Terms and Conditions
1. Notice of Withdrawal
A minimum of three weeks’ notice is required if you wish for your child to discontinue any class. If adequate notice is not provided, fees for the notice period will remain payable.
Example: If a half-term begins on the 14th and you inform us on the 10th that your child will not continue, the first three weeks of fees will still be due. This policy ensures sufficient time to fill the space and cover operational costs such as staffing and venue hire.
2. Fee Payments
Fees are due on a half-termly basis and may vary depending on the length of the half-term.
Parents/guardians will be notified of any changes to fees before the start of each term.
If payment has not been received by the second week of the half-term, and no communication has been made, we reserve the right to remove your child’s place.
A £5 late fee will be applied if payment or communication has not occurred by the second week.
3. Fee Payments for Absences
Our classes do not operate on a pay-as-you-go basis. Once enrolled, full payment is required for each half-term until three weeks’ notice is given. Absences due to illness, holidays, or other reasons are still chargeable.
4. Holiday Camps and Workshops
All holiday camps and workshops require a deposit at the time of booking. This allows us to manage cancellations and fill spaces in a timely manner.
5. Supervision of Students
Teachers are responsible for students only during class times.
After class, responsibility ends once the child leaves the room.
Young children will be handed over to their parent/guardian. If no guardian is present, a staff member will supervise the child until collection.
6. Child Protection and Safeguarding
Ovation Performing Arts maintains a comprehensive safeguarding policy. Parents/guardians may request to review this policy at any time.
7. Behaviour Expectations
Students are expected to behave respectfully and courteously.
Disciplinary actions will be taken when necessary.
The Principal reserves the right to terminate a student’s registration without notice or refund due to severe behavioural issues.
Bullying of any kind is strictly prohibited. Parents concerned about bullying should immediately notify the Principal.
8. Respectful Environment
All children, parents, staff, and volunteers must maintain a respectful atmosphere. Smoking, alcohol, and drug use are strictly prohibited on all teaching premises.
9. Class Cancellations and Refunds
Classes may be cancelled due to government instructions, venue restrictions, or unforeseen circumstances. No refunds will be issued in these cases.
Where possible, replacement classes will be offered (e.g., via Zoom).
Ovation Performing Arts is not responsible for costs or losses caused by circumstances outside our control, including transport issues, weather, pandemics, or other unforeseen events.
Parents are encouraged to check Facebook, WhatsApp, or email for updates.
10. Illnesses, Accidents, and Holidays
No refunds will be provided for classes missed due to illness, personal accidents, or family holidays.
11. Updates on Contact Information
Parents/guardians are responsible for updating Ovation Performing Arts regarding any changes to contact details or medical conditions.
12. Transportation Policy
Staff members are not permitted to give lifts to students under 18 unless prior written consent has been given by the parent/guardian.
13. Liability for Personal Property
Ovation Performing Arts is not liable for any loss or damage to personal property during classes or events.
14. Private Lessons
If a private lesson is cancelled within 24 hours, the full session fee will still be due.
