Terms and Conditions
1. Application
You are responsible for becoming familiar with these Policies and Procedures and adhering to them. Rec Stars Dance Studio’s Terms and Conditions are incorporated into these Policies and Procedures. These Policies and Procedures may be updated occasionally and without notice.
2. Communication
2.1 An enrolment form must be completed at the commencement of Rec Stars Dance Studio’s services and at the start of each year. Rec Stars Dance Studio must be kept informed of any changes to details.
2.2 It is your responsibility to ensure you read all Rec Stars Dance Studio newsletters, notes, publications, and the notice board to stay current.
3. Term Fees
3.1 Fortnightly Direct Debits
Effective from 12 May 2025, all dance class fees will be processed via fortnightly direct debit, managed securely through our Parent Portal. This ensures consistency and helps support the smooth operation of our studio.
Families will be able to view all payments made via the Parent Portal.
Direct debit settings will be managed by our team and cannot be changed manually by families.
3.2 Upfront Payment Option
If you prefer to pay your term fees upfront instead of fortnightly, you may do so by notifying our front desk no later than the end of Week 2 of each term. Upfront payments must be received in full by that time.
3.3 Late Fees & Recovery
If any payment fails or is overdue:
A $5.50 late fee will be charged 1 day after the missed payment.
An additional $5.50 will be charged every 14 days until the balance is cleared.
Outstanding accounts may be referred to a revenue recovery office, and all associated fees (rejection, late, or recovery) will be passed onto the customer.
3.4 Performance Participation
All class fees must be paid in full before a student can participate in any performances or events.
3.5 Accepted Payment Methods

3.6 Annual Registration
Re-enrolment is required each year, with a $30 annual non-refundable registration fee charged prior to the start of Term 1.
3.7 Fee Adjustments
It is your responsibility to inform Rec Stars Dance Studio in writing at [email protected] of any changes to your child’s enrolment (adding/dropping classes). If not advised, billing will continue based on the student’s previous enrolment.
3.8 Refund Policy
There are no refunds for term fees, costume fees, fundraising contributions, or any other studio payments under any circumstances.
3.9 Payment Plans
Payment plans may be arranged at the discretion of Rec Stars Dance Studio management. All requests must be submitted in writing to [email protected].
4. Attendance and Classes
4.1 Students are required to attend all classes they are enrolled in unless unwell.
4.2 There are generally no classes during school holidays. We may, from time to time, offer special classes or workshops.
4.3 We do not offer refunds of fees due to classes missed for any reason. Rec Stars Dance Studio may allow make-up classes.
4.4 Only enrolled students of the class are permitted into the studio.
4.5 You should arrive at least 5 minutes before your class.
4.6 Parents/guardians are not permitted into the studio.
4.7 Students waiting to be collected must wait inside the Rec Stars Dance Studio premises. Please collect your child on time and remind your child to wait inside. If you will be late, please advise Rec Stars Dance Studio so we can ensure your child is aware and does not leave the premises.
4.8 Students are not directly supervised outside of class times; accordingly, Rec Stars Dance Studio takes no responsibility at these times. This includes students who arrive early or are collected late and in between classes.
5. Cancellations
5.1 Direct Debit Enrolments
Cancellations are permitted only for students on fortnightly direct debit. To cancel, a Rec Stars Dance Studio Cancellation Form must be completed in person at the studio. Cancellations will not be accepted via email, phone, or social media.
5.2 Once a cancellation form is submitted and approved by a Rec Stars Dance Studio employee, one (1) final fortnightly payment will be debited or paid.
Cancellations are not valid until a receipt copy of the signed form is issued.
Members/participants remain enrolled and will continue to be billed until all outstanding fees (including any dishonour or admin fees) are paid in full.
5.3 Enrolments on direct debit will remain active and ongoing until a cancellation form is completed and received within the required 14-day notice period.
5.4 Upfront Payments
Cancellations are not permitted for students who have paid their fees upfront. No refunds will be issued for any advance payments, including term fees, costume fees, registration, or fundraising.
5.5 Once cancellation is confirmed, all unused make-up lesson tokens or credits will be forfeited and cannot be claimed or used upon re-joining the studio.
6. Enrolments
6.1 By enrolling, you authorise Rec Stars Dance Studio to continue class bookings and associated billing of fees on an ongoing basis until a valid cancellation form is submitted in line with the policy above.
6.2 Enrolments and payments pause automatically over the December/January break, excluding any arrears.
6.3 Classes resume in the new year with billing recommencing one week prior to Term 1, including the annual registration fee.
6.4 Requests to amend or cancel classes for the new year must be submitted via a Membership Class Amendment Request form before the end of the calendar year.
7. Enrolments on Hold or Cancellation Due to Medical Reasons
7.1 Rec Stars Dance Studio does not offer any enrolment pauses unless a suitable medical reason limits the participant from attending. An enrolment will be placed on hold only if a medical certificate has been provided and has been approved by management.
7.2 Enrolments may only be placed on hold for a minimum of four (4) weeks or a maximum of eight (8) weeks. Enrolments may only be placed on hold in two-week blocks (aligning to debit periods).
7.3 Enrolments requiring more than eight weeks must be cancelled and re-joined once ready. A medical certificate must be provided before billing or at the commencement of the approved enrolment on hold.
7.4 Rec Stars Dance Studio will not accept or provide refunds, credits, or make-up lessons for medical certificates provided after a billing date or without pre-approval.
8. Safety, injury prevention and behaviour
8.1 You must inform your teacher before the commencement of the class of any injury. You must immediately notify your teacher if any injury is sustained during a class.
8.2 It is the student’s responsibility to ensure that you follow dance practice instructions by your teacher to avoid injury.
8.3 Students must follow safe dance practice instructions given by their teacher at all times. You are responsible for notifying the relevant teacher before the commencement of a class if the Student has an injury or other medical condition. Some conditions may require medical clearance before recommencing classes.
8.4 Students must bring their own bottled water to classes and keep hydrated during classes. No other drinks or food is permitted in classes.
8.5 Smoking, drugs and alcohol are prohibited on or surrounding Rec Stars Dance Studio premises.
8.6 Due to government regulations, Rec Stars Dance Studio will not administer medication to the Student. You agree that Rec Stars Dance Studio personnel may administer basic first aid in the event of a minor injury (such as a band-aid or icepack). You agree that an ambulance may be called at your cost in an emergency.
8.7 Bullying will not be tolerated at Rec Stars Dance Studio. We pride ourselves on being a friendly and safe environment for all, and any instances of bullying will be treated seriously. If bullying persists, a meeting will be held with all students and parents involved, and a plan will be put in place with consequences, including expulsion from Rec Stars Dance Studio.
8.8 Parents/guardians, students and personnel must treat each other respectfully. Yelling or belittling personnel will not be tolerated.
8.9 Parents/guardians and students must trust teachers' decisions. Their goal is to help your child be their best and do the right thing by their team/class.
8.10 No liability will be taken for loss or damage to property or any physical injury whilst at Rec Stars Dance Studio.
9. Uniforms and Costumes
9.1 All students must wear full Rec Stars Dance Studio uniform.
9.2 Students must wear appropriate (and required) footwear and clothing to classes.
9.3 Students' hair should be secured off the face at classes.
9.4 You are responsible for purchasing the appropriate footwear according to the Class(es) the Student attends.
9.5 You agree to purchase specific items as required by Rec Stars Dance Studio from time to time, including but not limited to tights, shoes, bike shorts, underwear, backless or strapless bra, makeup and hair products.
9.6 Parents/guardians are not required to make costumes but may be asked to sew sequins, elastic, ballet shoe ribbons or to make minor adjustments.
9.7 A costume for each dance the Student attends is required to be worn by the Student for performances.
9.8 Costumes will only be issued when Term Fees and costume fees are paid in full.
9.9 Costumes must be returned at the conclusion of the performance for which the costume was required, as Rec Stars Dance Studio spends the days following performances washing and restoring all the costumes.
9.10 If any part of a costume is damaged or lost, you will be responsible for the cost of repair or replacement.
9.11 If costumes are not returned, a minimum fee of $25 per costume will automatically be applied to your parent portal and invoiced. Fees may vary depending on the hire company.
10. Performances
10.1 In Term 4, you will receive information regarding our upcoming concert. Please contact us to check your contact details if you have not received your information.
10.2 Whilst students don't need to participate in our concert, it is encouraged. If a student is not going to participate, you must complete our Non-Participation Form before the 30th of June each year. Otherwise, we will assume all students are performing.
10.3 Students involved in the concert are required to attend a dress rehearsal and photo day.
10.4 Concert tickets are purchased on a first-in policy via the venue's website. No tickets will be held or refunded for any reason.
10.5 Students must not wear nail polish or any jewellery (including earrings (unless advised) and nose or tongue rings) at performances.
11. Fundraising
11.1 Fundraising is an integral part of Rec Stars Dance Studio to ensure we can provide all our students with the best events and studio activities.
11.2 If fundraising monies are not returned by the due date, the outstanding amount will automatically be applied to your parent portal and invoiced.
12. Photography & Electronic Devices
12.1 Photos and filming of classes are not permitted in Rec Stars Dance Studio without approval.
12.2 While in a Rec Stars Dance Studio venue or participating in an associated Rec Stars Dance Studio activity, you consent to images and video being taken for security or promotional purposes of yourself, your children or children for whom you are responsible. Should you not wish for photos or filming to occur, please speak with staff, who will mark it as appropriate on your child's account.
13. Parking and Carpark Safety
13.1 Consideration and care must be taken for safe driving and walking around the carpark. With young children around, responsible conduct while driving a vehicle is critical.
13.2 Rec Stars Dance Studio will not tolerate illegal or dangerous driving or parking. Visitors should avoid parking in private car spaces and in front of fire exits or roller doors. Important things to remember while in the car park: only park in permitted provisional areas, drive slowly, and be patient, alert, and aware. Parents are responsible for escorting children safely to and from class.
14. Rec Stars's Dance Studio Website
14.1 The Website Content may be downloaded only for personal and non-commercial use, provided you do not remove copyright and trade mark notices.
14.2 Whilst Rec Stars Dance Studio endeavours to keep all information on its website up to date, it does not guarantee the accuracy of the information given. Rec Stars Dance Studio expressly disclaims any warranties, express or implied, that:
It is free of software viruses. It is your responsibility to protect your own data, whether by scanning it with viruses or using other computer security systems.
Errors and defects will be corrected;
The Website Content is complete, true, accurate or non-misleading;
The accuracy, reliability, timeliness or otherwise of any information contained or referred to in the Website Content and Information on the Website constitutes advice of any kind.
14.3 Rec Stars Dance Studio has no liability for any costs, loss or damage of any kind arising as a consequence of your access to the Website.
