Terms and Conditions

AVA DANCE CENTRE – Terms and Conditions

Effective Date: 2026

These Terms and Conditions apply to all students, parents, or guardians enrolling in or participating in classes, workshops, or events at Ava Dance Centre. By enrolling or attending classes, you agree to these Terms and Conditions and to adhere to the studio’s Code of Conduct at all times.

  1. Enrolment & registration

    1. All students must have a completed trial registration or enrolment prior to participation in class.

    2. Terms and conditions must agreed upon before commencement

    3. Parents/guardians must provide current and accurate contact and medical information

    4. The Studio reserves the right to refuse enrolment if information is incomplete or false.

  2. Classes & Scheduling

    1. Classes are scheduled by term, however, enrolment is valid for the entire year. By enrolling, the students are expected to attend the classes they are enrolled in.

    2. The Studio reserves the right to cancel or reschedule classes due to unforeseen circumstances (e.g., instructor illness, venue issues). 

    3. If a student misses a class, make-up classes may be offered at the Studio’s discretion but are not guaranteed. Prior notice must be provided to be considered.

    4. Make-up classes must be used within the term and not transferable to any other student including siblings. 

    5. For extended periods of leave, such as pre-planned holidays or surgeries, fee adjustments may be considered if the Studio is notified prior to the start of the term. Any fee adjustments are at the discretion of the Studio Director and will not be granted where make-up classes are available.

  3. Fees & Payments options

    1. Four payment options are available, direct debit lump sum upfront, direct debit fortnightly installments, cash upfront, bank transfer upfront. For more information please review the info pack.

    2. Fees are invoiced by the term and an annual registration fee is invoiced and must be paid.

    3. For invoices being paid upfront, all invoices must be paid in full by the due date which is 21 days from issue.

    4. Students joining mid-term are charged on a pro-rata basis.

    5. Direct Debit is the only option to pay via installments.

    6. Direct Debits are classified as ‘payment plans’ and are arranged by GoCardless.

    7. For all payment plans (direct debit) the card/direct debit fees are absorbed by the class costs. Card fees for payments through the portal are excluded. 

    8. Failed payments for Direct Debit will incur a $5 fee per failed transaction. 

    9. For upfront payments, failure to pay fees by the due date will incur a $15 administration fee per invoice. Continued failure to pay on time may result in the customer being placed on a compulsory Direct Debit plan.

    10. Where an invoice is 14 days overdue, Ava Dance Centre reserves the right to refuse participation for students until fees have been paid.

  4. Cancellations & Refunds

    1. No refunds or credits are provided for missed classes.

    2. Notification of class withdrawal or enrolment cancellation MUST be notified by Week 3 of term in writing via email. Any withdrawals or cancellations post Week 3 fees will not be refunded or credited and full term fees apply.

  5. Communication

    1. Email is the primary form of both incoming and outgoing communication at Ava Dance Centre.

    2. BAND will contain a copy of all relevant emails.

    3. It is the responsibility of the Parent/Guardian to check their emails & BAND regularly.

    4. It is recommended you add [email protected] to your email contacts to avoid correspondence emails going to junk/spam. Should you not be receiving our emails, junk/spam email should be checked.

    5. Facebook and Instagram are not accepted as valid methods of communication for any administrative purposes. These should be communicated via email.

    6. Parents/guardians must update the portal with any changes to personal information that was previously provided on their enrolment form and advise Ava Dance Centre via of changes updated to portal. 

    7. Parents and teachers are not to pass out private contact information or seek access to each other's profiles on social media platforms. Teacher business or coaching portfolios excluded. 

  6. Injury

    1. Whilst Ava Dance Centre follows safe practising in their teaching methods, Ava Dance Centre accepts no liability for any injury that may be incurred while participating in Ava Dance Centre activities

    2. Ava Dance Centre accepts no liability for any injury that may be incurred while visiting the Ava Dance Centre premises.

  7. Health & Safety

    1. Students participate in classes at their own risk. 

    2. While not participating in dance class, children remain the responsibility of parents/guardians at all times, siblings inclusive. Waiting area/hallway etiquette to be adhered to, for more information please review the info pack.

    3. Students with medical conditions must bring any required medical equipment to every class e.g. Epipens, Insulin, puffers etc.

    4. Students are to be collected from the studio. Students are not permitted to wait in the carpark or on the street.

    5. Students must not walk outside in dance shoes or bare feet.

    6. Appropriate emergency procedures exist at Ava Dance Centre. Staff understand and are trained to follow the procedures relevant to their location.

    7. If a student is injured, becomes ill, or experiences a medical episode during studio activities, staff will:

      1. assess the situation promptly

      2. provide appropriate first aid

      3. contact the parent/guardian or emergency contact as soon as practicable

      4. call emergency services (000) if the situation requires urgent medical attention.

    8. Ava Dance Centre reserves the right to arrange medical transportation, at the student’s expense, in the event of an emergency.

    9. Incident Reporting: All injuries and medical incidents will be recorded, and parents/guardians will be promptly informed.

  8. Social Media & Photo Consent

    1. Ava Dance Centre uses visual and audio-visual recordings for promotional purposes. Photos and videos may be taken in classes and used for promotional purposes, inclusive but not limited to marketing material, our website and social media. Please ensure your social media consent is updated on the Portal at all times

    2. If engaging in social media that relates to Ava Dance Centre or any of its members, you must be clear to ensure any information is factual and accurate. Information must not damage in any way, the studio or members reputations or bring disrepute.

  9. Intellectual Property/Copyright

    1. All choreography, class content, routines, teaching methods, music edits, written materials, branding, logos, and promotional content created or used by Ava Dance Centre remain the intellectual property of the studio.

    2. Choreography and class material may not be recorded, copied, shared, taught, performed, or reproduced outside of Ava Dance Centre without prior permission.

    3. Photos, videos, and recordings taken during classes, rehearsals, or performances are for personal use only and must not be used for commercial purposes without consent.

    4. Any content shared online that references Ava Dance Centre must respect copyright laws and must not disclose confidential or proprietary studio information.

    5. Unauthorised use, reproduction, or distribution of Ava Dance Centre’s intellectual property may result in disciplinary action, including removal from the studio without notice or refund.

    6. Choreography and class material may not be recorded, copied, shared, taught, performed, or reproduced outside of Ava Dance Centre, including at other studios or with other coaches, without prior written permission.

  10. Student/Parent Conduct

    1. Parents and students must follow all studio policies, procedures, and class rules.

    2. Disruptive or inappropriate behaviour in class, during studio events, or online may result in suspension or removal from Ava Dance Centre without notice or refund.

    3. Communication with staff should be respectful and professional, including emails, text messages, and social media interactions.

    4. Any concerns regarding teaching, safety, or behaviour should be raised through appropriate channels, not through public or inappropriate forums

  11. Child Safety

    1. Ava Dance Centre is committed to providing a safe, respectful and child-safe environment for all students.

    2. All staff maintain professional boundaries and interact with students in an age-appropriate, respectful and supportive manner.

    3. Teachers support students through verbal guidance and demonstration. Physical guidance may be used when appropriate for learning and will always be respectful and mindful of each student’s comfort.

    4. Any form of inappropriate, harmful, or excessive behaviour (physical or verbal) towards a student is strictly prohibited.

    5. All staff are required to hold a current NSW Working With Children Check (WWCC).

    6. Any concerns regarding child safety or staff conduct must be reported immediately and will be managed in accordance with NSW child protection requirements.

  12. Zero Tolerance

    1. Ava Dance Centre has a zero-tolerance policy for bullying, aggression, or inappropriate behaviour, including (but not limited to) bullying, harassment, discrimination, intimidation, gossip, or disruptive conduct.

    2. This policy applies to all behaviour in person, online, on social media, and through all forms of communication, including emails and text messages.

    3. Any behaviour that disrupts the learning environment or impacts students, parents, or staff will not be tolerated.

    4. Breaches of this policy may result in suspension or immediate removal from Ava Dance Centre, without notice and without a refund of any fees paid.

  13. Changes to terms

    1. Ava Dance Centre reserves the right to update or modify these Terms & Conditions at any time.

    2. Any changes will be communicated to students and parents via email, our website, or other official communication channels.

    3. Continued enrolment or attendance at the studio constitutes acceptance of any updated terms.

    4. It is the responsibility of parents and students to review the Terms & Conditions regularly to stay informed of any changes.


By enrolling, reenrolling or attending classes at Ava Dance Centre, you acknowledge that you have read, understood, and agree to these Terms and Conditions. Failure to adhere to terms and conditions may result in the student unable to participate in classes or continue enrolment.
