Terms and Conditions
CREATE THEATRE ACADEMY – TERMS & CONDITIONS
By registering for classes, lessons, workshops, rehearsals, productions or other activities with Create Theatre Academy, you agree to the following Terms & Conditions.
1. Registration
- All students must be registered through Class Manager with Create Theatre Academy before attending regular classes.
- Parents/guardians are responsible for ensuring that all information provided during registration is accurate and kept up to date. This includes contact details, emergency contact information, medical information and any additional needs that may affect a student’s participation.
- Students aged 18 and over are responsible for providing and maintaining their own information.
2. Class Fees & Payments
- Class fees are paid monthly through Class Manager.
- Fees are calculated across our teaching year and spread into monthly payments, with Create Theatre Academy’s planned holiday weeks already taken into account. This means payments may remain the same even when the number of classes within a particular month varies.
- Your first payment must be made before beginning classes. If joining partway through a month, the first payment may be adjusted to cover the remaining classes.
- Regular monthly payments are due on the first day of each month, unless an alternative payment arrangement has been agreed with Create Theatre Academy.
- Fees reserve the student’s place within their class and are therefore payable regardless of individual attendance, including absences due to holidays, illness or other personal commitments.
- Create Theatre Academy reserves the right to review and amend class fees. Reasonable notice will be provided before any changes take effect.
Late Payments
- Fees must be paid by the payment due date shown in Class Manager.
- If payment has not been received within 3 days of the payment due date, a £10 late-payment fee will be added to the outstanding balance.
- Where fees remain outstanding, Create Theatre Academy reserves the right to suspend the student’s attendance and/or release their place within the class until the outstanding balance has been resolved.
- If you are experiencing exceptional circumstances that may affect your ability to make a payment on time, please contact Create Theatre Academy as soon as possible.
3. Absences, Missed Classes & Refunds
- Refunds or fee reductions cannot normally be provided for classes missed by a student.
- This includes absence due to holidays, illness, school commitments or other personal circumstances, as the student’s place within the class remains reserved.
- In circumstances involving significant or prolonged illness, injury or other exceptional circumstances, please contact Create Theatre Academy directly. Individual circumstances may be considered at our discretion.
- If a student decides to leave Create Theatre Academy partway through a month, fees already paid for that month will not be refunded.
4. Cancelling Your Place
- If a student wishes to leave a regular weekly class, 4 weeks’ written notice must be provided to Create Theatre Academy.
- Any fees falling due during the applicable notice period remain payable.
- Please contact Create Theatre Academy directly if you wish to cancel a place so that we can confirm the student’s final payment and attendance date.
- Fees already paid are non-refundable if a student chooses to stop attending before the end of their notice period.
5. Classes, Tutors & Timetables
- Occasionally, tutors may be unavailable due to professional commitments, illness or other unforeseen circumstances. Where appropriate, a suitable cover tutor may be provided.
- While we aim to maintain consistent timetables and teaching staff, Create Theatre Academy reserves the right to make reasonable changes to teachers, class times, rooms, venues or other arrangements where necessary.
- Where a significant change is required, we will provide parents/guardians and students with as much notice as reasonably possible.
6. Class Cancellations by Create Theatre Academy
- Create Theatre Academy reserves the right to cancel or amend a class, lesson, rehearsal or workshop due to circumstances such as staff illness, venue closure, severe weather or other circumstances outside our reasonable control.
- Where possible, we may provide a replacement teacher, rearrange the session or offer an appropriate alternative.
- If Create Theatre Academy cancels a scheduled regular class and no replacement or alternative session is provided, the value of that class will be credited towards the following month’s payment where appropriate.
- This does not include Create Theatre Academy’s planned holiday closures, which have already been taken into account when calculating monthly fees.
7. Attendance
- Students are expected to attend classes regularly and arrive on time.
- Consistent attendance is important to allow students to gain the most from their training and enables classes to develop effectively as a group.
- Where a student is going to be absent, we ask that Create Theatre Academy is informed where reasonably possible.
- Students taking part in productions or performances are expected to attend required rehearsals wherever reasonably possible. Persistent absence may affect a student’s involvement in particular numbers, scenes or performances where attendance is necessary for the safety or quality of the production.
8. Behaviour, Conduct & Respect
- Create Theatre Academy aims to provide a positive, supportive, professional and inclusive environment.
- Students are expected to behave respectfully towards teachers, staff, fellow students and venue staff.
- Bullying, harassment, discrimination, threatening or abusive behaviour, persistent disruption or behaviour that places another person at risk will not be tolerated.
- Serious or persistent unacceptable behaviour may result in Create Theatre Academy speaking with the student and/or their parent/guardian and, where necessary, suspending or terminating the student’s place.
9. Safeguarding
- The safety and wellbeing of our students is extremely important to us.
- Create Theatre Academy operates appropriate safeguarding procedures and expects all staff and students to contribute towards maintaining a safe and supportive environment.

- Students should inform their teacher of any injury, illness or condition that may affect their ability to participate safely.
- In the event of an accident, illness or emergency, Create Theatre Academy will attempt to contact the student’s parent/guardian or nominated emergency contact.
- Where urgent medical assistance is required and a parent/guardian cannot immediately be contacted, staff may contact the emergency services and take reasonable steps necessary to protect the student’s welfare.
11. Illness
- Students should not attend classes if they are unwell with an illness that may pose a risk to other students or staff.
- Parents/guardians should use reasonable judgement and follow any relevant public-health guidance.
- Normal absence and refund conditions continue to apply where a student is unable to attend because of illness, subject to the exceptional circumstances outlined within these Terms & Conditions.
12. Arrival & Collection of Children
- Parents/guardians are responsible for ensuring suitable arrangements are in place for children arriving at and leaving classes.
- Younger students should be brought safely to their session and collected promptly at the end.
- Create Theatre Academy should be informed if somebody different will be collecting a child where this is relevant to the student’s age or circumstances.
- Students should not leave a supervised session without permission where their collection arrangements require them to remain with staff.
- Create Theatre Academy is not responsible for students outside their scheduled class or activity times unless otherwise agreed.
13. Clothing, Footwear & Physical Participation
- Performing arts classes may involve physical activity, including dance, movement and physical warm-ups.
- Students should attend wearing clothing and footwear appropriate for the activity.

- Certain classes, rehearsals or performances may require specific footwear, clothing or costume for safety or performance purposes.
- Students should inform their teacher of any injury or condition that may affect their ability to participate.
- Students should not participate in an activity if they have been advised by a medical professional not to do so.
14. Personal Belongings
- Students are responsible for their own personal belongings while attending classes, rehearsals, workshops and events.
- Create Theatre Academy cannot accept responsibility for loss, theft or damage to personal belongings unless caused by our negligence.
- We recommend that valuable items are not brought to sessions unless necessary.
15. Photography & Video
- Create Theatre Academy may occasionally take photographs or video footage during classes, rehearsals, workshops and performances for promotional, educational or archival purposes.

- Photography and filming permissions can be updated or withdrawn for future use by contacting Create Theatre Academy.
16. Workshops, Shows, Events & Additional Opportunities
- Students may occasionally be offered the opportunity to participate in workshops, masterclasses, performances, productions, concerts, additional rehearsals or other activities.
- These may be subject to separate fees, schedules, rehearsal commitments and conditions.
- Any additional costs or requirements will be communicated before booking or participation and are not automatically included within regular monthly class fees unless specifically stated.
17. Casting & Performance Roles
- Participation in Create Theatre Academy does not guarantee a particular role, solo, casting decision or professional opportunity.
- Casting decisions will be made by the relevant creative team based on factors including suitability for the role, performance requirements, development needs, attendance and the overall needs of the production.
- Casting decisions made by the creative team are final.
