"ROCKIT Productions" or "ROCKIT" refers to ROCKIT Productions PTY LTD (ABN: 69619437062), its representatives, employees, volunteers, and sub-contractors and shall be read accordingly.

“YOU"  means you, the student enrolled, or anybody who in ROCKIT Production’s reasonable opinion is acting with your authority or permission and "YOUR" shall be read accordingly.

“PERSONAL INFORMATION" when used in this privacy policy, the meaning given to it in the Privacy Act 1988 (Cth). In general terms, it is any information that is about you. This may include your name, address, telephone number, email address and other family related data. If the information we collect personally identifies you, or you are reasonably identifiable from it, the information will be considered personal information.

ROCKIT Productions is committed to protecting your privacy. We collect personal information from our students and clients (parents/guardians) in order to provide services such as training, communication, and event management. The types of personal information we collect include:

• Student Information:

  • Full name (legal and chosen)

  • Date of birth

  • Grade level in school

  • Pronouns

  • Contact details (email address and phone number)

  • Medical conditions, allergies, developmental or learning difficulties, disabilities, past injuries, coping mechanisms, and triggers

  • Measurements for costuming purposes

• Client Information (Parent/Guardian):

  • Full name

  • Contact details (email address, phone number, physical address)

  • Payment details (credit card and bank details)

3. How We Collect Personal Information

We collect personal information directly from you through various means, including enrolment forms, audition applications, online store, ticketing platforms, online forms, social media, and general communications with clients and students including face-to-face contact, email, phone, and online.

4. Use of Personal Information

We use your personal information for the following purposes:

• To communicate with students and clients

• To provide updates on programs, events, marketing, new products, and newsletters

• To ensure the safety, health, and welfare of students during training

• To comply with legal obligations 

• For promotional and educational purposes 

We may send you direct marketing communications and information about our products and services that we consider may be of interest to you. These communications may be sent in various forms, including SMS and email, in accordance with applicable marketing laws, such as the Spam Act 2003 (Cth). 

If you indicate a preference for a method of communication, we will endeavour to use that method whenever practical to do so.

In addition, at any time you may opt-out of receiving marketing communications from us by contacting us (see the details below) or by using opt-out facilities provided in the marketing communications and we will then ensure that your name is removed from our mailing list.

We do not provide your personal information to other organisations for the purposes of direct marketing.

5. Disclosure of Personal Information

We may disclose your personal information to:

• Our employees, contractors or service providers for the purposes of operation of our websites or our company, fulfilling requests by you, and to otherwise provide products and services to you.

• Web hosting providers, IT systems administrators, payment processors, data entry service providers, electronic network administrators, debt collectors, and professional advisors such as accountants, solicitors, insurers, business advisors and consultants for operation of the business.

We will not disclose personal information to third parties unless:

• One of the aforementioned reasons inline with the operation of the business or data management systems 
• The disclosure is required by law or regulation (e.g., government agencies or law enforcement)
  

• It is necessary to protect the safety or rights of individuals, such as in emergency situations

• You have provided consent

6. Data Storage and Security

We take reasonable steps to protect your personal information from misuse, loss, unauthorized access, or disclosure. Personal information is stored securely in electronic formats via password protected and verified hosting services, including: Xero, PayAdvantage, Class Manager, Stripe, Square, WIX, Google Forms, Wufoo, OneDrive, Dropbox, and Google Drive.

Access to personal data is limited to authorised personnel. We ensure that all personal data is handled with the utmost care and in compliance with the Privacy Act.

8. Media Consent

As part of our commitment to showcasing student progress and achievements, we request media consent at the time of enrolment. This allows us to use photographs, videos, audio recordings, and written comments of students for promotional, educational, and communication purposes. These materials may be used in media releases, printed materials, social media, and other promotional channels.

Images and videos are largely de-identified before publication, and personal information is not linked to images without explicit consent. For audition purposes, headshots may be uploaded with the enrolment form but remain stored securely on hosted platforms. 

9. Cookies and Tracking Technologies

Our website may use cookies and other tracking technologies to enhance the user experience, analyze website traffic, and provide personalized marketing. By visiting our website, you consent to the use of cookies in accordance with our cookie policy.

10. Overseas Disclosure of Personal Information

In some cases, we may transfer personal data to overseas recipients, such as cloud storage providers. When this occurs, we ensure that these recipients comply with Australian privacy standards or enter into agreements to safeguard your personal information.

• Request deletion of personal data (except where retention is required by law)

• Make a complaint if you believe your personal information has been handled inappropriately

12. Data Retention

We will only retain your personal information for as long as necessary to fulfill the purposes for which it was collected, and in compliance with applicable legal requirements. Once the data is no longer required, it will be securely archived or deleted, as applicable. We retain personal information for the following periods:

• 7 years for accounting purposes, in accordance with Australian taxation laws

• 30 years for Certificate Course student information, in compliance with VET regulations
