Terms and conditions at December 2022
Student refers to the child in attendance and the customer refers to the fee payer (parent/guardian).
Bookings, payments and attendance
Children's classes
Children's classes are £9 per session paid for in advance termly. Drop in spaces where availability permits will be £10 per session.
Re-booking
Children already in attendance will get first refusal to continue in the next school term. Children may be invited to attend a different class appropriate to their ability. An invoice will be sent to the customer with the fees, including details on payment and when it is due.
Class spaces not taken will be offered to students on the waiting list the day after the cut off. If you have missed the cut off, and the space has not been filled you may re-book the student but note payment will be subject to a late fee of £20.
We cannot allow payment plans or accept part payments. You will be given at least 6 weeks notice to make payment.
If the student does not want to continue classes in the next term it is imperative that you advise us as soon as possible so that we can offer the space. This must be done via email to [email protected].
Should you wish to change to a different session, we will try our best to make this possible but it will be subject to availability. You may have to go on a wait-list for a particular class.
Absence
Student absence from a class will not be refunded or rearranged where the reason is not due to Luna Acrobatics and Aerial Arts. If for whatever reason we have to cancel a class we will make arrangements on a case to case basis. This may include attending another class at a different time or if necessary a monetary refund.
Arrival to the studio
Please do not drop off your child earlier than 10 minutes before class. Parents are responsible for ensuring the child enters the studio and their arrival is noted by a member of the Luna team.
Late collection
Unexpected or unplanned late collection that is greater than 10 minutes, of a child may incur a fee to cover the coach's time. You will be invoiced for this and it will be non negotiable. The majority of our coaches are self employed and having to wait may impact on their other jobs that day. Understandably they may charge Luna for the disruption and hence we will claim this back via the the customer.
Refunds
There will be no refunds for the total cost of classes for the term once the payment cut off date has passed. Any refunds required before the cut off date will incur a fee of £20.
Worked example:
Fees are £200 for the term starting on 2nd January ending on 10th April. Cut off for fees is 27th December.
You paid 10th December. On 26th December your child announces they no longer want to attend. You inform us that day. You will be refunded £180.
If your child decides on 28th December or anytime during the term they no longer want to attend and hence this is after the cut off you will not receive a refund.
Contacting us
Preferred method:
We do have phone numbers, but due to poor signal the reception is not conducive to a clear conversation. It is also easier for us to have all your information about your query at hand so we can find/provide you with the best response. It may not be possible immediately over the phone and most times we need to send information to you via email anyway.
In an emergency you may use 07496880862, if there is no answer, send a text message, not a voicemail.
Please do not contact coaches directly. Most of our team are self-employed and are not directly involved in the running of the business. We hope to answer your enquiries and questions within 24 hours and if sent at the weekend or after 2pm on Friday, on Monday. Messages sent via Instagram are answered infrequently, as we don’t always see them, so this is not the most reliable form of communication.
