Terms & Conditions
These are the terms and conditions for customers taking part in classes or events managed by the Antonia Cobbin School Of Dance. Terms & conditions must be accepted by all students and parents/guardians as part of their participation in such classes or events.
Section 1: - Student Registration
1. New students to ACSOD must be registered using the Customer Portal system that is available through contacting ACSOD or logging on to https://app.classmanager.com/portal/antonia-cobbin-school-of-dance/register . This portal system will capture important details about the Customer and the Student to ensure student safety and welfare, and to enable communications either through email, text or phone.
2. Existing Customers may update their details through the Customer Portal (using a browser)https://app.classmanager.com/portal/antonia-cobbin-school-of-dance and also access information about current and future classes. New classes may be booked through the Customer Portal with minimum information exchange. Existing Customer should validate the information held by ACSOD at least annually to ensure it is up-to-date. Payments may be made through bank transfer or cash once the invoice is generated to your email address from the portal and will be marked as paid any unpaid fees and the student will not be allowed to take part in the class.
3. Trial Classes 1. New students to ACSOD or to a class may book ONE FREE trial classes before committing to the class for the remainder of the Term. The Trial Classes are to enable the Student to settle in and feel comfortable with the environment, the length of the class and the degree of difficulty, and also to allow the Teacher to assess the Student to ensure the class is right for him/her. 2. Trial Classes must be booked in advance and students must be registered through our on-line registration process (see the web site for details) before participating. An invoice will be sent for the trial classes booked at the normal class fee (with discount of the free class). Payment for the classes should be made either via bank transfer or cash prior to the class/term starting. Cash payments are difficult to manage and should be clearly enveloped with name on or will not be accepted. Students taking trial classes will be temporarily enrolled in the ACSOD class and will only be made permanent when the trial has been successfully completed. 3. An invoice for the remainder of the Term will be sent when the Student attends a total of ONE class and the student will be enrolled in the class permanently once payment for the rest of the term is received.
Section 2 – Class Schedule and Fees
1. The range of fees for ACSOD Classes are published on our portal on a regular basis. Fees are charged per half termly 5/6 weeks Term.
2. Each Term ACSOD will publish its schedule of classes and the Term dates via the Portal which will mirror the term schedule of Suffolk schools.
3. Invoices will be raised towards the end of the previous term (where possible) for class Terms fees. Students will be automatically enrolled for classes in the following Term unless they give notice of cessation or change of class via email Payments must be made in full before the start of the 1st class that term.
4. Some classes may need to revert to an online format if the classes are closed because of Government requirements or action. ACSOD will provide detailed information on how these classes can be accessed on portal and social media pages, and will provide as much notice of change as possible. Some classes, because of restrictions imposed by Government, may need to have a remote or home-based element.
Section 3– Payment Methods
1. Payment for classes or events or other services from ACSOD may be made as follows (in order of preference for ACSOD):
a. By Bank Transfer to the ACSOD bank account with sort code 30-94-55 and account number 71477868. Bank transfers can include single payments (please make sure your child’s name is the ref).
d. NO Cheques allowed
c. Cash clearly marked in an envelope
2 Refunds will not be issued Once the term has begun. It is the responsibility of the parent/guardian or student over the age of 18 to inform us via email that they intend to stop receiving tuition from us. The registration of students will automatically transfer to the following term until notification of cancellation is received via email.
3. Any other invoices, e.g. show fees, costumes etc. are paid by bank transfer. Please ensure that you quote the Student’s name in the reference. Our bank details are quoted at the bottom of all Invoices.
Section 4 – Absences from Class
1. As part of its administration, ACSOD will mark attendance at all classes. Students who are registered for a class have an obligation to attend. Classes are limited in the number of Students and hence non-attendance affects not only the individual but also the other Students in the class.
2. Student attendance information is made available to individual Customers through the Customer Portal.
3. There are no refunds if a student is absent from a class and no reductions for part Term attendance. ACSOD costs cannot, unfortunately, be reduced if a Student is unexpectedly absent from a class.
4. On the rare occasion that a class is cancelled, it will be rescheduled, usually during the school holidays or may be delivered on-line. If it is not possible to reschedule, fees will be subtracted from the forthcoming Term’s fees.
5. If it is necessary to cancel a class due to adverse weather conditions or if a child cannot attend a class due to their participation in another ACSOD performance/event, class fees will be refunded.
6. If a student is asked to leave a class due to a breach of any of the conditions detailed within this document they will not be refunded.
Section 5 – Uniform

Class uniforms are mandatory after a student’s first half term of attendance for safety and security reasons.
2. Dance Students must wear their hair up for all classes. Students with short hair should wear an ‘Alice’ band to keep their hair off their face.
3. Jewelry items (including watches, fit bits etc.), which the teacher feels may cause injury or feels inappropriate for the class, must be removed or the Student will not be permitted to participate in the class.
Section 6 – Class Timing
1. Classes may run back to back on the timetable without a break, and additional cleaning may be needed. Students should be dressed ready to start their class before entering the studio and leave promptly at the end.
2. Students are asked to wait quietly outside the studio until their class begins.
Section 7 – Code of Conduct
1. Customers (parents, guardians, friends or family members) are not permitted to watch classes from within the hall, except in exceptional circumstances at the discretion of the class teacher. This will be disruptive to the class and does not aid student participation. 2. Parents and Guardians must abide by the precautions ACSOD are taking to help prevent the spread of Covid-19 (see covid policy). Students must not attend class they are unwell or if a member of their household is displaying any Covid-19 symptoms including a high temperature, new continuous cough, or loss of smell and/or taste. Students should not attend a session if a member of their household is shielding.
3. No jewelry what-so-ever should be worn, including ear studs or body piercing adornments for ACRO classes either during classes or at competitions. This is a no-tolerance policy as it constitutes a safety hazard. Small ear studs are permitted for dance classes but many not be worn for performances.
4. Students must adhere to the ACSOD code of conduct and policies regarding their dress and conduct and are expected to demonstrate respectful behavior towards their teachers, judges, officials and fellow students.
5. Students must always drink plenty of fluids during training, that is water or squash only - no carbonated drinks. Students are not permitted to eat or drink whilst using equipment or participating in routines or chew gum whilst in class.
6. Students are responsible for their own property and bring items at their own risk.
7. Students are not permitted to use mobile phones or tablets during a class. Any mobile phones brought into the class must be switched off or set on silent mode.
8. Students are not permitted to leave the studio during a class without permission from their parent and teacher.
9. Students are not permitted to sit out of a class unless they become unwell or injured during the lesson or written consent from the Student’s parent/guardian is given in advance. Students are responsible for alerting the teacher to any injuries/illnesses that may affect their training. In particular, Acro/dancers should not train when they are in pain or feel unwell
10.Students should listen to and follow instructions of their teacher, should not indulge in rowdy or distracting behavior, should support and encourage their teammates, always train with a positive attitude and attempt every move with good form.
11.Student’s should take care of the ACSOD equipment and only use equipment they have permission to use. Students must not run in the studios, except as instructed as part of their training.
12.Students should take pride in ACSOD and make sure they do their part in keeping the studios clean and tidy.
13.Conditioning is an essential part of Dance and Arco. Without strength core elements cannot be performed. Without flexibility, leaps and jumps are low and lack aptitude. To aid reducing injury, physical stretching by the Teacher may be required. Students must do any stretching or conditioning at home as “homework” if the Teacher has requested it. 14.Physical contact of the student by the teacher is necessary to correct form and posture and also to support moves that may otherwise put the student at risk of injury.
Section 8 - Parents Codes of Conduct
1.ACRO/dancers should arrive a few minutes before the start of training. It is particularly upsetting for younger children to arrive after all the others have started.
2. Please ensure your child has a drinks bottle to use during their session. If your child brings in lunch or a snack due to a long training session, please ensure its appropriate.
3. Please do not drop off your own, or other children, early to watch the classes unattended. ACSOD cannot be responsible for these children until they start their own class.
4. If your child is expected to be absent for 2 weeks or longer, please let the school know by email, if possible, or through the Customer Portal.
5. Please advise ACSOD of any change in circumstances, i.e. medical, change of address or contact mobile number as soon as possible, using the Customer Portal. There are important safety and security reasons for maintaining these records. ACSOD does ensure that the current contact details for each Student are available to the Teachers.
6. Parents need to ensure the teacher is alerted to any injuries or illnesses that may affect their training.
7. If you wish to speak to the class teacher, please do so at the start of the class. Parents should not enter the class unless they are invited to by the class teacher.
8. Parents need to support any stretching and conditioning homework the class teacher has given their child, to do as “homework”.
9. Please ensure you are punctual collecting your children and remind them to remain in the building until you arrive.
10.Parents or Guardians (Customers) should register on the ACSOD Customer Portal to ensure they can provide ACSOD with up-to-date information about the Students. The Customer Portal will allow Customers to view attendance information, book classes, review invoices and statements and communicate with ACSOD.
11.Invoices, statements and other materials are presented online via email. Parents/Guardians should provide a valid email address for this purpose and ensure that such email from ACSOD is not considered SPAM.
Section 9 - Social Media Policy This policy provides Antonia Cobbin School Of Dance Students and Parents and Guardians guidelines for the use of social media. It includes but is not limited to: Twitter Facebook Instagram Snap Chat Pinterest Blogging platforms YouTube. 1. It is strictly prohibited to post or share information of a personal nature about any member of staff, students, volunteers or their families.
2. It is strictly prohibited to share information that compromises and could bring the company into disrepute.
3. Parents or Guardians or Students must not post pictures or videos of other students without consent from that student’s Parents or Guardians.
4. Videos recorded during rehearsal periods are strictly for personal use and should be used as a teaching aid only unless advise otherwise.
5. It is prohibited to share information or post videos or photos that could damage the self-esteem of any ACSOD Student.
6. It is prohibited for any ACSOD Parent or Guardian or Student to give the impression that they are talking/posting as an official representative of Antonia Cobbin School Of Dance .
7. It is prohibited to post negative comments about competition organizers, judges, other dance schools, events, studios or the performance of others.
8. It is preferred that you share official videos and photos posted by Antonia Cobbin School Of Dance on our social media channels from competitions, shows etc. instead of your own to protect the wishes of other students who may have opted out of having their images used in this way.
9. Please be aware that as a company, Antonia Cobbin School Of Dance, owns the copyright to any original videos or photos that we post. Please respect the law around the Defamation Act 2013.
Section 10 – Miscellaneous
1. All Students must complete an online enrolment application upon joining the school . It is the Parent’s or Guardian’s responsibility to update their child’s registration details as necessary, via their Customer Portal. Please note that new classes and siblings can also be added via the Customer Portal .
2. The ACSOD Schedule of Classes may be revised at any time and will be published via the ACSOD pages.
3. A certain amount of risk is carried by any physical activity. Students taking part in any classes or events run by Antonia Cobbin School Of Dance do so at their own risk.
4. Photographs and videos of Students may be taken and used for promotion and on social media. If a Parent or Guardian has any concern whatsoever of the use of any photograph/video that ACSOD uses of their child, it will be removed without question.
COVID 19
Precautions to help prevent the spread of Covid-19 – Guidance for Parents or Guardians of ACSOD Students.
Please read carefully This guidance has been produced as part of the risk assessment carried out by ACSOD prior to re-starting its classes in Felixstowe and Needham Market. Staff & Student Travel to/from ACSOD
1. Everyone’s temperatures will be checked on arrival.
2. Parents, children and young people to follow the Coronavirus (COVID-19): safer travel guidance for passengers when planning their travel.
3. Parents may not wait inside the building while their child’s class is in progress. Parents should either wait in their cars or drop off and pick up.
4. At the halls, parents may need to accompany younger children to the studio door, but this should be limited to one parent and please time this to be no more than a few minutes before the start and finish of your child’s class. Parents must wear a face covering while they are inside the building and observe 2 meter social distancing.
5. We cannot allow gatherings outside of the studios, so please ensure that your child arrives and is collected promptly to time. Please enter and exit swiftly to avoid adult to adult contact.
6. We will remind children that they must not leave the building until they can see their parents. Parents should also remind their children of this.
7. Anyone who is deemed vulnerable. should not attend any sessions.
8. ACSOD will be carrying out a thorough clean of the Hall, its high-touch points and equipment before the start of each class.
9. Students may not enter the studio until their teacher says the studio is ready. (Previous students have left, and the studio has been cleaned – although students with back-to-back sessions in the same studio will be permitted to remain in the studio during the cleaning.)
10. At venues students should wait outside of the building and maintain social distancing until their teacher invites them in.
11. In line with government requirements, parents and students over 11 years old must wear a face covering while they are in the corridors and lobby areas or when they are moving from one class to the other; but students may not wear a face covering during their lesson.
12. Children must arrive dressed ready for their class. There will be no onsite changing facilities available apart from toilets.
13. Please ensure that your child uses the toilet before coming to class. Although toilet facilities are of course available if a child is desperate, they must be cleaned after every use, so to avoid disrupting the class, we must keep this to the barest minimum. Please explain this to your child so that they understand the need to go before they arrive.
14. Please keep bags to a minimum .
15. Dancers should wear their shoes into the studio and carry any other dance shoes that they require in their hands.
16. If your child is unable to tie their own shoelaces, please replace their laces with elastic (not too tightly) so that they can be slipped off easily while they are still knotted.
17. Acro and bare feet classes, dancers will need to wear trampoline/yoga socks that are snug fitting with grips on the sole or jazz shoes/ ballet shoes. It is not permitted for the students to be bare foot. Yoga/trampoline socks can be purchased on Amazon. PLEASE ENSURE THAT SOCKS HAVE GRIPS ON THE SOLES. Also Acro students to bring their own Gym mat (Pilates mat Acro class 1 and upwards)
18. Students aged 11 and over may also bring a small toiletry bag/purse for personal items. No other items can be brought into the hall.
19. All students will be required to use ACSOD hand sanitizer as they enter.
Delivery of Classes
20. ACSOD has taken steps to ensure students and teachers can maintain social distancing throughout all classes, which will result in fewer students being able to attend most classes.
21. Please explain to your child that they cannot have any physical contact with their classmates or teachers and must not share their drinks with others. In some halls we will mark out studio space for an individual’s use.
22. All halls will be sanitized daily, with equipment before and after each person has used. Please check the schedule of classes carefully so that you are sure of the exact start and finish times. We will be strictly adhering to the scheduled times.
23. The hall doors will be propped open until all students have either entered or exited the hall, to avoid the need to touch door handles or push plates.
24. Windows will be opened wherever possible for increased airflow.
26. Students may not wear a face covering during their lesson.
27. Where props are used in a class, these should not be shared, where possible, and will be cleaned at the end of each session.
28. Students must leave swiftly after their class and the next class will not be permitted to enter until the previous class have left and the area has been cleaned. It is vital that parents collect their children on time, please. Students with back-to-back classes in the same studio will be able to remain in the hall.
29. Students and staff will be reminded to follow the Catch it, Bin it, Kill it advice. Tissues and bins will be provided in every hall.
General
30. Please make sure ACSOD has up-to-date contact details and address for you and the student in case of emergency or class disruption. These details can be updated via the Customer portal.
31. Please do not send your child to class if they are unwell or if they or any of their household are displaying any Covid-19 symptoms: High temperature, new cough, loss of smell and or taste.
32. Students should not attend any sessions if a member of their household is shielding.
33. If a teacher believes that a student is unwell, their parents will be called immediately to take them home. Please do not be offended if you are called even if you believe your child’s symptoms are minor or vague; we are only doing our best to keep all of our students, teachers and their families safe.
34. Any students that a teacher believes may be unwell, will be immediately isolated from the rest of the group until their parents collect them.
35. If any student or member of their household tests positive to Covid-19, parents must inform us immediately so that we can follow current government guidance to protect other students and teachers that they have been in contact with. Parents must ensure that the student and other family members, follow current government guidance regarding social distancing.
36. ACSOD will comply with NHS Test and Trace requirements to provide on request the following information from our database for each student or staff member that attended a particular class: their name, their contact number, the date, time and location of the class and the ACSOD staff members in attendance. This is in line with the General Data Protection Regulations. No information will be collected from students or parents specifically for NHS Test and Trace requirements.
