Katie Cox Dance Studio Terms and Conditions

1. Payment

• All payments must be made monthly via Direct Debit through GoCardless.

• First and last month’s fees must be paid in advance. After one month’s notice is given, Direct Debit payments will be cancelled.

• In exceptional cases, payments can be made by bank transfer, cash, or cheque.

• A £15 fee will apply for returned cheques. KCDS may refuse cheque payments after a bounced cheque.

• Individual class payments are not accepted.

• Late payments not made through Direct Debit will incur a £10.00 late fee.

2. Credit Notes & Refunds

• No discounts or refunds are provided for missed classes, holidays, school events, or short-term illness.

• Long-term illness or injury will be reviewed individually at the Principal’s discretion.

• If KCDS cancels a class, a credit note will be issued.

3. Examinations

• Exam-related costs will be invoiced as required.

• Invoices must be paid within 14 days, as exam fees are paid in advance.

• Late payments will incur a £10.00 surcharge.

• All fees must be settled before the exam date.

4. Extra Coaching, Competitions & Rehearsals

• Extra coaching, competition classes, and rehearsals will be automatically added to your Direct Debit.

• These charges will appear clearly on your invoice.

• Late cancellations or non-attendance will still incur payment.

• Manual invoices not paid within 14 days will incur a £10.00 surcharge.

5. Termination of Classes

• To withdraw from a class, send an email before the next month’s invoice is issued.

• If no notice is received, the upcoming month’s fees will still be due.

• If a student is asked to leave the studio, no refunds will be given for any remaining fees.

• Absence of notice will be reviewed individually.

• Outstanding fees may be pursued through legal means.

6. Cancellation of Classes

• Changes in venue or scheduling may occur. We will notify you via email, text, website, or notice board.

• If a class is cancelled, a credit note may be issued.

7. Miscellaneous

• All teachers are DBS-checked, qualified, and insured.

• Physical corrections may occur, but will always be done professionally.

• Any updates to the Terms & Conditions will be posted on the notice board and/or website.

8. KCDS Liabilities

• KCDS is not responsible for injury or loss caused by incorrect registration details.

• KCDS is not liable for injury or death, except in cases of proven negligence.

• KCDS is not responsible for loss of personal property.

• KCDS is not liable for cancellations due to force majeure (unforeseen events).

• Supervision is only provided during class times.

• KCDS holds Public Liability Insurance, available to view upon request.

9. Parent/Guardian Responsibilities

• By signing the enrolment form and attending classes, you confirm acceptance of these Terms & Conditions.

• Notify us of any health conditions.

• Keep your contact and health information up to date.

• Check the notice board and website regularly for updates.

• Disruptive or abusive behaviour from students or parents may lead to exclusion from the studio.

• Abide by the rules of third-party venues.

• Our Child Protection and Health & Safety policies are available upon request.

10. Contact & Communication

• Direct all concerns to the Principal.

• We have a zero-tolerance policy on abusive behaviour— verbal, written, or electronic.

11. Personal Information

• Photos and videos may be used for marketing purposes unless you submit a written objection.

• Contact data is securely stored and will not be shared, except when required by law.

Katie Cox Dance Studio is a trading name of Dancekids Ltd, registered in England and Wales (Company No. 06577124). These Terms & Conditions are governed by English law. Disputes will fall under the jurisdiction of the English courts.
