TERMS AND CONDITIONS

This is part of your agreement when joining Sazonova Dance and Fitness Studio is subject to the following conditions:

 

·       Sazonova Dance and Fitness Studio accepts no responsibility for loss or damage of personal belongings while on the premises.

·       Sazonova Dance and Fitness Studio accepts no liability for any injuries sustained whilst participating in a class or on the premises.

·       Sazonova Dance and Fitness Studio Staff must be notified of any changes to the information provided on the registration form

 

Staff/teachers:

All staff, including cover teachers (who may be brought in at short notice), are qualified, experienced and DBS checked. There is always a first aider and safeguarding leader on site.

 

Supervision while on site: 

Students must ensure they always get full permission from staff prior to leaving class. Toilet breaks will be monitored by either a member of staff or class facilitator and students will always be supervised whilst on site.

 

Behaviour: 

Racist, sexist and other offensive language and behaviour is not tolerated, and we reserve the right to terminate membership without notice, the final decision being undertaken by the Principal. Behaviour of staff, parents and students must always follow our code-of-conduct.

Sazonova Dance and Fitness Studio reserve the right to refuse service to a student indefinitely, due to inappropriate student behaviour or parent behaviour which goes against our behaviour policy.

 

Shows: 

Sazonova Dance and Fitness Studio puts on a show in a professional theatre every 16-18 months. All students are invited to participate.

There is a show fee to participate and costumes are hired where possible, or will need to be purchased- these fees are for the parents/guardians to cover and will be invoiced out. More details on shows are sent prior to the show term.

 

Emergency contact number: 

Sazonova Dance and Fitness Studio emergency mobile phone is kept with the Site Manager. The number will be given out upon registration and is on ALL emails – it must be used if there are problems regarding the collection of children. 07462927793

 

Food: 

Drinks are essential, snacks can be eaten on the premises but no nuts.

 

Uniform:

This is basic but essential and gives the students a sense of belonging, a sense of ritual and sense of dressing for something important – their class. Appropriate clothing as below is necessary for health and safety and child protection:

Students must not wear their school uniform to any class – Sazonova Dance and Fitness Studio is not a school and wearing the correct Sazonova Dance and Fitness Studio clothing gives a sense of belonging, allowing all to feel equal, healthy and safe.

·       All t-shirts, shoes and bags must be clearly labelled – lost property is donated to charity at the end of every term.

·       Strictly no jewellery – no long or hooped earrings (earrings are very unsafe during physical activity).

·       Hair must be tied back from the face for all classes.

·       Uniform must be purchased within four weeks of joining the class- a full uniform list can be provided via email upon your request

 

 

Attendance:

Children must arrive and be collected promptly. It is very important that children arrive in time for their classes, preferably 5 minutes before the start. This allows the group time to settle from the moment the class starts. Latecomers will have to wait outside until an appropriate time to join the class. Children arriving after 15 minutes may be refused admission, as this may disrupt the professional attitude to classes we aim to foster.

 

Where possible Sazonova Dance and Fitness Studio will aim to let people know of any changes in venue or class time at least one week ahead of schedule.

 

Attending other dance schools

Due to conflict of interest and different teaching methods, we do not allow students to study the same dance genres offered at Sazonova dance, at a different dance school. Other genres are perfectly acceptable and encouraged.

 

Absence: 

Any child missing for more than two classes per term without reason may not be able to join future courses. Class numbers are limited, and many have waiting lists, so good attendance and commitment to the course is essential.

Parents/guardians must inform Principal of any absences, scheduled or illness.

 

Illness/Injury:

Parents are not to allow their child to attend class if they are feeling unwell or have a known injury which would prevent a student from fully taking part.

This includes presenting any contagious illness including (but not limited to): Chicken Pox, Head Lice, Common Cold, Flu and, as of March 2020, symptoms of COVID-19, D and V. 


If a child is unwell with D and V then 48 hours off dancing applies.

 

Refunds will only be given in the event of illness or injury preventing attendance at classes for a sustained period of time as the Principal’s discretion.

 

Child dropping off:

It is the parent/ guardians responsibility to look after child whilst waiting for class to start. It is their responsibility to ensure that child comes in to the class. Whilst in the reception or waiting room the child is your responsibility. Once inside the actual studio area, the duty of care is passed over to teacher.

 

Children riding or walking to studio:

We need to be informed via the tickbox if you give permission for child to make their own way to and from the studio

 

Child Collection:

Sazonova Dance and Fitness Studio Teachers must ensure that each child has left a session with an adult or older child (agreed in advance with parent). It is the parent/guardian’s responsibility to ensure the child is collected punctually at the end of the class or session. Should a parent/guardian not turn up to collect a child on time – this is the procedure to follow:

·       Inform the Principal who will contact the parent/guardian.

·       If the Principal is not available, contact the staff member

·       If the office is closed, ask the child to contact the parent/guardian immediately.

·       If the child cannot call the parent/guardian, contact the parent/guardian directly to arrange collection.

·       If the parent/carer is not reachable, and you must leave, the emergency procedure is as follows:

·       Leave a message with the parent and contact the entire Sazonova Dance and Fitness team with all the information. Wait until another member of the team can arrive.

·       If the parent/guardian is not reachable and there is no adult available, you must take the child to the nearest police station.  

 

Booking:

Sazonova Dance and Fitness Studio does not provide drop-in classes for children and young people on all term time courses. All courses must be booked in advance. New students may join courses during the term subject to availability and authorisation of the Sazonova Dance and Fitness Studio team. If there are no spaces on a requested course when booking, then we will aim to provide an alternative option where possible.

 

Waiting List:

Members on the waiting list will be contacted in order of the list. 

 

Payments

Full payment must be received in advance to confirm a place.

Invoices always display due date and this date must be adhered to.

ALL term fees invoices need to be paid via the 'pay now' button on Class Manager or cash.

Any comp fees or invoices which need to be paid via bank transfer will be noted on the invoice- these are the only ones to be paid via bank transfer.

24 hour cancellation policy for private lessons applies to all PLs.

 

Non-payment

Failure to make payment before term starts may result in no place being available. If this happens Sazonova Dance and Fitness Studio will make every attempt to offer an alternative course or arrangement. If this is not possible then your name will be added to a waiting list.

 

If payment is outstanding, Sazonova Dance and Fitness Studio reserves the right to withhold services. Every attempt will be made not to discuss monies owed with children, although in extreme circumstances (especially when children arrive without supervision) children may be turned away.

We may share data with debt collection agencies in order to re-coup monies owed.

 

Cancellation/ Termination

If a student decides to leave the studio or class, a minimum of four weeks written  notice should be given. Customers must pay this last four weeks of lessons if the child attends or not.

 

Sazonova Dance and Fitness Studio reserves the right to cancel a course if there are too few members on a course and the above efforts will be made to place a student in an alternative course or offer a pro-rata refund where appropriate.

If a single class does not take place due to circumstances beyond our control, we will view this class as postponed and will reschedule.

 

Fee’s


We reserve the right to small price increases in line with rent increases, overheads and cost of living. The studio must increase fees to ensure it can continue running as a small business - notice will be given in this event.


LOCALISED LOCKDOWNS and PANDEMICS:

 

If Sazonova Dance and Fitness Studio cannot deliver classes due to force majeure or government directive, we shall implement online classes via video conferencing software as a replacement. No refunds will be offered. 

 

If a child or household member is told to self-isolate by NHS Track and Trace (or equivalent service) classes will be provided to the student via video conferencing software. If the student is unwell and cannot take part, 

This will be classed as missed sessions and as per the below, no refund will be made.

 

Refunds

Sazonova Dance and Fitness Studio cannot offer a refund if you do not attend courses. 

No refunds are given for illness or absence. 

Holiday courses are non-refundable. 

 Course Bookings


Sazonova Dance and Fitness Studio does not provide drop-in classes for children and young people on all term time courses.  All courses must be booked in advance before the beginning of term.  

New students may join courses during the term subject to availability and authorisation of the Sazonova Dance and Fitness Studio Principal. 


If there are no spaces on a requested course when booking, then Sazonova Dance and Fitness Studio will aim to provide an alternative option where possible.

 

Waiting List

Members on the waiting list will be contacted in order of the list

 

Where possible Sazonova Dance and Fitness Studio will aim to let people know of any changes in venue or class time at least one week ahead of schedule.

 


Payments

Full payment must be received in advance to confirm a place.

Invoices are sent 2 weeks before the start of the next half term - so if a half term is 6 weeks then you will be charged for 6 weeks worth of lessons. This is payable using the Class manager system by clicking the 'pay now' button.


Term times are dependant on school holidays so some half terms are 6 weeks and some are 7 weeks for example.

For all current students, courses must be registered in advance. Payment can be made up until the last day of the previous term to guarantee the place. If payment for registered places is not received by this time and the Sazonova Dance and Fitness Studio office hasn’t been contacted in advance, then the place will be offered to another student using the priority listed above.

 

Private Lessons

These lessons have a 24 hour notice period- no refund will be given if student does not attend due to ANY reason or circumstance. Failure to inform principal of no attendance at least 24 hours prior to the class will be deemed as a missed lesson and is still charged.

 

Non-payments

Failure to make payment when invoice is due may result in no place being available. If this happens Sazonova Dance and Fitness Studio will make every attempt to offer an alternative course or arrangement. If invoice is unpaid then no entry for student.

 

 

 

 

Cancellation 

 

Occasionally some courses may be cancelled due to circumstances beyond Sazonova Dance and Fitness Studio control. The team will endeavour to contact paid customers and will either offer an exchange for the course or, in rare cases of a cancellation, a full refund will be given. 

 

Sazonova Dance and Fitness Studio reserves the right to cancel a course if there are fewer than five participants on a course and the above efforts will be made to place a student in an alternative course or offer a pro-rata refund where appropriate.

If a single class does not take place due to circumstances beyond our control, Sazonova Dance and Fitness Studio will view this class as postponed and will reschedule.

 


Refunds

Sazonova Dance and Fitness Studio cannot offer a refund if you do not attend courses.

The first class is considered a 'trial' class. If for any reason the course is not suitable, we must be notified. Please note, no refund or reduction will be made after the second class has taken place, whether further classes have been attended or not.

Purpose and Statement:

Sazonova Dance and Fitness Studios strives for high standards in all aspects of its work, and through the policies and procedures in place, aims to be fair at all times and provide satisfaction to anyone using the services it provides. The staff and volunteers who represent the organisation are committed to high standards of conduct and service. 

Children and adult learning in all areas, academic, social and personal is best supported in an environment where people feel happy, safe, valued and motivated to achieve. At Sazonova Dance and Fitness Studios we create a positive learning environment that ensures our approach to behaviour management and discipline is consistent and understood by all staff, students and parents.

The clear majority of the Sazonova Dance and Fitness Studios’ community demonstrate the values which we want to promote to our students. We have an “open door” policy because we value the interaction between staff and the families of our students. It is an important part of our ethos; it helps us to get to know our students and, therefore, enable them to make the best possible progress in all respects. This is, however, a privilege.

Sadly, there are a very few occasions where adults do not behave as we would like and Sazonova Dance and Fitness Studios has been encouraged to consider what to do in the situation where unsatisfactory behaviour arises.

The following policy is based on the below principles:

·       All members of the Sazonova Dance and Fitness Studios community have a right to expect that they learn and learn in a safe place.

·        Sazonova Dance and Fitness Studios expects every member of its community to behave in a considerate way towards others.

·       Sazonova Dance and Fitness Studios expects every member of its community to be committed to safeguarding and child protection and would not knowingly ever want to harm a young person in any way.

·       There will be a zero tolerance of violence, threatening behaviour, and disorderly conduct, including abuse in all forms, against Sazonova Dance and Fitness Studios staff or other members of the Sazonova Dance and Fitness Studios community.

·        Where such behaviour does occur, action will be taken to deal with the person or persons concerned.

What do we mean by Abusive or Threatening Behaviour?

 

The Public Order Act 1986 defines “disorderly conduct” as: verbal abuse, threatening abusive or insulting words or behaviour or any disorderly behaviour whereby a person is caused alarm, harassment or distress.

 

“Threatening behaviour” is when a person fears that violence or threat of violence is likely to be provoked. In a Sazonova Dance and Fitness Studios context, this could mean someone shouting at a member of staff, either in person or on the phone; acting aggressively, including using intimidating body language, as well as actual violence. It also covers comments posted on social networking sites or situations where members of staff are approached off premises. 

 

Parents’ Code of Conduct

Sazonova Dance and Fitness Studios has a code of conduct for parents. The purpose is to provide a reminder to all parents, carers and visitors about the expected conduct. This is so we can continue to flourish, progress and achieve in an atmosphere of mutual understanding.

 

Sazonova Dance and Fitness Studios expects parents and carers to:

·       Respect the caring ethos

·       Understand that parents and tutors need to work together for the benefit of children

·       Demonstrate in their own behaviour that all members of the community should be treated with respect

·       Seek to clarify a child’s version of events with the Principal’s view in order to bring about a peaceful solution to any issue

·       Correct their own child’s behaviour, especially where it could lead to conflict

·       Approach Sazonova Dance and Fitness Studios staff to help resolve issues.

·       Avoid using staff as threats to admonish children

 

In order to support a peaceful and safe learning environment, Sazonova Dance and Fitness Studios does not tolerate:

·       Disruptive behaviour which interferes or threatens to interfere with the operation of a class, office or other area of grounds

·       Loud or offensive language, swearing, cursing or displaying temper

·       Threating to do actual bodily harm to a member of Sazonova Dance and Fitness Studios staff, visitor, parent/carer or student. 

·       Damaging or destroying Sazonova Dance and Fitness Studios’ property

·       Sending abusive or threatening emails, text/voicemail/phone messages or other written communication

·       Defamatory, offensive or derogatory comments regarding Sazonova Dance and Fitness Studios or any of the pupils/parents/staff at Sazonova Dance and Fitness Studios on Facebook or other social media sites

·       The use of physical aggression towards another adult or child. This includes physically punishing your own child on school premises

·       Chastising someone else’s child

·       Smoking, or consuming alcohol or drugs whilst on school property

 

If any of these behaviours occur, Sazonova Dance and Fitness Studios may contact the appropriate authorities and, if necessary, ban the offending adult from entering school grounds or office.

 

Action to be taken if an incident occurs:

If an incident involving threatening behaviour or abuse does occur then an incident report form will be completed by the member of the school community against whom the abuse was directed. In the case of this being a student, a member of staff may complete the form on their behalf.

 

Step 1 - Verbal Warning

The Principal will speak to the person or persons perpetrating such an incident privately. It will be put to them that such behaviour is unacceptable and an assurance will be sought that such an incident will not be repeated. It will be stressed on this occasion that repetition of such an incident will result in further more serious action being taken. 

Step 2 – Written warning

If a second incident occurs involving the same person or persons, the Principal will write to the adult(s) informing them once again that this conduct is unacceptable. 

 

Please Note:
Any incidents of violent conduct would immediately proceed to step 5. At any stage, the school may report serious incidents of abusive and threatening behaviour to the Local Authority. The school has a statutory responsibility to report any racist or discriminatory incidents to the Local Authority (See Equality Policy). Any act of actual or threatened violence will be referred to the police immediately.

Any sign of a potential Child Protection or Safeguarding issue will be dealt with as per Sazonova Dance and Fitness Studios’ Child Protection & Safeguarding policy.

 

Step 3 – Involvement of the police

Student and parent expelled-  following a decision to ban a person from the premises, that person nevertheless persists in entering school premises and is displaying unreasonable behaviour, such a person may be removed from the school premises as a trespasser under Section 547 of the Education Act 1996 and charged with an offence under the Public Order Act 1986.

Other members of the public have no right of access to the school premises.

We firmly believe that the best way to ensure high standards of discipline is to recognise achievement and celebrate success. To support this, we believe that Sazonova Dance and Fitness Studios needs a system of rewards for good and improving behaviour and sanctions where standards fall below our expectations. These rewards and sanctions must be applied consistently and fairly. 

 

Main Aims for the policy: 

·       To outline Sazonova Dance and Fitness Studios expectations of behaviour and the systems used  

·       To ensure we promote and develop good behaviour 

·       To promote good choices which lead to effective relationships so that everyone can support 

each other, work together and learn well

No student will be allowed to behave in a manner which adversely affects the learning opportunities of others. 

 
We believe it is important for children to be aware of their behaviour and its impact on others. Pupils need to take responsibility for their behaviour and be actively involved in finding solutions.  
 

The school has a set of golden rules of behaviour which are aimed at promoting respect, honesty and good relationships, so that people can work together in a supportive atmosphere with the common purpose of helping everyone to learn, to be creative, to grow emotionally and physically and to be happy. 

 

Do be gentle                               Do not hurt anyone  

Do be kind and helpful            Do not hurt people's feelings. 

Do work hard                             Do not waste your and other people's time. 

Do look after property             Do not waste or damage things.

 Sazonova Dance and Fitness Studios expects every member of the school community to behave in a considerate way towards others. Central to this is choice: we refer to good choices and bad choices. By using the language of choice, we: 

·       promote self-management of behaviour and enable some reflection on what behavioural choices exist; 

·       avoid labelling children – instead we refer to the choices we all make and that we should always try to make good choices. 

Praise is key to nurturing motivated, engaged children who make good choices and consequently build positive relationships. Throughout school, we aim to ‘catch’ good behaviour. 

Children are encouraged to make good choices at all times. They will be supported to: 

·       follow the golden rules 

·       understand what good behaviour means 

·       be aware of their behaviour and its’ impact on others 

·       take responsibility for their actions 

·       learn to care for themselves and each other 

 

 

Staff Will: 

·   Ensure all children are clear about our expectations of behaviour at the beginning of the term and remind them during classes 

·   Treat each child fairly, with respect and understanding 

·   Regularly discuss the golden rules and remind children of Sazonova Dance and Fitness Studios expectations.  

·   Plan quality learning tasks which engage and motivate learners 

·   Praise good choices, behaviour and achievements 

·   Ensure they are fully familiar with the children’s needs and make every effort to be positive, motivational and inspiring – thus minimising the risk of poor behaviour during lessons 

·   Follow the guidance in the disciplinary policy in a fair and honest way 

·   Use Sazonova Dance and Fitness Studios’ guidance to ensure they are consistent when deciding on consequences. 

·   Keep a record and relevant notes on any misbehaviour 

·   Keep parents/carers informed about their child’s behaviour and relationships 

·   Ensure the health, safety and welfare of all children 

 

 

We expect parents and carers to: 

·       Be aware of Sazonova Dance and Fitness Studios’ expectations of behaviour. 

·       Celebrate their child’s achievements and show an interest in their Sazonova Dance and Fitness Studios’ classes. 

·       Ensure that children arrive at Sazonova Dance and Fitness Studios on time. 

·       Work with Sazonova Dance and Fitness Studios to model high expectations of behaviour. 

·       Work with Sazonova Dance and Fitness Studios] to support us in improving children’s behaviour. 

·       Act promptly at the request of [Sazonova Dance and Fitness Studios in the instance of a discipline problem 

·       Support Sazonova Dance and Fitness Studios decision when applying consequences. 

 

Bullying/Violence: 

Sazonova Dance and Fitness Studios has a zero-tolerance bullying and violence policy. 

Students who bully other members of the Sazonova Dance and Fitness Studios community and/or use physical violence will have their membership revoked and they will be asked to leave. 

 

Bullying is unacceptable behaviour used by an individual or group, usually repeated over time, that intentionally hurts another individual or group either physically or emotionally.  

 

Bullying can be: 

·       Emotional - being unfriendly, excluding, tormenting (e.g. hiding property, threatening gestures) 

·       Physical - pushing, kicking, biting, hitting, punching or any use of violence 

·       Racial - racial taunts, graffiti, gestures etc. 

·       Homophobic - because of, or focussing on the issue of sexuality 

·       Sexual - unwanted physical contact or sexually abusive comments 

·       Verbal - name-calling, sarcasm, spreading rumours, teasing etc. 

·       Cyber - All areas of internet, such as email and internet chat, Twitter, Facebook misuse etc. Mobile threats by text messaging and calls, Misuse of associated technology, i.e. camera and video facilities, Ipad, games consoles etc. 

 

Bullying may be related to: 

·       Race 

·       Gender 

·       Religion 

·       Culture 

·       SEN or disability 

·       Appearance or health condition 

·       Home circumstances, incl Young carers and poverty 

·       Sexual orientation, sexism, or sexual bullying, homophobia 

 

Bullying can take place in the classroom, playground, toilets, to and from [COMPANY NAME], on trips and cyberspace. It can take place in group activities and between families in the local community. 

 

Students must not hesitate to report bullying to any adult on site. Volunteers and staff will help any student/family who are the victim of any of these behaviours. Staff will investigate any allegation of bullying, which may result in any perpetrator being asked to leave. 

 

Staff remain vigilant about bullying behaviours and approach this in the same way as any other category of Child Abuse; that is, do not wait to be told before you raise concerns or deal directly with the matter. Children may not be aware that they are being bullied; because they may be too young or have a level of Special Educational Needs which means that they may be unable to realise what others may be doing to them. 

 

The ethos and working philosophy of Sazonova Dance and Fitness Studios means that all staff actively encourage children to have respect for each other and for other people’s property. Good and kind/polite behaviour is regularly acknowledged and rewarded. 

 

 Peer on Peer Abuse: 

Bullying and violence is not the only form of peer on peer abuse Sazonova Dance and Fitness Studios students may experience, both at Sazonova Dance and Fitness Studios or in the wider community. Any form of peer-on-peer abuse will result in the perpetrator being asked to leave Sazonova Dance and Fitness Studios and may result in legal, criminal or social investigation. 

Examples of peer on peer abuse may include, but are not limited to: 

·       Physical abuse e.g. (biting, hitting, kicking, hair pulling etc.) 

·       Sexually harmful behaviour/sexual abuse e.g. (inappropriate sexual language, touching, sexual assault etc.) 

·       Bullying (physical, name calling, homophobic etc.) 

·       Cyber bullying 

·       Sexting 

·       Initiation/Hazing 

·       Prejudiced Behaviour 

·       Teenage relationship abuse 

 

Sazonova Dance and Fitness Studios will deal with any situation of peer abuse immediately and sensitively.

Special Needs: 

Whilst every effort is made to ensure our procedures support children to make good choices, we know that some children have additional needs. When this happens, we will work closely with parents/carers to provide additional interventions which may include:  

·       Establishing an individual behaviour plan 

·       Support from the parents 

 

Sazonova Dance and Fitness Studios] is unable to provide 1-to-1 support, which is made clear to any parent at the time of booking should they disclose additional needs information to us.  

 

Sazonova Dance and Fitness Studios will do everything within our power to integrate children with additional needs into our classes, however should behaviour become disruptive in any way, Sazonova Dance and Fitness Studios must reserve the right to ask children to rescind membership. 

 

 

Managing Behavioural Challenges: 

 

Sazonova Dance and Fitness Studios is an extra-curricular activity, and as such we expect that students want to attend classes. Behavioural difficulties are rare, but Sazonova Dance and Fitness Studios sometimes does have to manage situations. 

 

Staff are instructed to never demean or undermine pupils, their parents or carers, or colleagues. Staff must also never raise their voice beyond what is appropriate and must never lose their temper. 

 

Staff are expected to consult with the most senior staff member before initiating any type of disciplinary measures. 

 

Examples of appropriate disciplinary techniques: 

Splitting up groups who are not paying attention 

Setting clear objectives and behavioural expectations  

Rewarding good, positive behaviour (praise and Sazonova Dance and Fitness Studios also allow stickers) 

Time outs 

Speaking to troublemakers 

 

Examples of inappropriate disciplinary techniques: 

Bribery of any kind 

Raising voices/yelling 

Violence or threats of violence 

 

For more serious behavioural problems, Sazonova Dance and Fitness Studios use a 3 strike system. 
1. Verbal warning/ Time out

2. Informing parents

3. Meeting with parents

 

If a student continues to misbehave, they will be asked to leave Sazonova Dance and Fitness Studio.
