NC Dance – Terms and Conditions
1. Registration and Enrolment
- All students must complete an enrolment form before participating in classes. This is done via class manager.
- After the trial class, all details on how to enrol will be sent via email. Enrolment is ongoing and automatically renews each term unless written notice is provided (see Section 4: Notice Period).
- NC Dance reserves the right to refuse or terminate enrolment at its discretion.
2. Fees and Payment
- All class fees must be paid monthly via Direct Debit. Payment details must be provided upon enrolment.
- Our classes run 36 weeks a year and the annual cost of this is divided into 12 equal monthly payments.
- Monthly payments are required throughout the entire year, including holidays and breaks.
- Direct Debits are processed on the 1st of each month.
- If you start class with us after 1st of the month the cost of the classes remaining for that month will be added to your 1st direct debit payment.
- Class costs for 2025-2026 are:
30 minute sessions- £20.00pm
45 minute sessions: £23.00pm
1 hour sessions: £26.00pm
- Fees are non-refundable and non-transferable, except in exceptional circumstances at the discretion of NC Dance.
- Fees will be reviewed annually. One months notice will be given if fees increase.
- Missed classes due to illness, holidays, or personal commitments will not be refunded. Makeup classes may be offered subject to availability if class is cancelled due to a fault of our own.
3. Late or Failed Payments
- A failed Direct Debit may incur an administrative fee of £10. Please ensure these are set up properly to avoid any delays.
- Continued failure to pay will result in suspension of the student’s place in class until the account is settled.
4. Notice Period and Cancellations
- A minimum of one full calendar month’s written notice is required to cancel your child’s place in class.
- Notice must be given in writing via email to [email protected]. Verbal notice to instructors is not sufficient.
- During the notice period, Direct Debits will continue, and the student is welcome to attend classes.
- Please do not cancel your direct debit without informing us.
5. Uniform and Attendance
- Students must wear the correct NC Dance uniform and footwear for all classes, as specified in our Uniform Policy. All uniform requirements can be found on our website.
- All students must purchase an NC Dance t-shirt for shows and performances.
- Regular attendance is essential for progress and particularly those looking to take exams with us. Please inform the studio of any absences in advance. This can be done via email, text or phone.
6. Health and Safety
- Parents/guardians must inform NC Dance of any medical conditions, allergies, or additional needs on their enrolment form.
- NC Dance’s main priority is the safety and wellbeing of our students in our care. NC Dance staff will take reasonable care to ensure the safety of students but are not liable for injuries sustained during class activities unless due to negligence.
- Students must follow all safety instructions given by NC Dance staff. If a student does not follow the safety instructions they will not be allowed in class.
7. Photography and Media
- NC Dance may take photographs or videos of classes, events, or performances for promotional purposes.
- If you do not wish for your child to appear in such material, you must opt out upon enrolment.
- No photography or filming is allowed by parents only during watching week. You must only film your own child as some children are not allowed on social media and online.
8. Data Protection
- Personal information provided during registration is collected and stored securely through Class Manager, our GDPR-compliant class management system.
- Your data is used solely for administrative purposes, including class management, billing, and communication.
- We do not share your personal information with third parties unless required by law or with your explicit consent.
- All data is stored securely and handled in accordance with current data protection legislation (UK GDPR and Data Protection Act 2018).
- We retain personal data for as long as necessary to fulfil administrative and legal obligations.
- If after leaving NC Dance you would like us to delete your information, please write to us via email.
9. Code of Conduct
- Respectful behaviour is expected from students, parents, and guardians at all times.
- Bullying, discrimination, or disruptive conduct will not be tolerated and may result in removal from classes.
- Parents are not permitted to watch their child in class and must wait outside the studio. We do have a watching week at the end of term where ALL parents are invited to watch their child/children in class.
- Parents need to be aware that due to the nature of dance, physical contact may be necessary for the teacher when training the students. This is particularly prevalent for Ballet and Acrobatics.
- Students are responsible for their own property and bring items at their own risk.
- Mobile phone use is not permitted during any class. Any mobiles brought into class must be switched off or put on silent for child protection purposes and the safety of others.
- Students are not permitted to leave the studio during a class without permission from the teacher.
10. Changes to Terms
- NC Dance reserves the right to amend these Terms and Conditions with one month’s notice.
- Updates will be communicated via email and displayed on our website.
