Terms and Conditions

Terms & Conditions


These are the terms and conditions for customers taking part in classes or events managed by KS Dance Academy. Terms & conditions must be accepted by all students and parents/guardians as part of their participation in such classes or events. 


Section 1: - Student Registration 


oNew students to KS Dance Academy must be registered on the Customer Portal system that is available through the link sent via email (and also via the website) This portal system will capture important details about the Customer and the Student to ensure student safety and welfare, and to enable communications either through email, text or phone. A paper copy of the registration form will also be given and should be dated and signed by a parent/guardian.


oExisting Customers may update their details through the Customer Portal and also access information about current and future classes. Existing Customer should validate the information held by KS Dance Academy at least annually to ensure it is up-to-date. 


oRegistration to the school will cost £10, which will be invoiced.



Section 2 – Trial Classes 


oNew students to KS Dance Academy two trial classes before committing to the class for the remainder of the Term. The Trial Classes are to enable the Student to settle in and feel comfortable with the environment, the length of the class and the degree of difficulty, and also to allow the Teacher to assess the Student to ensure the class is right for him/her.


oTrial Classes must be booked in advance via email or telephone before participating. The first class is Free of charge and the second class payment will be invoiced along with the remainder of term payment (ROT)


oAn invoice for the ROT payment will be distributed at the second lesson. If the Student wishes to continue with the classes payment should be made at the third lesson. If the Student does not wish to continue we ask you to contact us via email or telephone to inform us that the Student no longer requires a space in the class and we will ask you to send over payment for the second lesson via bank transfer or PayPal.



Section 3 – Class Schedule, Fees and Payments


oThe range of fees for KS Dance Academy is published in this booklet and on our website. Fees are charged per 10/11 week term. There are 40/41 weeks in the full year – consisting of four Terms. Normally each Term will consist of 10/11 classes


oEach year KS Dance Academy will publish its schedule of classes and the Term dates via email, social media and on our website. 


oInvoices will be raised about 2 weeks in advance (where possible) for class Terms fees. Students will be automatically enrolled for classes in the following Term unless they give notice of cessation or change of class via email. 


oPayment for classes should be made as follows: Bank Transfer and Cash. We do not accept Cheques. In the near future we will be accepting online payments and Direct Debit. Bank Details can be found on your invoice. Cash should be given to a staff member, or put through the office letter box, in a separate envelope with the Student’s Name and the payment amount written clearly on the envelope


oFees should be paid by the date stated on the Invoice. Failure to pay will result in a Late payment fee of £10 or 10%, whichever is greater.


oNo refunds will be given for missed classes due a Student’s illness or holidays. In case of illness, we can offer an alternative, catch-up class if requested via email or telephone.


**Cancelled classes**


oDue to illness of teachers – we will make all attempts to find a replacement teacher but if unsuccessful we will refund the cancelled class(es) on your next invoice.


oDue to technical or venue issues (heating, electricity, building damage etc) – we will not refund classes due to technical issues or venue issues but will offer alternative, make-up classes, if desired. These classes may be at a different location on a different day/time.


oDue to adverse weather conditions - we will not refund classes due to adverse weather conditions but will offer alternative, make-up classes, if desired. These classes may be at a different location on a different day/time.



****Withdrawal from a Class or from the School****


oKS Dance Academy requires 4 weeks notice, in writing with Fees, when a Student wishes to withdraw from a class or the School entirely. Term fees will not be refunded if leaving mid-term. Your class fee is not only paying for tuition it is enabling the payment of venues, teachers and equipment and is holding your child’s space in the class. 



Section 4 – Absences from Class 


oAs part of its administration, KS Dance Academy will mark attendance at all classes. Students may be marked as unattended if they arrive late for a class. Students who are registered for a class have an obligation to attend. Classes are limited in the number of Students and hence non-attendance affects not only the individual but also the other Students in the class. 


oThere are no refunds if a student is absent from a class and no reductions for part Term attendance. 


oIf a student is asked to leave a class due to a breach of any of the conditions detailed within this document they will not be refunded. 



Section 5– Uniform 


oClass uniforms are as described in this booklet. Class uniforms are mandatory after a student’s first half term of attendance for safety and security reasons.

 

oAll Students must wear their hair in a bun (or similar) for all classes with fringes clipped out of their face. No ponytails for any class. Students with short hair should ensure hair is kept off their face. 


oIf a student is wearing inappropriate footwear or clothing the student will not be permitted to participate in the class. 


oJewellery items (including watches) and long Acrylic/Gel nails, which the teacher feels may cause injury or feels inappropriate for the class, must be removed or the Student will not be permitted to participate in the class. 



Section 6 – Code of Conduct 


oCustomers (and parents, guardians, friends or family members) are not permitted to watch classes from within the studios, except in exceptional circumstances at the discretion of the class teacher. This will be disruptive to the class and does not aid student participation. 


oNo jewellery should be worn, This is a no-tolerance policy as it constitutes a safety hazard. Small ear studs are permitted for dance classes but many not be worn for exams or performances. 


oStudents must adhere to the KS Dance Academy code of conduct and policies regarding their dress and conduct and are expected to demonstrate respectful behaviour towards their teachers, examiners, officials and fellow students. 


oStudents are responsible for their own property and bring items at their own risk. 


oStudents are not permitted to use mobile phones or tablets during a class. Any mobile phones brought into the class must be switched off or set on silent mode. 


oStudents are not permitted to leave the studio during a class without permission from the teacher. 



oStudents are responsible for alerting the teacher to any injuries/illnesses that may affect their training. 


oStudents should listen to and follow instructions of their teacher, should not indulge in distracting behaviour, should support and encourage their teammates, always train with a positive attitude and attempt every move with good form. 


oStudents should take pride in KS Dance Academy, and its venues, and make sure they do their part in keeping the them clean and tidy. 


oConditioning is an essential part of Dance. Without strength core elements cannot be performed. Without flexibility, leaps and jumps are low and lack aptitude. To aid reducing injury, physical stretching by the Teacher may be required. Students must do any stretching or conditioning at home as “homework” if the Teacher has requested it. 


oPhysical contact of the student by the teacher is necessary to correct form and posture and also to support moves that may otherwise put the student at risk of injury. 



Section 7 - Parents Codes of Conduct 


oDancers should arrive a few minutes before the start of training. It is particularly upsetting for younger children to arrive after all the others have started. 


oPlease do not drop off your own, or other children, early to sit in the Changing area unattended. KS Dance Academy cannot be responsible for these children until they start their own class. 


oIf your child will be absent from class, please let the school know by text message, if possible. 


oPlease advise KS Dance Academy of any change in circumstances, i.e. medical, change of address or contact mobile number as soon as possible, using the Customer Portal or via email. There are important safety and security reasons for maintaining these records. KS Dance Academy does ensure that the current contact details for each Student are available to the Teachers. 


oParents need to ensure the teacher is alerted to any injuries or illnesses that may affect their training.


oIf you wish to speak to the class teacher, please do so at the end of the class. Parents should not enter the studio unless they are invited to by the class teacher. 


oParents need to support any stretching and conditioning homework, and exam practice, show rehearsing etc that the class teacher has given their child, to do as “homework”.


oPlease ensure you are punctual collecting your children and remind them to remain in the building until you arrive. 


oInvoices, statements and other materials are presented online via email. Parents/Guardians should provide a valid email address for this purpose and ensure that such email from KS Dance Academy is not considered SPAM. If promotion material from KS Dance Academy is not welcome, the Parent/Guardian should ask for removal from the KS Dance Academy distribution lists. 


oParents/Guardians are requested to join our Parents closed Facebook Group to keep up to date with school information and to download and utilise our App (via Team App) which incudes full details of timetables, current events, uniform information etc



Section 8 - Social Media Policy 


oThis policy provides KS Dance Academy Students and Parents/Guardians guidelines for the use of social media. It includes but is not limited to: Facebook, Instagram, Snapchat, YouTube


oIt is strictly prohibited to post or share information of a personal nature about any member of staff, students, volunteers or their families. 


oParents/Guardians must not post pictures or videos of other students without consent from that student’s Parents or Guardians. 


oVideos recorded during rehearsal periods are strictly for personal use and should be used as a teaching aid only.


oPlease be aware that as a company, KS Dance Academy, owns the copyright to any original videos or photos that we post. 



Photographs and videos of Students may be taken and used for promotion and on social media. If a Parent or Guardian has any concern whatsoever of the use of any photograph/video that KS Dance Academy uses of their child, it will be removed without question.
