Please read the following information to help you understand how your data is used within our organisation. The dance school (The Dance Centre Academy) requires personal data from all our families on enrolment and therefore, we need to ensure your data is processed lawfully, fairly and in a transparent manner in relation to individuals. We need to ensure also that the data we are collecting are for specified, explicit and legitimate purposes and not further processed. This policy will ensure you are aware of what we do with your data from enrolment through to termination.

Ø Why and how we keep your information and contact details?
TRIAL SESSIONS: The Dance Centre Academy will initially take a name and phone number from you if you wish to trial any of our classes. We ask for this information so that we can contact you between your first contact and trial session with any necessary information you may need to know. By providing this information you are allowing us to contact you about your trial session before and after. This information is then deleted at the end of the academic term that the trial was booked in. You can opt out of this by just letting us know when this information is initially provided. Your details are not shared with any third party contacts.
ONLINE CONTACT: By contacting us via our online web form or Facebook Messenger, Instagram, you are giving permission to be contacted by the dance school (The Dance Centre Academy). We will not share your details.
REGISTRATION: Our online registration form will ask you for personal details; your child’s full name, parent/guardian’s full name, email address, home postal address, contact number and also any medical information that we may need to be aware of. Your data, through our online Class Manger software, is compliant with GDPR. This is then transferred onto our database system, which allows us to run the dance school efficiently.
Who has access to your information? Your personal data will be processed and managed cautiously and sensitively by the dance school owner and administration team. Once your information has been processed, your child’s class teacher can access information via a password on our online registers. This purpose is to monitor attendance and allow contact in an emergency.
Any medical information will only be used to ensure your safety when participating in classes and in case of an emergency. We will use these vital details to pass onto the emergency services if required.
We will
never ask you for any financial information. Payments you make to our company are processed through our card provider or bank. we do not handle or store any of your financial data.
Ø How and why we will contact you?
We contact our customers by phone, text message and email. If a class is cancelled or a session has changed, you will have advanced notice in the form of an email. This information is also available on social media. If fees are due, or reminders of upcoming events are shared, we will send text or email reminders. We send newsletters and reminders to you also.
We ask for your contact details, so we can inform you of class cancellations, adverse weather, time changes, events etc. If a child student is unwell whilst participating in their session and a parent or guardian is not present, we will contact you to collect them.
Ø How we store your information?
Your details are handled by administrators within the company. Your membership forms are checked and any relevant medical information is disclosed to the class teacher. Forms are then stored digitally in your Parent Portal account. All our general staff, teachers, and assistants have signed a confidentiality agreement and are trained appropriately. We use a software program called ClassManager which is fully compliant with GDPR.
Ø Do we share your details with anyone else?
We do not share your details with any other companies. If you enter dance examinations only your full name and date of birth is given to the United Kingdom Alliance, Royal Academy of Dance, LAMDA, and Trinity College London for your exam entry. Your child's details may be required by the local authority to approve and authorise a permit license for show performances. This is called a Body Of Persons Approval (BOPA).
Ø Do we share your details with anyone else?
Your data is stored for the duration of your membership. Once you have terminated your membership and all financial commitments settled, you will be removed immediately, unless the administration team has been instructed otherwise by you, the customer.
