the child clearly explaining why they are being reprimanded and why their
behaviour is unacceptable. The coach will also make the parent aware after the
session and document this.
2nd instance of misbehaviour – The coach will speak to the child clearly
explaining why they are being reprimanded. After the session, a member of the
Acorn Gymnastics management team will ask to see the gymnast and their
parent/guardian to discuss why they have been reprimanded and what is expected
going forwards by the coach. At this point all parties will be informed that
this is the final warning.
3rd instance of misbehaviour– The child is asked to leave the Acorn
Gymnastics permanently. This is only done in extreme cases.
Child protection policy
Acorn Gymnastics takes the safety of children and vulnerable adults very seriously, and follows the guidance provided by British Gymnastics Child Protection and Safeguarding Protocol. All our staff and volunteer coaches have a valid DBS certificate.
Medical conditions policy
It is necessary for us to know of any medical conditions so that we can ensure the safety of Parents/Guardians and Children. You agree to inform us of any medical conditions so we can put the necessary provisions in place for adults or children.
Changes to our Terms and Conditions
We keep our terms and conditions under regular review. These terms and conditions were published on 1st March 2022 and last updated on 21st October 2023.
We may change the terms and conditions from time to time, when
we do, we will inform you via the 'Parent portal' and via email.
