Terms and Conditions

CONTRACTUAL AGREEMENT

This contract agreement is a binding agreement between you (The Parent) and us (FairStage Academy T/A Yellow Stars Theatre Arts LTD) to agree terms of delivery and payment of services. 

I (the parent) have read and understood the terms set out in the student and parent handbook, which forms part of this contractual agreement. Set out in the handbook is terms for; New starter payments and requirements, payment of class fees through direct debit, uniform, cancellation policy, rehearsal and show requirements, student and parent etiquette.  By signing below, you are agreeing to a formal contact to:

New Starter

·       To Pay for class fee’s on the day for the first two weeks of class from and including the date you sign this form.

·       To Pay for the rest of the month on the third week in which your child joins FairStage Academy in full.

·       Once your child has attended their third week, you are agreeing to enter a direct debit agreement with FairStage Academy and are therefore, here on after are liable to the next month’s class fees, even if your child does not attend classes.

Class Fees

·       To be paid through Direct Debit on the 1st of every month (excluding our out of term dates) on time or if unable to pay on time to communicate with FairStage Academy three working days before the 27th of the month. If the Direct Debit is returned to FairStage Academy, a late payment fee (which is stated in the hand book) will be applied weekly until payment is received.

·       To give 30 days written notice of cancelation. If the cancelation falls within a new invoice month, you (The parent) will still be liable for payment. If the direct debit is cancelled before the notice period collection date, you will be in breach of this agreement and legal action will be taken.

·       To inform us immediately of any activity updates and understand that it will take affect from the following month. If given on or after the 27th of the month, this will be applied to the next billing cycle.

·       To pay for classes if your child has been suspended or excluded from FairStage Academy until a return date is agreed.  

Uniform

·       To bring your child in the correct uniform and follow hair standards at all times when attending classes, or your child maybe refused from entering their class.

·       To purchase and keep on top of uniform and shoes, to ensure they are the correct fit for your child.

·       To keep uniform and shoes clean and looking smart at all times 

Rehearsal & Shows

·        To take part in at least one show a year! Parents will be asked to pay for show fee’s and costume hire. 

·       To pay for show fee’s and costume costs on time! 

·       To attend all rehearsals. If your child misses a rehearsal, you must inform us asap. Failure to do so will result in their part or dance routine being revoked.

·       To not take video’s or pictures during any show or event with FairStage Academy, unless otherwise instructed to do so

·       To sell as many tickets as possible for your child’s show!

Parent Etiquette, Effort & Support

·       To show parental support towards the school, by offering support during events, helping advertise shows and events

·       To show proper parental etiquette at the school when dropping off or picking up your child, or at any event or show where a Member of FairStage Academy staff or parent is present.

If any of the terms in this contract are found to have been broken, internal action or legal action will be taken against you depending on the breach!

New Students & Parents 

We hope you are settling in well. FairStage Academy is an exciting place to learn a new talent. There are a few things you need to know to begin with.

Uniform

Uniform is essential for all students and must be worn in every single class!

As a new student your child will need to use their PE kit for dance/Acrobatic lessons, so that they can move safely with out the risk of injury. For drama and singing lessons they will need plain black t-shirt with black leggings or jogging bottoms so that they look and feel the same as everyone else.  Girls MUST have their tied back neatly in a bun to prevent it getting in their way when they dance. The same with boys with long hair. We expect parents to start to buy correct uniform as soon as possible.

Payments & Bills  

For the first two weeks your classes are pay weekly however on your third week you must pay the remainder of the month and you will switch to Monthly direct debit payments for the following month. All Direct debit instruction forms, must be returned by the third week of your child joining the school. When you sign your child up, you are accepting Yellow Stars Theatre Arts LTD’s terms laid out in this book and on the enrollment form. If your child attends class on the third week of joining, you are agreeing to pay the following months direct debit. Our Cancellation policy then applies from the third week. This will help us get the most out of your child by knowing if they are attending.

Everything else you need to know is in this book or if you are unsure just ask, we’ll be happy to help!

Classroom Etiquette 

 We expect all of our students to show respect to all FairStage Academy staff and students at all times. Bullying has no place at FairStage Academy and will not be tolerated. We expect all of our students to say “Hello” when they enter the room and “Sorry” to their tutor if they are late. We expect all students to move around the building calmly and quietly as other students may be in a lesson. At the end of each class, all students are expected to thank their teacher(s) for working with them. (This instills respect and manners). During the sign in and out period students are expected to say “thank you and goodbye” to the member of staff who is on reception. If your child needs a drink or needs the toilet, we expect students to put their hand up and ask their teacher if they may be excused for a drink or the toilet. The teacher will let them go if it is appropriate. Students will be asked several times during a class if they need the toilet or a drink. 

Rehearsal Etiquette

Its show time and its crazy busy with lots of things going on!! The last thing the creative team needs is a member of the cast or dancers missing from rehearsal without explanation. Students are expected to attend EVERY rehearsal ON TIME and having practiced their routines, songs or lines at home ready to run during the rehearsal. If you miss a rehearsal, parents need to inform FairStage Academy immediately so some allowances can be made. We have the right to revoke a part or dance given to a student if rehearsal attendance is not up to the required standard, or if a student or parent is behaving unprofessionally. 

Show Etiquette 

We expect all parents and guardians to support all the shows and events that we do here at FairStage Academy, by attending or advertising it in their cars or sharing our social media posts etc. This will help the school gain valuable income to buy resources that we need for the students. We also expect parents to say “Thank you” to their child’s teacher for their hard work. A card and a small something goes a long way! 

Parent Etiquette 

 We know as parents it can be very expensive to bring your child to classes, but making the effort does really count! We ask parents to ensure their child is a few minutes early for classes to ensure they don’t get a late mark or refusal. We ask that if parents have any issues that are upsetting them that they talk to us directly, rather than discussing it with other parents, then we can often resolve the issue more effectively. Parents are expected not to walk into classes and disturb the lessons. We also expect parents to respect the decisions that staff make regarding their students, it is for the students best interest! All staff gives every parent the upmost respect and we expect the same from parents.  “Hello’s, Pleases, Thank Yous and Goodbyes” are a must.

Pay Monthly Policy

FairStage Academy operates a pay monthly direct debit policy for all of its classes. The pay monthly policy is designed to make everyone’s experience with FairStage Academy more beneficial, enjoyable and to keep the school operating.

How does it Work?

It works by students/parents paying for their classes in advance for the month. When you enrolled your child in to our classes you would have done so through the ‘class4kids’ website and you would have created your own account. We will generate your monthly invoices through class4kids to which you can view either via email or by logging in to your account. We will automatically enroll your child each month in to their classes until you tell us otherwise by using our cancelation policy. When you arrive to your first class you must complete a Direct Debit instruction form and return it to us by the second week

Once we have your direct debit form, we will set it up and payment will be taken from your account on the 1stof every month and the payment will show up on your class4kids account a few days later. Please note that late payments are subject to a late payment fee.

How is the monthly class fee worked out?

When you enrolled your child into our classes using the ‘class4kids’ website you selected the classes that you would like them to participate in. Once you have completed your trial we use the classes that your child is enrolled in to calculate your class fees. Invoices are calculated by counting the amount of teaching weeks there is during the month. Invoices may vary in amount because of the amount of teaching weeks there is in the month   Please note that you will not be charged for OUR Christmas, Easter & Summer holidays.

How can I pay the monthly fee?

Payments are made through our direct debit scheme. You should have been given a Direct debit instruction form to complete.The direct debit will come out of your account on the 1st of each month. As stated above you will receive an invoice a few weeks before the direct debit comes out of your account.

Is the monthly class fee refundable?

No. Once the Direct debit has been paid, it is non refundable as you have entered into a formal contract between yourself (The parent) and Yellow Stars Theatre Arts LTD, to pay class fee’s for your child until you have submitted a formal cancelation request by email. However, if you provide a certified medical note from a doctor/hospital for the date in which your child had missed, the amount will be re-accredited to your parent class4kids account. 

Under exceptional circumstances that are discussed with Ryan Lea, class fee’s may be refundable by means in which it was paid. (For Example if your child has a broken arm and can not dance/or take part in lessons).

What happens if my child misses a class that I have already paid for?

If your child/children misses a class that has already been paid for, unless you have provided a medical note or certificate all missed classes MUST be paid for. Think of paying for FairStage Academy like a gym membership, If you don’t use it, you still pay for it!

What if my child is ill, will I still get charged?

If your child is ill and is unable to attend class, you must inform FairStage Academy on 0161 222 3435before their class is due to start. Unless a medical note or certificate is provided, missed classes still MUST be paid for.

What happens if my direct debit doesn’t come out on time and then I am unable to pay my invoice on time?

If your direct debit is returned to us, then we will contact you to find out a reason as to why it has been returned unpaid. A late payment fee of £5.00 per week will be added to your invoice for the following month until payment is made and your child maybe refused entry into their classes until payment has been received in full, or you have spoken to Mr Ryan and have come to a written agreement on making payment. 

If you are unable to fulfill your direct debit for the month, and you are aware of it in advance, please email [email protected] your situation and we maybe able to stop the direct debit however this MUSTbe done three working days before the 27thof the month.

What is the extra £2.50 a month for? 

The extra £2.50 is an administration fee, which covers the maintenance of your parent class4kids account, and the cost of letters, text messages and the direct debit facility etc.

Activity Update Policy

If your child wants to do more classes or stop doing certain classes, then you must log in to your class4kids account and add the classes you wish your to take part in. If you would like to remove a class then you must email [email protected] what classes you would like to remove. This must be done 30 in advance.

Cancellation Policy

If you or your child want to cancel all of your classes with us, then you must do this in writing by emailing [email protected] must give us 30 days notice of your cancellation. If your notice falls after 5thof the month then, you will be charged up to the end the following month.

 Tip….. If are going to cancel, do it straight after you have just paid your invoice otherwise you will have to pay for the following month. This is just like a gym membership. You often have to give 30 days notice 

Be Aware!

If the direct debit is canceled before the 30 day notice period, you are in breach of the agreement/contract that you singed when enrolling your child. Payment must be made or legal action maybe taken against you!

Direct Debit Policy 

When you enroll your child you should be given a direct debit Instruction form (DDI) to complete and return to us. Your Direct Debit (DD) will take a few days to set up. Once the DD has been set up, you should receive an email a few days before payment is due for collection giving you advance warning of the first collection.

Once you have completed the form, it will be stored in a locked safe in our registered office for a period 6 years from the date stated on the form. This is a regulation set by BACS (the organization that governs DD’s). Once the six year period is over, they will be destroyed in line with BACS disposal regulations.

If the first attempt of collection fails, we will contact you for a reason as to why it has failed. A late payment  fee of £5.00 per week until payment is made will be added to next month’s invoice . To avoid this from happening you must ask for a direct debit halt at least 3 working days before the 27thof the month. This is when the payment is sent to BACS  

 Direct Debit Guarantee 

• This Guarantee is offered by all banks and building societies that accept instructions to pay Direct Debits.

• If there are any changes to the amount, date or frequency of your Direct Debit PSL re Yellow Stars Theatre Arts Ltd will notify you 3 working days in advance of your account being debited or as otherwise agreed. If you request PSL re FairStage Theatre Arts Ltd to collect a payment, confirmation of the amount and date will be given to you at the time of the request.

• If an error is made in the payment of your Direct Debit, by PSL re Yellow Stars Theatre Arts Ltd or your bank or building Society, you are entitled to a full and immediate refund of the amount paid from your bank or building society

- If you receive a refund you are not entitled to, you must pay it back when PSL re Yellow Stars Theatre Arts Ltd asks you to

• You can cancel a Direct Debit at any time by simply contacting your bank or building Society. Written confirmation may be required. Please also notify us.

Late Arrival To Classes

Every session has a timetabled start time. It is important that students arrive to classes 15 minutes early or at least on time. Every class has a warm up period and it is vital that students are in class for this, as this warms up their muscles, bodies and vocal cords. If students miss the warm up they could seriously injure themselves or damage their vocal chords.

If you arrive 15 minutes after the scheduled start time of the class, your child may not be allowed in to the class due to health and safety reasons. Please note if you are refused entry into class for being late no refund will be given.

It is advised that students arrive 15 minutes before the classes start time to get prepared for the class.

Health and Safety

Health and safety is a top priority for everyone at FairStage Academy. However, it is everyone’s responsibility to ensure that they feel safe. We rigorously risk assess every room before every class. 

Parents are advised that risk assessments are available upon request.

First Aid

FairStage Academy has fully first aid trained staff on site at all times when classes are taking place. If your child has an accident, then they will sent home with an accident form detailing what has happened and what action was taken and you will be informed upon pick up or if deemed appropriate we may contact you to collect your child. In case of extreme emergency and your child is taken to hospital a member of FairStage staff will accompany them and you will be contacted.

Fire Safety

In case of fire

In the event of a fire students are expected to follow the instructions of the FairStage Academy staff. All students must leave the building through the nearest fire exit in a safe but timely manner and make their way to the fire assembly point, which will be clearly marked. 

All fire doors are clearly marked and should/will be kept closed and be kept clear at all times!

Safe Guarding 

FairStage Academy takes the Safeguarding and wellbeing of all of its students, extremely seriously.  All of our volunteers and teachers have had an enhanced Discloser and Barring Service check. They have also been put through stringent professional background and character vetting process. 

FairStage Academy operates a stringent Safeguarding policy, which is available on request. 

We must also make parents aware that physical contact may occur during dance or acrobatic classes. This is to enable the teacher to give technical corrections to your child. 

CCTV is in operation in all areas of the building to provide protection for both staff and students this does also include the use of sound recording in the main dance studio. 

Equal Opportunities 

 All young people are equal and will be treated as such!

Data protection 

All information and details that we collect is essential for us to teach your child safely. We only collect essential information about both students and parents! This can be accessed at anytime. We comply with the General Data Protection Regulation 2018 set by the EU.

Child Pick Up Policy 

Parents/guardians can collect their child at the end of the timetabled class by waiting patiently in the parent area. When the class teacher brings the children down, parents are asked to not beckon their child to them as we need to see which child is going with which person. If parents are found to being persistently doing this then all students will be taken back to their classroom or area and handover will be conducted in another to which that class teacher sees fit. We will not tolerate this behavior and written warnings will be given to the parent who is demonstrating this behavior.

If a parent / guardian is unable to collect their child, the parent / guardians must inform FairStage Academy staff if another authorized person is collecting the child. Parents / Guardians can do this by calling 0161 222 3435or by verbally telling a staff member.

If the child is allowed to leave the class independently if written consent is given by the parent / guardian.

Parents who are running late must inform FairStage Academy ASAP by calling 0161 222 3435.Failure to inform us of a late collection will result in a late collection fee of £15 for every 15 minutes they are late.  If you are 7, 22, 37 or 52 minutes late, you will be charged for the full amount of time. You will be notified of this upon collection and it will be added to your next months invoice. Parents who are persistently late may risk their child’s place at the school.

Uniform

Uniform is essential to the development and safety of all students and must be warn in every single class. In dance wearing the correct uniform is important for our teaching staff to be able to see students body alignment and placement. This enable them to correct any mistake that your child may be making. Wearing incorrect uniform makes spotting alignment and placement mistakes impossible and could lead to injury.

 Our uniform helps to create a sense of unity ad belonging for the children whilst participating classes. Having the correct uniform gives students the opportunity to learn responsibility of ensuring that they have everything they need for class. It also creates a professional environment. Girls MUST have their tied back neatly in a bun to prevent it getting in their way when they dance. The same with boys with long hair. Student will not admitted in to classes if the incorrect uniform is worn and no refund will be given. Please see our uniform guide for all of our uniform.

 Lost Property Policy

All students are reminded to make sure that they have all of their personal belongings when leaving classes. Inevitably, students do sometimes leave things behind. We do our very best to make sure that anything left behind is picked up. Any lost property that FairStage Academy staff find, will be stored in our lost property box for a period of 4 weeks. If items remain unclaimed after this period, they will be disposed of in the correct manor.

We advise parents to put their child’s name on any dancing shoes, water bottles, and lunch boxes, or to write their names on labels inside any item of clothing that they bring to class.

FairStage Academy is not liable for belongings left behind, lost or damaged during or after classes.

Examinations

Here at FairStage Academy, we do several exam sessions during the year to try not to overwhelm our students. When your child’s teacher thinks that they are ready to be entered into an exam, you will be told when the next exam session is and how much it will cost. 

Exams are a great way to prove how hard your child has worked and improved throughout the year, plus the exam boards we use are widely recognized at stage, drama and dance colleges. The I.S.T.D. is one of the top dance examination boards in the world. L.A.M.D.A is a highly recognized drama and singing organisation, which enables students to build a portfolio of certificates to help with applications to drama college or stage school.

Both Exam boards work with UCAS to help gain students points towards their university applications when they are older. Please note, not all grades count towards the UCAS scheme.

Exam Fee’s will need to be paid, but the amount depends on the grade in which your child will be entered. This will need to be paid for in advance of the exam. Your child’s teacher will give you this information if an exam is given.

Exam Etiquette 

If your child is lucky and has been entered into an exam, there are several things you should and shouldn’t do.

Do’s:

- Bring your child in the specified uniform with the correct uniform & hair requirement 

- Pay your exam fee’s well in advance of your child’s exam to secure it 

- Bring your child in at least 30 minutes before the exam and help warm up

- Make sure they eat healthy and have an early night before the exam.

- keep your child nice and relaxed and calm so they do their best

Don’ts:

- Bring your child in any old clothing or shoes and expect them to dance 

- Pay your exam fee’s on the day and expect to take the exam, it’s not possible

- Arrive late for an exam, you will get refused and no refund will be given

- Plaster your child in make up and make them look like a drag queen, you will be asked to wipe it off, or if it is to close to the exam time your child maybe refused entry into the exam. No refund will be given

- Ask to speak to examiner; they will have lots of exams to do that day

Food & Drink Policy 

We operate a healthy eating approach to food here at the school. Therefore Fizzy drinks; sweets, popcorn and high sugar foods and drinks are strictly prohibited from lunch boxes to enhance the effective learning & energy of our students during classes. If found, they will be taken and given back at the end of the day. Then you can have all you fun when they return home!!

Show Time

FairStage Academy has a reputation for producing high standard shows with stunning costumes. Students who show determination, outstanding effort, commitment and good attendance will be given the opportunity to perform in productions. Our shows are a fun time for all. Parents will be asked for contributions towards the running costs of the show or the hire costs for loan of our costumes.

 Photo & Video Consent

When you enrol your child with us on the class4kids website you are asked: Do you give permission for Yellow Stars Theatre Arts LTD trading as FairStage Academy to take pictures and videos of the named child for Examinations/ Assessments/ Observation & Promotional purposes. This Permission is essential to your child’s progression during their training. All you need to do is type “YES”

 We also ask for this permission so that we can use videos and photos for our promotional activates. This is a great compliment to your child if a picture or video of them is used as it shows the school off to potential new parents who are looking for somewhere for their child to learn a new style of dance or acting or singing. 

 Under the new General Data Protection Regulations 2018 we must inform you, that you can withdraw consent at any time by emailing [email protected] . There are certain circumstances where withdrawing consent once it is given is not applicable such as exam video’s and observational videos as they may be sent to an external examiner.

Uniform Returns, Refunds & Exchanges

Returns 

You have 14 calendar days to return an item from the date you received it. To be eligible for a return, your item must be unused and in the same condition that you received it. Your item must be in the original packaging. Your item needs to have the receipt or proof of purchase. 

Refunds 

Once we receive your item, we will inspect it and notify you that we have received your returned item. We will immediately notify you on the status of your refund after inspecting the item. If your return is approved, we will initiate a refund to your credit card (or original method of payment). You will receive the credit within a certain amount of days, depending on your card issuer's policies. 

Shipping 

You will be responsible for paying for your own shipping costs for returning your item. Shipping costs are nonrefundable. If you receive a refund, the cost of return shipping will be deducted from your refund. Contact Us If you have any questions on how to return your item to us, contact us.

How To Return Your Item 

FairStage Academy Students/Parents can return their items at one of our scheduled classes. Online purchasers whom are not part of FairStage Academy should notify FairStage Academy of the return by Telephoning 0161 222 3435 or emailing: [email protected]
