Terms and Conditions Effective April 2025
Fees, Payments & Refunds
- Invoices are issued each half term via email.
- A monthly payment option is available with a six-month minimum commitment. This agreement automatically renews unless terminated.
- Each invoice includes a £5 administrative fee. This fee will be waived if payment is received by the due date stated on the invoice. Late payments will incur the full admin fee.
- All invoices are non-refundable.
- Refunds are only granted if a class is cancelled by Jasmine Dance Academy.
- Jasmine Dance Academy is not liable for class cancellations due to events outside our control (e.g. severe weather, venue closures, or public health emergencies). In such instances, we will endeavour to provide a make-up class. Refunds will not be issued in these circumstances.
Registration, Absence & Withdrawal from Classes
- All students are registered on class attendance lists for safety and communication purposes.
- Registers are taken at the beginning of each class.
- If your child is absent, please notify the office. Missed classes are non-refundable. Where possible, a make-up class may be offered within the current term, subject to availability.
- Students are automatically enrolled from one half term to the next unless written notice is received.
- To withdraw from a class, a written or emailed notice is required at least four weeks in advance. Failure to provide notice may result in charges for the upcoming half term’s fees.
- If fees remain unpaid after a student leaves, we reserve the right to pursue recovery of the outstanding balance through legal channels.
Trial Classes
- Trial sessions must be pre-booked and are subject to availability.
- A confirmed trial does not guarantee a place in the class until full registration and payment are completed.
Uniform and Appearance
- Each class has a designated uniform, these will be outlined via email on day of enquiry or enrolment.
- Uniforms must be obtained by the third week following enrolment.
- Hair should be neatly styled and secured:
- Ballet students: Hair in a bun
- All other classes: Hair tied back and away from the face
Permissions and Consent
- Consent for photo and video use is requested at the time of trial or enrolment. These materials may be used for promotional purposes on the Jasmine Dance Academy website or social media channels.
- Medical information is collected at the time of trial or enrolment. Parents/guardians must indicate whether staff are permitted to administer first aid or necessary medication.
- Parent/guardian observation is permitted for Pre-School Ballet and Pre-Primary Ballet classes only. For Primary Ballet and above, observation is not allowed. A waiting area is provided.
- While observing, parents/guardians are not permitted to take photos or videos of the class.
Safeguarding, Health & Safety, and Injury
- All Jasmine Dance Academy teachers and volunteers hold enhanced DBS checks.
- For Pre-School classes and Pre-Primary classes, a parent or guardian must remain on site to assist with toileting if needed. From Primary level, students are expected to manage independently.
- Physical contact may occasionally be required for the purpose of correcting posture or technique. This will be conducted respectfully and professionally, with prior consent.
- Dance is a physical activity, and all participants take part at their own risk. While every effort is made to provide a safe and controlled environment, Jasmine Dance Academy accepts no responsibility for any injury, illness, loss, or death arising from participation in classes, rehearsals, performances, or related activities, except where such outcomes are the direct result of proven negligence by Jasmine Dance Academy or its teachers.
- Students (or their parent/guardian) are required to disclose any injuries, illnesses, or medical conditions prior to participating in class.
- Jasmine Dance Academy will not be held liable for any pre-existing medical conditions, undisclosed health issues, or injuries caused by inappropriate clothing, footwear, or failure to follow class instructions.
- Students will not be permitted to leave the venue without a parent/guardian or designated adult unless the Principal has received written permission from the parent/guardian of alternative arrangements.
- Jasmine Dance Academy is committed to the safety and protection of all students. Full details are outlined in the Safeguarding Policy, available at www.jasminedanceacademy.com.
Behaviour and Conduct
- All students and families are expected to treat instructors, staff, and fellow dancers with respect and courtesy.
- Disruptive behaviour in waiting areas or during classes will not be tolerated.
Examinations
- Dance examinations are optional and are not required for progression within Jasmine Dance Academy.
- Entry into examinations is at the discretion of the teacher and is based on readiness and consistent attendance.
- Additional charges apply, including:
- Examination entry fee
- Coaching session fees (up to four sessions)
- Exam day administration fee
- Regular attendance in both weekly and coaching classes is required in the lead-up to the examination.
- Parents/Guardians are responsible for ensuring their child has the correct uniform for any examination.
Adult Classes
- Adults participating in dance classes do so at their own risk and are responsible for their own health and safety.
- Any existing injuries or medical conditions must be disclosed to the instructor before participating.
- Adults with any health concerns should consult a healthcare professional prior to attending. Jasmine Dance Academy accepts no liability for injury or damages except where due to proven negligence.
Communication and Contact Information
- Jasmine Dance Academy may adjust class times or fees with six weeks' notice (equivalent to half a term).
- All communication will be directed to the primary contact unless otherwise arranged in writing.
- Jasmine Dance Academy is not responsible for missed communications resulting from server issues, incorrect contact details, or other factors beyond its control.
- Parents/Guardians are responsible for providing and updating accurate contact and medical information.
Discounts
- Students enrolled between September and December will automatically receive a 10% discount on January term fees.
- Any other applicable discounts will be stated clearly on the invoice.
Code of Conduct
- The Code of Conduct is available during the enrolment process via Class Manager and on our website.
- Students who breach the Code of Conduct may be asked to leave the Academy. Refunds will not be issued in such cases.
Data Protection
- Jasmine Dance Academy is committed to safeguarding personal data and privacy.
- Information is stored securely and only retained for as long as necessary.
- Personal data will not be shared without consent unless required by law (e.g. in relation to fraud prevention or a court order).
Agreement to Terms
By booking a trial or enrolling in classes at Jasmine Dance Academy, you confirm that you have read and agreed to these Terms and Conditions.
Jasmine Dance Academy reserves the right to amend these Terms and Conditions at any time to reflect the needs of the business or the welfare of its students.
