Terms and Conditions
MUST BE ACCEPTED BY ALL STUDENTS AND PARENTS/CARERS
 
When enrolling your child into KT Leigh Dance Academy, these are the Terms and Conditions you are signing up to:
1.     Dancers only will be allowed to enter the dance hall at all times. Having adults in the dance hall has been distracting for the children and some of them have found it daunting and hard to concentrate. This is also for safeguarding reasons.
2.     If you would like to stay close by whilst your child is in their lesson, you are more than welcome to wait downstairs in the café area at the Xcel Centre/elsewhere onsite until your child’s class is finished.
3.     If we then need you for if your child is unsettled/injured/unwell, myself or another member of my team will ring you if needed.
 
FEE PAYMENT

  1. Fees cover one full month. Discounts or refunds will not be given for classes missed by the pupil, unless explicitly arranged with Miss Katie. 
  1. The school should receive fees by the date shown on the invoice. This is usually 10 days from the day the invoice is sent. Any late payments will incur a surcharge of 10% of the overall payment to cover admin costs.
  1. Invoices will be sent on the 21st of each month and will need to be paid by the 1st.
  1. If you do not receive an invoice, please advise Miss Katie.
  1. We offer FREE trial classes for children who would like to try a class before they enrol.  If the student decides to join the class, the parents/carers should complete the KT Leigh Dance Academy registration form, GDPR consent form and the Terms and Conditions. The parent/carer will then receive a link to our online portal where they can find out class information for their child and invoices will then be issued for the remaining monthly fees.
  1. The only method of payment is via online bank transfer. An email with an invoice will be sent containing all payment details.          
  1. All fees are non-refundable. If a pupil has a long-term illness or injury, fees may be refunded at the principal’s discretion. This does not include minor illness or holidays taken during the term. 
  1. Parents understand that if their child decides to leave the dance school, a month’s notice should be given and no refunds on classes that are already paid will be made.


CLASSES AND ATTENDANCE

  1. KT Leigh Dance Academy understands that it may sometimes take a child a while to settle and be overwhelming, therefore a child may bring a comfort from home such as a teddy, toy or blanket to help them feel at ease in their first few sessions. It is encouraged that parents do not enter the dance studio whilst classes are running. This is so the children can gain confidence and independence skills, unless a specific agreement has been made with Miss Katie. 
  1. On the rare occasion that a class is cancelled, it will be rescheduled, usually during the school holidays on an extra day. If this is not possible, any fees already paid for the scheduled class will be subtracted from the next term’s fees.
  1. The School will not be held responsible for classes cancelled for circumstances beyond the School’s control. If it is necessary to cancel a class due to adverse weather conditions / a force majeure, or if a child cannot attend a class due to their participation in another KT Leigh Dance Academy performance/exam/event, class fees will not be refunded. 
  1. Students must be on time to class and be picked up on time from outside the dance studio. Miss Katie will dismiss the children one at a time.
  1. Parents understands that if they are late picking their child up, their child will not be supervised and the parent takes full responsibility for their child’s safety and wellbeing should anything happen to them after their class time has ended.
  1. All classes run back to back on the timetable.
  1. Students must arrive ready to start their class. The following items are encouraged to be brought to all lessons:

- footwear for class – ballet/tap/jazz shoes
- a water bottle 
- medication (if required for class)                                                                        
- a water bottle 
- medication (if required for class)                                                                        
 

  1. Students of Primary School age must be collected from the Function Room/Studio door by a parent/carer or responsible adult. The teacher must be informed if persons other than the child’s parent or legal guardian will collect the child. Students under this age will not be permitted to leave unattended. 



 
WITHDRAWAL POLICY

  1. Students wishing to discontinue their classes at the school must give a month’s notice in writing, otherwise a month’s fees will be charged. 

 
 
            UNIFORM AND APPEARANCE
14. Uniform is encouraged so that children feel a part of the school and ready to dance if they are wearing the correct attire. If you would like to purchase our branded uniform items, please message Miss Katie directly to receive the link to the website and other shops to purchase the correct uniform.
 
 
15. Hair should always be off the face and neckline, neat and tidy. Shorter hair should be held back securely with clips and/or a hair band. 

  1.  For safety reasons, jewellery such as necklaces, rings, bracelets etc must not be worn in lessons. Small stud earrings are accepted for classes, however they are not for shows, competitions and performances.

17. Children cannot come to lessons wearing ballet tights without any shoes. Please send your child to dancing wearing outdoor shoes and a bag with their dance shoes in for the lesson. 
 
18. Bare foot will be essential when we start acrobatics lessons.
 
19.  Dancers should NOT wear Ballet or Tap shoes outdoors. This is important as doing so will wear down and damage their shoes.
 
Communication with Miss Katie
 
20. During lessons, Miss Katie will be teaching. Please do not try and speak to her whilst she is teaching/taking the register as this is taking up valuable lesson time for your children. If you have an urgent question, please ask Helena and she should be able to help you. Any other questions, please message or email Miss Katie and she can then respond to your queries when she is no longer teaching.
 
21. Please bear in mind that during the week, Miss Katie works school hours, so most of her replies will be sent to you between 4pm and 8pm on weekday evenings, and before 8am in the mornings. If you do need to get in touch with Miss Katie, please do so at a reasonable time. 
 
 
    BEHAVIOUR, ETIQUETTE AND DECORUM

  1. The KT Leigh Dance Academy Dancers Code of Conduct must be adhered to at all times:

  1. We expect all dancers to:

 

  1. No food should be brought into class. Children are encouraged to bring a bottle of water, flavoured water, squash etc to keep them hydrated throughout lessons. (Food will only be accepted for if a child needs sugar for a medical condition such as diabetes).

 

  1. Students and parents/carers are expected to demonstrate mutually respectful behaviour to teaching staff, fellow students, other parents and the halls. Poor behaviour will not be tolerated and may result in the student being asked to leave the school. Bullying is not tolerated and should be brought to the Principal’s attention immediately.


 
STUDENTS WAITING FOR THEIR LESSON
 
Older or younger siblings will not be allowed in the hall during classes that aren’t their own. Once again this is very distracting for the other dancers, and this will make things difficult for if there is a fire when counting numbers.
 
If you have children in different classes, the child/ren who are not dancing will need to wait with you until it is their lesson time
HEALTH

  1. Please notify Miss Katie of any medical issues or learning difficulties that may affect your child’s learning, however big or small it should be. This can help me to help them the best I can.
  1. Any injuries should be discussed with Miss Katie prior to or at the beginning of class.

 
    PRIVATE LESSONS AND COSTUMES
 
27. When Miss Katie feels your child is ready, she may invite your child to have a Private Lesson. Private Lessons will be a weekly class with only 3-6 children in it. This will be a class to work on 1-1 technique, confidence, presentation, stage presence and the chance to learn solos, duets, trios and small group dances. 
 
28. Private Lessons are for children aged 4+ and are invite only. Private Lesson spaces are limited, so you may have to wait until a Private Lesson slot to become available. 
 
29. As Private Lesson slots are limited, it is important for your child to attend every week unless of an illness, pre-booked holiday or an emergency. If a child misses 3 private lessons within a month, their private lesson slot will be withdrawn and given to another child. This is because it isn’t fair on the other child who are in the same dances, or those on the waiting list.
 
30. Children will be invited to have a private lesson when they show promise and may eventually be given the chance to perform at events or on the stage. Please note that Miss Katie will not put children to perform anything until she feels they are ready and when dances are polished. 
 
31.  You do not however NEED to agree to your child having private lessons, they can just continue with their normal weekly lessons and will only be able to perform in group dances in our annual/biennial shows. 
 
32. When a child performs a dance, they will require a professionally made costume for each dance. Miss Katie will only charge £20 per costume, unless a costume has been measured and tailored to fit a specific child. 
 
33. Once a child is given a dance, they will keep this dance for a year or two whilst that style and dance still suit their age and ability. They may perform this dance quite a few times at different performances and events. It will then be Miss Katie’s decision for a child to have a new dance. 
 
34. Parents will be required to pay for and look after the costumes given to your child for each dance they are given. It is important for parents to be aware that costumes are NOT for dressing up and should not be worn anywhere other than when your child is performing at an event. Costume bags are recommended and can be purchased to keep them hung and clean until a performance comes up.
 
35. If a costume gets damaged whilst it is in your care, it is the parent’s responsibility to replace it and order a new one, which could potentially cost anything up to £50/£60. Therefore, it is extremely important for costumes to be taken care of.
 

WATCHING WEEK

  1. Parents are not permitted to watch the classes, as this can be distracting for pupils. Although, we will be holding designated ‘Watching Week’s where parents will be invited in to watch their children. These will happen at various points throughout the year. Miss Katie will inform parents of when these dates will be.
  1. If watching class, parents are asked to refrain from talking and to turn mobile phones to silent. All calls should be answered outside the hall. 



PHOTOGRAPHY

  1. The school may wish to take occasional photographs or videos of our students for advertisement of the school. The use of these can include our website, social media and printed material. Please see our GDPR consent form for more information.
  1. Parents are permitted to take photos on watching day unless another parent in the class objects on the day. The teachers will always ask everyone’s permission before the demonstration class begins. We ask parents to refrain from recording/videoing the class for child protection and copyright reasons.

 
DATA PROTECTION

  1. All invoices and other materials will be presented via email. Parents/Carers must provide a valid email address for this purpose and ensure that such email from KT Leigh Dance Academy is not considered SPAM.
  1. When you give us your details, we promise to keep them secure and not share them with a third party.
  1. We may use your data to contact you in relation to;

·     News updates about the school
·     Information relating to lessons/performances/show details
·     Invoicing
·     Emergency notifications (such as changes to planned lessons, cancellations etc.)
·     Records of invoices paid and outstanding (and any agreed payment terms)
·     Any other information relevant to the school and your/ your child’s lessons and progress.
In addition, we will use any data relating to medical conditions to ensure that we are able to provide a safe environment for you/your child.
 

  1. By ticking the ‘School Information and Marketing’ on the GDPR Consent form you agree to:

·     KT Leigh Dance Academy sending information that is relevant to you/your child's dance education by phone, email, text and written communication.
·     KT Leigh Dance Academy holding and processing data in relation to your/your child’s medical condition.
Please note that you may withdraw this consent at any time by notifying Miss Katie.

  1. Miss Katie should be notified of any change in contact details and/or health issues.

 
MISCELLANEOUS 

  1. The school timetable may be subject to change. Parents/carers will be notified of any changes.
  1. Dancing is a physical activity and contains a certain amount of risk. Students taking part in any of our classes or events run by KT Leigh Dance Academy do so at their own risk. 
  1. If students and/or parents break the terms and conditions, they may be asked to leave by the principal and no refund given.
  1. Any queries and complaints should be addressed to Miss Katie only.
  1. Our Safeguarding and Child Protection Policy is available on request. Please contact the Miss Katie for more information.

 
 
OUR SOCIAL MEDIA PAGES
·      Please follow and support the dance school Instagram and Facebook pages. On here, Miss Katie will be posting photos and videos of the lessons (if given photo consent) so you can see what your child has been learning and watch them grow as dancers.
Announcements and lesson info will also be put on our social media pages, so do look out for them.

Either Helena (Miss Katie’s mum) or Chloe (Miss Katie’s sister) will also be present during lessons on a Saturday morning to take the younger children to the toilet and support those who are a bit unsettled. All staff are DBS checked, Paediatric First Aid trained and are very experienced in Childcare, so please be assured that your children are in safe hands. 
The school rules are designed to enhance your children’s learning and enjoyment of the dance experience and help maximise their full potential.
