GDPR (General Data Protection Regulation) and Privacy Policy

This policy has been produced as we take your privacy seriously and we know how important it is to you. We understand that we have a duty of care with your information and telling you what we do with it.

GDPR states that personal data should be processed fairly and lawfully and collected for specified and legitimate purposes and that individual’s data will not be processed without their knowledge or consent.

GDPR covers personal data relating to individuals. SADPA is committed to protecting the rights and freedoms of individuals with respect to processing children’s, parent’s, visitor’s, and staff’s data.

GDPR gives individuals the right to know what information SADPA holds about them.

Students

SADPA holds the information filled in by parents on the registration system Class Manager.  This information is only accessible to the student’s class teacher and SADPA Principal (Louise Chapman). This information is accessible only via Class Manager with the necessary login details and on locked devices. All teachers and chaperones sign a Processors Agreement stating that they will protect information that they have access to and will only use or share that information as set out in this policy. When a member of staff leaves SADPA access to Class Manager will immediately be withdrawn.

The only time this information will be shared with a third party is with:

·        BBODance for exams (Name and date of birth)

·        Suffolk County Council for shows to obtain a performers licence (Name, address and date of birth)

·        Competition organisers (name and date of birth)

·        Emergency services

Visitors and Guest teachers

We are required to collect certain data from visitors to the dance school. This would include (and is not restricted to) visitor’s names, telephone number (and company name if applicable), to comply with our health and safety and safeguarding polices.

Teachers

We store data on our teaching staff. This includes full names (including any previous names) telephone numbers, addresses, email addresses, date of birth, bank details, DBS details. This information is stored on Class Manager. Some of this information may be shared in order to obtain Disclosure and Barring Service checks (DBS).

Chaperones

We will store the names, addresses, phone number and license number of all chaperones volunteering at our shows licensed by Suffolk County Council.

All those who we hold information on, have the right to access that data and the right to check and change it. This can be done by logging onto your account in Class Manager https://app.classmanager.com/portal/suffolk-academy-of-dance-and-performing-arts

The right to erasure

You have the right to request the deletion of your data where there is no compelling reason for its continued use. However, we have a legal duty to retain some information, during this period, data will be stored but not be used in any way (e.g., communication):

·        Children’s accident reports will be held for 3 years.

·        Staff records for 6 years after they have left SADPA.

·        Media and photo consent data will be kept indefinitely.

Visual personal data in the form of photographs, video footage or sound recordings is stored without names being attached to images in photo albums (physical and data storage), displays, on the SADPA website or social media sites. You have the right to opt out of any photography/ filming being taken. However, any child that does not have photo and video consent will not be able to perform in our shows as they are filmed and photographed. The only time the students name will be printed will be in show programmes, but they will not be attached directly to any photograph.

How data is used

Your contact details will be used to keep you informed (mainly via email) on class changes, fees, term dates, registration to classes, invoicing, special announcements, exam and performance communications and contact you during class (or show) time if your child is taken ill or injured.

During shows the Head Chaperone will hold student’s names and emergency contact details, as well as any relevant medical details, this information will be stored securely and remain their responsibility at all times. All other chaperones will have access to the student’s names and any relevant medical information of those students in their care.

A separate hard copy permission slip will be sent to parents asking for their agreement to

·        this policy, to use their data in the ways set out above.

·        receive marketing emails from us i.e. Information about new classes

·        photo and video consent for marketing purposes both printed and online
