Star-Tastic Group Terms and Conditions
Trials:
- We want all our gymnasts and athletes to love their lessons. To check if your child enjoys the class, gymnasts new to the Star-Tastic Group can try the first lesson and pay the trial fee. If they enjoy their lesson, they can choose to enrol afterward.
- Payment for the month and membership must be received before the next lesson to retain the space.
Membership:
- Membership is open to eligible individuals who agree to these terms and complete registration, including providing medical information.
- Membership and monthly fees must be fully paid before attending any sessions.
- Members have catch-up hours for classes that run 46 weeks a year.
Catch-Up Hours:
We offer our members flexible catch-up hours (not applicable to school classes) that can be used towards a camp day only:
- A maximum of 4 catch-up hours if the member does a 1-hour class per week.
- A maximum of 6 catch-up hours if the member does a 2-hour class per week.
- A maximum of 8 catch-up hours if the member does a 1-hour class per week.
If you miss a session due to a holiday or other commitment, you can catch up in any Holiday Camp we run that is
suitable for your member, subject to availability.
Catch-up sessions must be booked in advance by emailing us to receive your discount code for the camp. The
catch-up year runs from January to December. All unused catch-up hours are removed on December 31st.
Payment:
Fees are due on a set schedule:
- 1st of the month for Academy, Powerhouse, and Star-Tastic Gymnastics.
- Termly in full for Star-Tastic Schools.
- Paid in advance for Star-Tastic Camps.
- Late payment charges of £10 may apply for payments past the 4th of the month.
- Non-payments will be referred to a debt collection agency.
- No refunds will be provided under any circumstances.
- Extra catch-up hours may be offered at the club's discretion under exceptional circumstances.
- Parents must pay the Star-Tastic Membership fee upon sign-up, which is £42.50 per year.
- New members can book a trial lesson before committing to membership.
- A four-week notice period is required to leave the club.
- Multi-class discounts range from 9% to 42.5%.
- Siblings receive a 10% discount on all classes.
- A 10% admin charge will be added to any school or camp cancellations before the term has started. Minimum of 48 hours notice.
Exclusive School Classes:
- Existing gymnasts are offered the chance to sign up and keep their place before new starters can enrol.
- Fees must be paid in full before the deadline to retain a place. If fees are not received by the deadline and we have not heard from you, we cannot hold the gymnast's place.
- If a place has not been paid for by the second week of term, your gymnast will be returned to reception for collection.
- Once a term has started, no refunds will be given for any classes.

Absences and Refunds:
- Refunds will not be given for missed classes for any reason.
- Members are committed to their class placement once enrolled.
- Catch-up hours (4-8 hours annually, depending on class duration) can be used for holiday camps, subject to availability.
- Catch-up hours cannot be used for regular class attendance. They may only be used towards Camps.
- Please email your club and let us know the dates you missed. We will then check and send you a discount code you can use for booking camp sessions.
- Injury-related credits may be offered at the club’s discretion if the injury occurs during a club session.
- Spaces cannot be held without payment if an injury happens outside of our classes.
Calendar:
The Star-Tastic Group Open classes operate year-round for 46 weeks a year, closing for:
- Two weeks at Christmas.
- One week in January.
- Two weeks at Easter.
- One week in the May half-term.
Our fees remain the same every month and are pro-rata.
School Classes run during term time only.
Camps run during school holidays only.
We operate on all Bank Holidays unless they fall during a closure week.
Code of Conduct:
- Respectful behaviour is mandatory at all times. Disruptive or unsafe behaviour may result in membership termination without a refund.
- Members must adhere to all safety rules and guidelines as outlined in the club’s Code of Conduct.
Health and Safety:
- Any medical conditions or injuries affecting participation must be disclosed during registration and updated asnecessary.
- The club is not liable for injuries except in cases of proven negligence.
- Appropriate clothing must be worn during all sessions.

Club Cancellations and Rescheduling:
- The club reserves the right to cancel or reschedule classes where needed. Where possible, replacement sessions will be arranged or catch-up hours will be offered.
- Members should provide at least 48 hours' notice if unable to attend a session.
- Classes may be cancelled due to extreme weather, school closures, fire evacuations, or unforeseen circumstances. Refunds will not be provided, but efforts will be made to reschedule.
- If classes are cancelled due to snow or adverse weather, notifications will be posted on Facebook and emailed.
Photographs and Media:
- The club may use photographs or videos for promotional purposes where consent has been provided.
- Coaches may use mobile phones for attendance registers.
- Coaches, with permission, may take photos or videos of children during class sessions with prior consent.
Data Protection:
- Members' data is used solely for club purposes and complies with the Data Protection Act 2018.
- Please advise us of any changes in your contact details.

Termination:
- Membership may be terminated for breaches of the terms or the club's Code of Conduct.
- Members should read and abide by the Code of Conduct.
Liability:
- The club is not responsible for lost or damaged belongings inside or outside of the gym.
- Participation in activities is at the member’s own risk.
- Any damage caused intentionally to club property or equipment will be charged to the parent or guardian responsible for the member.
Amendments:
These Terms and Conditions may be updated periodically. Members will be notified of any changes.S
Club Rules and Regulations
By signing the participant’s Contact and Release form, members acknowledge that they have read and understood the
club rules, Code of Conduct, and commitment requirements.
Attendance and Pick-Up:
- Parents must be on time to collect their child. If someone else is picking up the child, the coach must be informed in advance.
- If parents are more than 15 minutes late, a £10 late fee may be charged per child.
- Children will be asked to confirm they recognize the person collecting them.
- Parents are not allowed to view classes inside the gym except during designated watching weeks at the end of each term.
Clothing:
- Athletes must wear appropriate attire, such as club t-shirts, shorts, tracksuit bottoms, or leggings. No skirts, zips, belts, or jeans
- Long hair must be tied back. Coaches may assist with tying hair if necessary.
- Jewellery is not permitted during training. Newly pierced earrings must be taped for a maximum of six weeks.
Behaviour and Safety:
- The club reserves the right to refuse admission or dismiss members at the discretion of the Head Coach.
- A three-stage warning system is in place for behavioural issues.
- Athletes must not use equipment without a coach’s supervision.
- Unsafe or inappropriate behaviour will result in being asked to sit out or, in severe cases, dismissal.
Competition Photo Consent:
By registering for competitions or showcases, members agree that photos may be taken and used in promotional materials, on social media, or the club’s website.
Class Arrival and Departure:
- Parents must ensure children are dropped off and collected from the designated area.
- Written confirmation is required for children traveling alone. Year 7 students and above may leave alone unless parents state otherwise.
- Warm-ups are crucial; arrivals later than 15 minutes will not be allowed to participate for safety reasons.
- Any illness or injury must be reported to the coach at the start of the session.
These terms ensure the smooth operation of Star-Tastic Group and the safety and enjoyment of all members.
Your child's safety is our top priority. Before joining our activities, please carefully read and agree to the terms below:
Safety Commitment:
The Star-Tastic Group prioritises the safety of all participants, with full insurance coverage and ongoing efforts to minimise risks. Please follow safety rules and instructions provided for your protection.
Assumption of Risk:
Gymnastics activities involve inherent risks, including accidents, injuries, or property damage. While safety measures are in place, it's important to acknowledge that such risks cannot be entirely eliminated.
Permission for Participation:
By continuing, you grant permission for your child to participate in all activities run by Star-Tastic Gymnastics, understanding that these activities may involve physical exertion and skill development.
Emergency First Aid Authorisation:
You authorise The Star-Tastic Groupand its staff to administer appropriate emergency first aid as necessary for the care and protection of your child while under our supervision. This includes seeking medical attention if deemed necessary.
Liability Release:
By participating, you acknowledge assuming certain risks and responsibilities. In consideration for your child's involvement in The Star-Tastic Group activities, you release us from any liabilities, claims, demands, actions, or rights of action related to their participation.
