TPF Academy of Performing Arts Terms and Conditions
Updated 23rd April 2022
By enrolling your child at TPF Academy of Performing Arts (which shall be referred to as TPF for the remainder of this document), you accept the following terms and conditions and sign your agreement to them as an ongoing agreement between you and TPF. These Terms & Conditions apply to all TPF Classes, Holiday sessions, Workshops and any additional activities and/or services offered by TPF.
If you are an existing Parent of TPF please read these amended Terms & Conditions carefully. Unless you contact us within seven (7) calendar days of receipt of these new Terms & Conditions, they shall supersede and extinguish all previous agreements between us and shall govern the contractual relationship between us going forwards. Your continued enrolment of a Student in TPF Activities shall be deemed as acceptance of these Terms & Conditions and willingness to be bound by the same.
Please note, by agreeing to the terms and conditions you are entering your child into The Performance factory for the full term. If your child wants to stop attending for whatever reason, parents must inform the company in writing via email. Please see our 'cancellation' section below for further details.
Trial Period
•TPF offers new students the opportunity to book a free trial at one of our classes. Free trials will be limited at all times to one trial per student. If a student has previously attended a free trial (at any time, at any of our TPF classes), they may not be permitted to attend another free trial. Likewise, if a student is booked on a free trial and does not attend, TPF may not offer to reschedule the free trial for another class.
Fees and Late payment terms
•Fee information can be found on our website www.tpf-academy.com or via our Class Manager online portal.
•Fees are due on the first day of the new term. The terms fees can be paid in full on the first day of term or in three instalments. Instalment one is required on week one of the term, instalment two is required on week five of the term and the final instalment is due on week nine of the term. (This is based on a 12-week standard term, however sometimes the term maybe longer and you will be updated accordingly)
•Please note fees must be paid in advance of your child participating in a TPF class. Details of how fees are to be paid can be obtained via our Class Manager online portal.
•Late Payment. A late payment fee of £5 (a week) will be applied to any fees not paid by the requested time.
Cancellation
• Unless TPF is otherwise notified in writing by you before the tenth (10th) week of the term, a student is automatically re-enrolled onto the course for the following Term.
•If you do not notify TPF before the tenth (10th) week of the course that you do not wish a student to be re-enrolled onto the following term of the course, then you will remain liable for first instalment of the full-Term fees in respect of the next term, regardless of attendance of the student.
•If for whatever reason your child wants to stop attending classes during the middle of a term, parents agree to give The Performance Factory 4 weeks paid notice in writing. This will allow TPF to fill the vacant place.
Communication
•Communication with parents will be made via email ([email protected]) or via telephone (07481 448445). On occasions TPF will share important information via our class WhatsApp groups and private parent / student Facebook group. Please note TPF will not respond to questions asked in those groups, as they are set up specifically to share information only.
•Please text 07481 448445 to be added to our WhatsApp group and click the link below to join our FB group: https://www.facebook.com/groups/507445006108010
Attendance and absentees
•When a TPF activity has been cancelled by TPF we will provide as much notice as possible by email, text message, phone, social media or by updating our website. You are responsible for checking for these updates. In these circumstances the class/activity will be made up at another date. In the unlikely event that we are unable to make up the missed class/activity, the class/activity fee will be reimbursed.
•In the event that a student is unable to attend a TPF class due to sickness, holiday, weather conditions, etc, the parent is still liable for the charges for the session in full.
•Please notify TPF in advance if your child is not attending class for whatever reason.
•All students who require collection after a class must be collected within 5 minutes of the session ending. If a parent is more than 15 minutes late collecting their child after a session, then a £10 fee will be charged.
Staff and time tabling
•TPF reserves the right to make changes to the timetable and to the teaching staff from the advertised programme in the event of illness or other circumstances beyond our control.
•If a class falls on a bank holiday and the session is unable to run, then a replacement class will also be added onto the end of the current Term timetable or the subsequent Term.
•It is occasionally necessary to change the time and/or venue of a TPF class/activity. This will only be done if absolutely necessary and TPF will make best endeavours to keep class times and locations as similar as possible.
•TPF reserves the right to revert to online teaching for weekly classes or courses when forced to do so by government restrictions or due to following COVID-19 regulations such as self-isolation for staff and/or students or venue unavailability due to circumstances beyond our control.
Update records
•Parents are solely responsible for ensuring that the emergency contact details on TPF's records are up to date. All updates must be submitted via the TPF student portal or by emailing [email protected]
Behaviour
•TPF may, at its complete discretion, refuse a student entry to a TPF activity or class, if it is felt that the student’s behaviour is unacceptable or inappropriate. No refund will be provided, and you will still be liable for the complete cost of the student’s activity.
Health & Safety
•Students participate at their own risk and are obliged to inform TPF and its staff of any existing injuries or medical conditions. All application forms must have any known medical conditions stated and any changes to such information must be notified to TPF immediately in writing.
•If you are unsure whether a student should participate in any activity, please consult the student’s GP before enrolling the student on a TPF activity.
•Any medication left on the school premises must be clearly labelled and the student should, unless TPF has agreed in writing otherwise, be able to administer it themselves.
•Students must always wear suitable footwear and clothing, including TPF uniform for all classes and workshops. We recommend that jazz shoes or jazz trainers are worn to class. Please speak to the class teacher regarding TPF uniform requirements.
•If a student is unwell or has an accident requiring emergency treatment during a class, the parent will be contacted via the emergency contact details provided on the application form. This number must always be contactable whilst the student is attending a TPF Class or activity.
Personal Property
•Students are expected to take care of their own belongings. TPF can accept no liability for lost or damaged belongings, even if the damage was caused by another student or a TPF employee, agent or affiliate.
•Students should bring a drink, ideally a bottle of water clearly labelled with their name to each TPF Class. We kindly ask that no food is brought into class.
Photography and Videography
•Parents/guardians understand that from time-to-time photographs/videos may be taken during class, rehearsals and production for publicity purposes. If you have any objections, you will make this known in writing to the TPF Principal via info@tpf- academy.com
Management
•Any student that gains professional work via TPF Management (or any of our contacts), commission will be deducted at the rate of 10 – 20% from all earnings.
