Childrens Ballet Wales Terms and Conditions
Thank you for joining Childrens Ballet Wales (CBW). Please find below CBW full terms and conditions. By completing and signing the online portal registration form to enrol your child with CBW, and by attending CBW classes, you are hereby agreeing to the terms and conditions detailed below. Invoicing and Fees
- Invoices will be sent in advance of the beginning of each term, 3 times per year (Ahead of September, January, and April) via email.
- Fees for classes are paid for termly in advance, due by the date on the invoice.
- Full term fees are payable regardless of absence or illness.
- Fees are not waivered due to family holidays, school trips, school exams, quarantine, short-term sickness, or injury.
- All fees are non-refundable. If a pupil has a long-term illness or injury, this will be assessed on an individual basis and any refunds are at the discretion of the Principal.
- If you have problems making payment on time, please contact the School Principal to discuss options ahead of the deadline for payment.
- Payment plans can be arranged at the discretion of the Principal.
- Payments can be made via bank transfer or cash only.
- CBW reserve the right to suspend your child from attending classes until overdue payments have been received.
- Shows and exams will incur additional fees (please see the ‘Shows and examinations’ section below).
Shows and examinations
- Examinations are not compulsory but are encouraged to celebrate the student’s achievements.
- Entry for any exam is at the discretion of the teacher who will assess whether the student is ready to take the exam. This will be communicated with parents/guardians.
- Exams will incur an additional fee. This will be communicated at the time and involves studio/hall hire, pianist, and examination fee.
- Correct uniform is required for all examinations. This will need to be purchased through the uniform Facebook page or uniform coordinator and is the responsibility of the parent/guardian (see uniform section below).
- Any additional exam rehearsal classes will incur an additional fee.
- CBW shows will incur a costume and show fee. This is always kept to a minimum.
- Show tickets are purchased directly through the theatre.
- Participation in shows is not compulsory but is encouraged as a wonderful performance opportunity and to celebrate the children’s progress.
Uniform
- Uniform can be purchased through the CBW uniform Facebook page or via our uniform coordinator.
- Uniform must be paid for in full prior to receiving the uniform.
- We accept exchanges if the returned item is unused and in its original packaging.
- For all classes appropriate clothing and footwear must be worn.
- CBW uniform is compulsory for all exam classes.
- Hair must be neatly tied up away from the face, preferably in a classical bun.
Classes and attendance
- CBW provide high quality ballet classes for children in a fun and relaxed atmosphere following the ISTD Cecchetti syllabus.
- Student must be punctual for class and collected promptly at the end of class.
- Occasionally it may be necessary to temporarily change the venue of a class, postpone the class to a later date or move the class online. CBW will notify parents/guardians as soon as possible via email and social media.
- CBW reserve the right to cancel classes at any time, either the class will be rescheduled, possibly within school holiday time or a credit for missed classes will be added to the following term’s invoice. Parents/guardians will be notified as soon as possible via email and social media.
- CBW reserve the right to change the timetable at any time. Parents/guardians will be notified as soon as possible via email and social media.
- During show terms CBW may require students to attend additional classes or temporarily change the timetable.
- CBW aim to invite parents to watch the last class of each term. However, this is subject to change and any policies in place at the time. (This may vary depending on each venues own policies.)
Photography and Videos
- CBW may take photographs or videos of classes for advertising purpose on social media, websites, or prints. We will only use photographs when prior consent has been obtained. (Consent is given on the Class Manager enrolment form).
- You may withdraw consent at any time. Please give notice to the Principal of any changes made to your enrolment decision.
- CBW reserve the right to request that no photos or videos are taken by parents in classes, watching weeks or shows.
Absences
- Notice and reason for absence is requested prior to the class commencing.
- In the event of a family emergency or unforeseen circumstance late notice is acceptable.
- No refund will be offered for missed classes or absenteeism.
Illness & injuries
- Please report any illness or injury to the CBW staff, Principal or teacher immediately so that reasonable adjustments can be made to ensure a safe working environment for our students.
- Those with symptoms of an infectious illness are asked to remain at home until symptoms have ceased. Individuals feeling well enough to dance will be offered the opportunity to join their class by Zoom, allowing them to continue their dancing at home.
- In the event of a teacher needing to remain at home due to an infectious illness, affected classes will either be covered by another teacher, or will revert to online Zoom classes. Refunds or credits for classes will not be available when the option to join online is given.
Teachers
- CBW employs industry professionals who are highly trained to teach ballet.
- All staff are DBS checked
- All staff have undergone safeguarding training.
Conduct
- CBW aims to foster a welcoming and friendly environment for all students. Our classes are disciplined whilst having fun. Misbehaving students are given three verbal warnings before they are asked to sit out of the lesson. If the problem persists, parents are spoken to in person and in writing.
- We do not discriminate nor condone discriminatory behaviour by our students, parents/guardians, staff, volunteers, and teachers on race, religion, culture, gender, sexual orientation, age, disability nor any other special circumstances. Anyone found guilty of discriminatory behaviour will be asked to leave the School.
- Parents/guardians, students, teachers, staff, volunteers and young helpers must treat each other with respect.
- Bullying is not tolerated and should be reported to the Principal or class teacher.
- Pupils will be asked to leave without notice for any serious breach of the school’s terms and conditions or for any other serious misconduct. In such circumstances fees will not be refunded.
Termination of enrolment
- If you wish to terminate your child’s enrolment with CBW, written notice is required prior to the commencement of the following term. Failure to do so will result in the customer being liable to pay for the term fees regardless of attendance.
- Exceptional circumstances will be considered on an individual basis at the discretion of the Principal.
- If a student leaves CBW with fees outstanding, CBW reserves the right to pursue recovery of the debt by all legal means necessary including court action.
CBW Liabilities
- CBW does not accept responsibility for any loss or damage to personal property at any of the venues.
- CBW attempt to minimise any risk of personal injury within practical boundaries, however accidents do happen, and all physical activities carry the risk of personal injury.
- All students and guardians acknowledge that while every care and safety measure will be taken, there is an inherent risk of personal injury in physical activities and accept that risk.
- CBW is responsible for the safety and care of the students whilst in the studios.
- CBW does not accept responsibility for student’s safety outside the premises.
- CBW holds public liability insurance.
Miscellaneous
- Additional policies are available from the Principal on request.
- All grievances should be escalated to the School’s Principal in person or in writing who will deal with the situation as appropriate.
