Terms and ConditionsAs a Parent/Carer, I will:
Ensure my athlete arrives on time for training, rehearsals, classes, and any events, shows, conventions, workshops, or competitions. Athletes must be "ready to go" at the set session start time, understanding that "walking in the door" is not the same as being prepared.
Make myself known to my athlete’s coach, ask for class updates, and listen attentively to any announcements.
Notify the Head Coach via email if my athlete will be absent from a rehearsal or class.
Not enter training sessions unless explicitly permitted by the Head Coach.
Be polite, courteous, and respectful to all coaches and staff members of Obsidian Cheer and Dance.
Ensure my athlete attends classes in appropriate attire, as outlined in the uniform policy, including the Obsidian uniform, neat and tied-back hair, and no jewellery.
Respect the facilities, keeping them neat and clean for the safety of others. I will clean up any spillages or messes I make.
Respect and care for all costumes, props, and equipment.
Take responsibility for my belongings.
Inform the coach when collecting my child and leaving the premises (e.g., after training, events, or competitions).
As an Athlete, I will:
Arrive at class “ready to go” in the Obsidian uniform, with hair tied up and no jewellery.
Wear clean cheerleading or dance shoes at training, as applicable.
Maintain a positive attitude at all training sessions.
Show respect to all athletes, staff, and coaches. Rudeness will not be tolerated and may result in dismissal without warning.
Prioritise well-being by bringing water to sessions and eating well at least one hour beforehand. Snacks are allowed for sessions lasting longer than 1.5 hours.
Be responsible for my own medication (e.g., inhalers). I will inform the Head Coach of any medical needs. Medications must be clearly labelled with my name and easily accessible.
Respect and care for all costumes, props, and equipment.
Accept feedback from coaches in a positive manner, understanding it is essential for personal and team progression. Any concerns should be raised with the designated safeguarding lead.
Competitions, Performances, and Events
Wear the Obsidian uniform at all competitions, performances, or events representing the company.
Represent the company positively and respectfully. Failure to do so may result in removal from the team.
Payments and Fees
Fees must be paid in advance, before your child attends their class, as per the invoice schedule (1st of the month for competition teams; start of the term for recreational athletes).
Payments are allowed a 3-day grace period. Payments made after this period will incur a late fee.
Non-payment or failure to stay up to date with fees will result in warnings and may lead to dismissal (3-strike policy).
For payment concerns, email [email protected]. Missing invoices must also be reported via email.
Term fees must be paid in full before the term begins to secure a place in class.
No refunds or discounts will be issued under any circumstances.
If a class is cancelled due to unforeseen circumstances, a credit will be issued in the form of a rescheduled class or a deduction from the next term’s fees.
Communication
Messages sent to coaches' private phone numbers or personal accounts will be ignored.
Athletes must not follow coaches on private social media accounts (unless over 18) or contact them via these platforms.
All concerns, queries, or attendance notices must be sent to [email protected].
Code of Conduct
Gossiping, writing, or communicating negatively about Obsidian Cheer and Dance (including choreography, costumes, music, staff, or other members) is prohibited and may result in dismissal from the team.
Bullying or cyberbullying is not tolerated and will result in immediate removal.
Competition routines must not be posted on social media without Head Coach permission.
Athletes and parents must respect all individuals, regardless of age, gender, race, sexual orientation, religion, or disability.
Foul language, abusive behaviour, smoking, vaping, violence, or illegal acts are strictly prohibited.
Athletes must maintain sportsmanlike behaviour, a professional appearance, and high morale.
Competitive members must maintain 90% attendance. Missed choreography must be learned outside of class time before the next session.
Cancellations/ Drop Outs:
1. Season Commitment:
Joining our competitive teams requires a full-season commitment. This commitment is essential for maintaining team cohesion, ensuring consistent training progress, and achieving our competitive goals. By registering, athletes and their guardians acknowledge and accept the expectation to participate fully for the entire season.
2. Cancellation and Dropout Policy:
We strongly discourage cancellations and dropouts once the season has commenced. However, we understand that unforeseen circumstances may arise. The following guidelines apply to any potential cancellations or drop outs:
Cancellations or drop outs made during the season will not be eligible for a refund. This can and is not limited to; training fees, uniform fees, merchandise, competition entries, competition tickets.
From January 2025 until the end of the season, cancellations/drop outs will be charged a cancellation fee. A 90-day notice of cancellation will result in a £30 fee. Any notice less than 90 days will result in a £90 cancellation fee. The 90 days is counted before any event the athlete is due to participate in.
In the case of serious illness, injury, or other extenuating circumstances that prevent continued participation, the coaching staff will review the situation on a case-by-case basis. Documentation may be required, and any adjustments or exceptions will be made at the discretion of the coaches and owners.
3. Commitment to Team Success:
Our team’s success relies on the dedication of every member. Frequent or unexpected absences not only impact the individual athlete but also the entire team. We ask that all athletes and their families carefully consider the commitment involved before the season begins and communicate any potential conflicts as early as possible.
4. Communication:
In the event of a situation that might lead to cancellation or dropout, it is the responsibility of the guardian (unless 18 years +) to notify the coach immediately by email ([email protected]). Open and timely communication is essential for managing any issues that arise and for making any necessary adjustments.
5. Financial Obligations:
Regardless of a member's participation status, the financial obligations agreed upon at the start of the season remain in effect. This includes any fees for uniforms, competition entry, and other related costs, which are non-refundable once paid.
6. Re-entry After Cancellation:
Athletes who cancel their participation during a season may not be eligible to rejoin the team in subsequent seasons. Re-entry will be at the sole discretion of the coaching staff and will depend on the reasons for the initial cancellation and the athlete's commitment to future seasons.
7. Cancellation of a Class or Event by Obsidian Cheer and Dance:
In the rare event that the company must cancel a class, practice, or event due to unforeseen circumstances (such as inclement weather, facility issues, or other emergencies), we will make every effort to notify all participants as early as possible. Cancelled sessions will be rescheduled whenever feasible. If rescheduling is not possible, credits will be applied towards future classes or events, but refunds will not be issued. The company reserves the right to make adjustments to the schedule as necessary to accommodate such situations, and we appreciate your understanding and cooperation.
8. Amendments to Policy:
Obsidian Cheer and Dance reserves the right to amend this policy at any time. Any changes will be communicated to all members in writing. Continued participation in the program after any such amendment shall constitute acceptance of the revised terms.
By signing continuing with us this season, you agree to abide by this policy and understand the importance of your role within the team. We appreciate your dedication and look forward to a successful and fulfilling season together.
