Terms & Conditions of Enrolment

TEST VALLEY SCHOOL OF DANCE CODE OF CONDUCT

The Test Valley School of Dance aspires to enable young dancers to equip themselves with the skills and behaviour to develop as dancers and a fun yet structured environment.

Students are expected to behave in a respectful manner to both TVD Staff and other TVD Students. In return, students can expect that all TVD Staff will treat them with the upmost respect, and provide a consistently high level of training and care.

In order to provide a happy and safe environment for children of all ages to practice dance, the school stresses that the following terms and conditions should be adhered to at all times. As a condition of enrolment & by attendance, students and parents agree to the following terms and conditions: -

PAYMENTS

a) Children's classes are payable per term and in advance. Invoices for timetabled classes will be emailed before the start of each term.

b) All Accounts must be settled by the invoice due date (usually 14 days from date of invoice)

c) Payments can be made online, in cash or by cheque.

d) Any cheques returned unpaid will incur a £10.00 handling charge.

e) The Test Valley School of Dance reserves the right to refuse payment by cheque if this form of payment has been abused in the past.

f) The Test Valley School of Dance reserves the right to add a £10 administration fee to any overdue accounts.

g) In the event of continued non-payment The Test Valley School of Dance reserves the right to suspend any students classes with immediate effect.

h) Statements will be made available at regular intervals during the term and are available at any time by contacting the Principal.

i) Term fees are changeable depending on the number weeks per term


DISCOUNTS

a) Sibling discounts are available to all families with multiple children attending Test Valley School of Dance classes. 

b) For children attending 3 or more classes a week an Elite Dancer discount will be awarded allowing TVD Students to attend unlimited classes over all the genres we offer and only pay for the 3 classes


EXAMINATIONS & PERFROMANCE FEES

a) Invoices for examinations and performances are distributed when the occasion arises.

b) All examination / performance fees must be paid before the date of the examination / performance to avoid an administration charge.


CUSTOMER CREDITS

a) Customer Credits are issued to cover circumstances such as cancelled classes or long term absence through injury or illness. All customer credits will be deducted from the following term’s bill.

b) Customer credits will not be awarded in respect of family holidays, school trips, school exams or short term sickness or injury.

c) Instances of long term sickness or injury will be assessed on an individual basis.


UNIFORM

NEW STUDENTS may dance in suitable, comfortable clothes until they have settled into their new classes

a) Correct Test Valley Dance uniform must be worn for all practical classes. TVD uniform is all available from from our pop-up-shop which is usually open on the 1st Saturday of each month during term time. For a copy of our uniform list please email [email protected]

b) All uniform should be clean and well-fitting, and underwear should not be visible

c) Watches and Jewellery (apart from small stud earrings) should not be worn unless required for religious or cultural reasons

d) Hair should always be tied up and styled off the face. A ballet bun is required for all ballet classes for children over the age of 6. If hair is too short to be tied in a pony tail or bun, it should be neatly groomed so that the line of the head and neck is not obscured.


TERMINATION OF CLASSES

a) If a student wishes to stop a class or leave the school, The School must receive written notice (by email) at least half a term prior to leaving. Failure to provide written notice will incur 6 weeks (or half a terms) fees for the cancelled class.

b) Absence of notice or late notice for exceptional circumstances will be addressed on an individual basis.

c) In the event of a pupil leaving the Test Valley School of Dance with fees still outstanding, TVSD reserves the right to pursue recovery of the debt by all legal means including court action.


CANCELLATION OF CLASSES

a) Occasionally it is necessary to cancel a class, change the venue of a class, or postpone a class to a later date. Where this occurs the Test Valley School of Dance will notify parents by email, text message or via the school facebook page or hall notice board.

b) The School reserves the right to cancel any classes any time up to and including the date the class starts. Should this occur The School will always provide as much notice as possible. A make-up class will be arranged or a customer credit note will be raised.

c) Classes cancelled due to extreme circumstances, force majeure or natural disaster, such as severe weather incidents or a global pandemic will not be refunded. An alternative class, make-up class or virtual session will always be arranged in the first instance and where this is not possible a credit will be raised to be used against the following terms fees. 


MISCELLANEOUS

a) All Test Valley School of Dance teachers are qualified, DBS checked and insured. However, due to the nature of teaching dance and performing arts, sometimes it is necessary to correct positions physically. This is always conducted with care and professionalism.

b) The safeguarding of children is of paramount importance. At school shows professional external licensed chaperones may be employed and, jointly with TVSD parents & staff, will take responsibility for the welfare of the children. No child will be allowed to leave any premises unless a parent is there to collect them UNLESS the principal has been informed that alternative arrangements are in place, ie a child can walk home alone. If any parent has a concern regarding safeguarding then please inform the principal immediately so that it can be rectified.

c) Medical Information: 

Parents should not allow students to attend any classes if they have a fever, virus or any other contagious illness they should not attend a class. To inform the teacher of an incidence of known absence, please phone or text Miss Hannah 07709 868 821.

Learning difficulties: It is vital that teachers are aware of any learning difficulties your child may have, e.g. Dyslexia, Autism etc. in order to provide the best possible teaching methods for your child’s needs. Medical/Injury Information: The responsibility lies with the parent/guardian as to the fitness of the child to attend class and you must inform the school if your child has an injury or medical condition e.g. Asthma which may affect his/her ability to perform in class.

Allergies: The School should be notified if your child allergic to any medication or foods (e.g. penicillin or peanuts)? 

d) Permission for use of student photographs & video: Background Information 

When you give permission (or otherwise) for the external use of photographic and video materials, you are consenting to the following: 

School Show: In order for the school to provide families with memorable footage of our main school shows, a reputable person/company may be arranged to produce DVD’s/photographs. In this case, the school will ensure a Disclosure certificate, is applied and authorised before the event takes place. 

Other Events: The school is often asked to provide dancers for charity & local events. There are often press photographers and reporters present, who may publish a story and/or photographs of our students. 

Publicity: We use photographs of students within our school website & advertising posters to give context and ensure relevance to the school’s work and activities.

e) Any changes to these Terms and Conditions will be communicated by email, on the facebook page, website and the notice board at Woodley Village Hall.


TEST VALLEY SCHOOL OF DANCE LIABILITIES

a) The Test Valley School of Dance does not accept responsibility for injury arising from errors or omissions on the registration form whether completed by you or the person in charge of your child at the time of enrolment.

b) The Test Valley School of Dance  does not accept liability for personal injury to any child attending our classes, with the exception of such injury being caused by negligence or default of any member of our staff or any other default on our part.

c) The Test Valley School of Dance  does not accept any responsibility for loss or damage to personal property at any venue where dance classes or rehearsals are taking place.

d) The Test Valley School of Dance  does not accept responsibility for any loss or expense due to circumstances beyond our control.

e) The Test Valley School of Dance is only responsible for TVD students whilst they are in a class with a Test Valley School of Dance Teacher. The School cannot accept liability for students should they attend another dance school / dance class. 


RESPONSIBILITIES OF PARENT OR GUARDIAN

a) These terms and conditions, and any enrolment forms you have signed, constitute an agreement between you and us in connection to classes or any services superseding any prior agreement.

b) Attendance at class is deemed to be acceptance of the current Terms and Conditions.

c) It is the responsibility of the Parent or Guardian to notify The Test Valley School of Dance of any illness or injury that may affect the child’s participation at class.

d) It is the responsibility of the Parent or Guardian to ensure that we have the correct details (including contact details) for you and your child and keep us updated of any changes to health.

e) It is the responsibility of the Parent or Guardian to regularly read the website/facebook information and/or the notice board in order to be fully aware of all upcoming events.

f) In the event that we consider you to be in breech of these terms & conditions or that your child is disruptive to other pupils or staff, teachers or venue staff, we reserve the right to exclude your child from any activity within The School.

g) In the event of a dispute over payment of fees, if the Parent or Guardian cannot provide proof of payment, they must accept The Test Valley School of Dance's records.

h) The Test Valley School of Dance hires venues for dance classes; therefore all The Test Valley School of Dance staff, parents and pupils must be respectful to our neighbours and arrive & leave responsibly.

i) Photographs and video footage of pupils taken by The Test Valley School of Dance may be used on our website/facebook page and for publicity purposes. If you do not wish your child’s image to be used for these purposes you must inform us in writing.


THE TEST VALLEY SCHOOL OF DANCE WILL:

Provide a safe, appropriate and inclusive environment for dance. 

Deliver high quality training in dance. This includes teaching staff, lesson content, and other opportunities.

Ensure that teachers have secure subject knowledge and remain abreast of current health and safety and methods of best practice.

Demonstrate to students with a positive attitude, the values and behaviour expected of them.

Inform students of any changes to sessions or the course that will affect them or their family as soon as possible.

Work with parents and guardians in the best interests of their students. 

Ensure that opportunities available are maximised, with particular reference to working with professional artists and companies. 

Encourage and support all students in reaching their full potential as dancers and treat students with respect at all times.

Communicate openly and be honest about feedback and advice given.


TEST VALLEY SCHOOL OF DANCE STUDENTS WILL:

ATTITUDE

Students should: Focus in sessions: concentrate, listen and attempt to apply corrections.

Be enthusiastic, committed and interested in learning.

Act in a respectful and supportive manner to all TVD staff members and fellow students at all times.

Support, encourage and work sensibly with their fellow students at all times.

Take responsibility for their learning and carry out homework or any practice of corrections in between sessions. 

Appear in correct uniform in a presentable manner at all times.

COMMUNICATION

If something is not understood, students should ask a teacher who will be happy to spend time explaining.

Students and / or parents should inform the teacher of any illness or injury prior to the beginning of each class, to ensure that they are being taught safely.

Students should inform the teacher immediately if they are injured or fall ill during a session.

ILLNESS

Students are expected to attend and participate in all classes when possible.

If a student has a fever, virus or any other contagious illness they should not attend a class.

PERSONAL SAFETY & COURTESY

If students are more than 10 minutes late to a practical class, they will be expected to warm up on their own before joining the class.

No food or drink except bottled water or squash should be brought into the studio. Eating in class and chewing gum is strictly forbidden. 

Mobile phones belonging to students should be switched off or left on ‘silent’ mode. If a student should need to monitor their phone during a class, the phone should be handed to the teacher at the start of the lesson who will inform the student of any activity.
