POLICIES AND PROCEDURES 2024
1. Introduction
1.1. Welcome to UpsideOver Acrobatics! By enrolling in our services, you agree to the following terms and conditions.
2. Fees and Payments
2.1. Fees are payable in advance prior to the term commencing. Enrolment is not confirmed until payment has been received in full, or another arrangement has been confirmed with management.
2.2. Unpaid fees (without prior arrangement) will result in the cancellation of your enrolment and your place offered to another student on the waiting list.
2.3. No refunds are provided after the commencement of the term.
2.4. No refunds will be given for missed classes by students, but an account credit for illness or injury may be considered at the discretion of management.
2.5. All statutory holidays are observed at UpsideOver and classes will not run on these days. Term fees have been calculated to reflect these non-instructional days.
2.6. Additional expenses such as exam fees, show participation, or costume costs may arise from time to time throughout the year. We will always consult parents or guardians before incurring these charges, which will be invoiced separately from the regular term fees.
3. Enrolment and Class Attendance
3.1. UpsideOver is committed to providing equal opportunities for all students.
3.2. Enrolment in classes is subject to availability. We will promptly notify you regarding the status of your enrolment in a class.
3.3. Class placement will consider a number of factors, including age, ability, safety and previous experience.
3.4. Enrolment in a class is at the discretion of the Dance Director. The Dance Director reserves the right to make all final decisions regarding class placements.
3.5. Students re-enrolling in the same class in consecutive terms are given priority over new enrolments.
3.6. Regular attendance and punctuality is strongly encouraged in order to help students feel connected to and progress consistently with the rest of their class.
3.7. The Dance Director has the authority to require any student to leave the premises immediately, and subsequently cancel their enrolment, if they are found to be threatening or disrespectful to property, staff, or fellow students, in the Dance Directors opinion.
4. Class Viewing
4.1. To foster an environment conducive to focus and learning, we kindly request that families wait in the designated area during class times. This approach has been shown to enhance student focus and progress in class.
4.2. Each term, typically in the final week, we extend an invitation to families to join and observe a class. This is a wonderful occasion to see firsthand the advancements and achievements their dancer has made throughout the term.
4.3. For trial classes, please coordinate with the teacher for any specific viewing arrangements.
5. Uniform and Grooming
5.1. Students are required to dress appropriately for all classes:
5.1.1. Using the UpsideOver t-shirt is strongly encouraged.
5.1.2. No baggy tee shirts or non-stretch clothing to be worn for class.
5.1.3. No excess or dangly jewellery to be worn, as this is a safety risk.
5.1.4. Hair is to be neat and tidy, and appropriately secured off the face.
5.1.5. Appropriate dance shoes or bare feet only are to be used in the dance studio so as not to damage or mark the specialist dance flooring.
5.2. All street shoes, bags, unworn clothing and other belongings are to be left in the cubbyholes provided in the waiting room and are not to be brought onto the studio floor.
5.3. Whilst taking all care, UpsideOver Acrobatics is not liable for any loss or damage of personal belongings on the premises.
5.4. Mobile phones are not to be used by students during class in the studio.
5.5. No food to be permitted in the dance studio at any time. Drinks bottles with lids and containing water only are permitted.
5.6. The Dance Director reserves the right to deny a student entry to any class if they consider that any of these conditions are unmet and may pose a safety concern, in their opinion.
6. Communications
6.1. UpsideOver will use ClassManager App as their primary source of communications with students and families.
6.2. Please notify your teacher of any class absences through the ClassManager App as soon as practically possible.
6.3. It is the responsibility of parents/ guardians, and students themselves where appropriate, to keep up-to-date with all studio information and communications.
7. Health, Safety, Injury, and Medical Conditions
7.1. UpsideOver Acrobatics is committed to providing a safe learning environment, whilst recognising the inherent risks to dancers. Our qualified, experienced teachers promote safe practices, but it's important to understand that injuries can occur. Parents/guardians therefore must assume and accept all responsibility for any injuries, harm or damage from their dancer’s participation in classes at UpsideOver Acrobatics.
7.2. It is the responsibility of students and their parents/guardians to inform the teacher of any existing injuries or medical conditions or other concerns prior to enrolment, and we provide you the opportunity to do that during our enrolment process.
7.3. Any injuries or other medical concerns that occur during the term must be clearly communicated to your teacher before the student’s next class.
7.4. Students are advised to warm up before class to maximise class time for learning. A structured warm-up is part of our younger classes to teach effective warm-up techniques.
7.5. Students must never use any equipment without the direct supervision of their qualified teacher. Equipment belonging to UpsideOver must not be taken off the premises at any time.
7.6. All directions from the teachers are to be followed at all times to ensure the safety of all students within class.
7.7. First aid is readily available, and in case of injury, immediate care will be provided and parents/guardians notified as soon as possible.
7.8. Students are supervised during class time. However, outside of class, parent/guardians are responsible for their children's safety. Younger students will wait inside the building for their parent/guardians, and we request that guardians promptly pick up dancers after class.
7.9. In the event of an evacuation, there will be a designated assembly point clearly indicated for safety.
8. Photography and Media
8.1. In adherence to Privacy Act guidelines, no photography or videoing of students is permitted without the express written permission of the teacher or Dance Director.
8.2. UpsideOver may occasionally use videos or photos of students for publicity and promotional purposes. Should you prefer your child not to be included, please inform the Dance Director or specify this on the enrolment form.
9. Intellectual Property
9.1. Choreography and course material are proprietary and remain the exclusive artistic and intellectual property of UpsideOver Acrobatics at all times. As such, any choreography or course material may not be copied or used outside the studio without explicit permission from the Dance Director.
10.Addressing Concerns
10.1. Should you have any concerns, we warmly welcome you to share them in writing with your teacher in the first instance, or with the Dance Director of UpsideOver Acrobatics.
10.2. Any concerns will be received with the highest respect and attention. Our approach is to engage in constructive dialogue, aiming to find a mutually agreeable solution that respects the perspectives of all involved.
11.Changes to Terms
11.1. UpsideOver Acrobatics reserves the right to amend these terms as necessary. We commit to effectively communicating any such changes to ensure transparency and understanding
