The information you provide in this form will be used solely for managing your membership with Cobras Basketball Club.

The Club has a Data Privacy Policy available upon request via email. A printed copy is also available to view at any of our sessions. Your data will be stored and used in accordance with this Policy.

Membership Agreement

By registering with Cobras Basketball Club, you agree to the following:

Participation

• You agree to your child (if applicable) taking part in all club-related activities.

Health and Safety

• You agree and it is your responsibility to inform coaches of any changes to the member’s health, medication, or additional needs.

• You agree and it is your responsibility, to keep the Club updated with any changes to your contact details.

• In the event of illness or injury and if you hold parental responsibility, you agree to give permission for medical treatment to be administered where deemed necessary by a qualified first aider or healthcare professional.

• If you cannot be reached in an emergency, you agree to authorise medical professionals to administer any necessary treatment.

Season and Term Fees

• All season and term fees must be paid in advance, unless a pre-approved payment plan has been arranged with the Club.

• Season fees are non-refundable.

• If you have requested a payment plan, this constitutes a legally binding contract, entered into at your request. You agree to pay the full balance of the season’s fees, even if you or your child withdraw from the Club before the season concludes.

• Payment plans are offered to help spread costs and are not pay-as-you-go or monthly membership options. Commitment to a plan remains regardless of attendance, training availability, or match participation.

• For After-school clubs and Skills Development Sessions, payments are processed via ClassManager. If you request a payment plan for these, you must accept a Direct Debit mandate, which will be processed securely through GoCardless. 

• Teams associated with Basketball England may also be able to access payment plans via PlayerHQ

• If your circumstances change (e.g. injury, financial difficulty) and you wish to cancel or amend your plan, you must formally request this via [email protected]. This does not guarantee approval, each request will be reviewed individually. The Club reserves the right to pursue any unpaid balances or breach of agreement through legal means if necessary.

Attendance and Registration Requirement

• As much as we aim to be flexible and accommodating, no player will be permitted to attend any Cobham Cobras training sessions, fixtures, after-school clubs, or activities without full registration and payment (or a formally agreed payment plan) in place.

Promoting Equality in Sport

Sport plays a vital role in promoting inclusion across all communities. Historically, inequalities have existed in sport, especially in relation to gender, race, disability, and socioeconomic status. Cobras Basketball Club supports Sport England's commitment to equality in sport.

By monitoring the demographic profile of our members, we aim to address under-representation and ensure that everyone has equal access and opportunity to enjoy and progress in the sport.


CANCELLATION AND REFUND POLICY

The Cobham Cobras Basketball Club operates on a term or seasonal commitment basis. By registering for any club activity, you acknowledge and agree to the following policy.

TERM AND SEASON COMMITMENTS

• All registrations for team programmes, after-school clubs and skills development sessions are booked and charged per term or per season.

• Registration secures a participant’s place for the entire term or season and the Club plans coaching, staffing, venue hire (and league participation if BE related) based on these confirmed numbers.

• Payments are therefore non-refundable and non-transferable once a booking has been confirmed.

SEASONAL CAMPS

• All seasonal camps, holiday camps, and special event sessions are strictly non-refundable once booked.

• Places are limited and reserved in advance, and staffing and venue arrangements are made based on confirmed bookings.

NON-ATTENDANCE

• Refunds or credits will not be issued for missed sessions, including those missed due to illness, injury, holidays, schedule conflicts, or personal circumstances.

INJURY OR MEDICAL CIRCUMSTANCES

• If a participant becomes injured or unable to participate due to a medical condition during the season or term, this does not automatically entitle the participant to a refund.

• In exceptional cases involving long-term injury or serious medical circumstances, the Club may review the situation at its discretion.

• Any request must be submitted in writing with appropriate supporting information.

EXCEPTIONAL CIRCUMSTANCES

• Refunds may only be considered in exceptional circumstances, at the sole discretion of Cobham Cobras Basketball Club.

• Any request for consideration must be submitted in writing, including full details and supporting information where appropriate.

• Submission of a request does not guarantee approval, and each case will be reviewed individually by the Club.

BEHAVIOUR AND DISCIPLINARY ACTION

• Cobham Cobras Basketball Club expects all players, parents, guardians, and spectators to adhere to the Club’s codes of conduct and behaviour standards.

• The Club reserves the right to suspend or remove any participant whose behaviour is deemed unsafe, inappropriate, or in breach of Club policies.

• In such cases, no refunds will be issued for any remaining sessions, term fees, or season fees.

TRIAL SESSIONS

• From time to time the Club may offer trial sessions for new participants.

• A trial session must be booked in advance and approved by the Club.

• Attendance at further sessions following a trial will require full registration and payment (or an agreed payment plan).

• Participants will not be permitted to continue attending sessions without completing the registration process.

CLUB CANCELLATIONS

• In the unlikely event that Cobham Cobras Basketball Club cancels sessions for an extended period, the Club will review the situation and determine whether alternative sessions, credits, or adjustments are appropriate. 

FORCE MAJEURE

• Cobham Cobras Basketball Club shall not be liable for failure to deliver sessions or programmes due to circumstances beyond its reasonable control. These may include, but are not limited to:

  Venue closures or facility issues

  Severe weather conditions

  Public health restrictions or government regulations

  Industrial action or transport disruption

  Any other events that make it unsafe or impractical to operate sessions

• Where possible, the Club will endeavour to provide alternative sessions or suitable arrangements, however refunds are not guaranteed in these circumstances.
