YOUNG ACTORS ASSEMBLY (YAA) – PRIVACY POLICY

Information is collected through online enrolment systems, written communication, verbal interaction, and in-person participation at YAA programs.
2. Use of Personal Information
Personal information is used for purposes directly related to YAA’s functions and services, including:
Managing enrolments and communicating with families
Delivering training programs and creative projects
Responding to emergencies or medical needs
Processing payments and managing financial accounts
Evaluating and improving services
Using audio-visual materials for approved promotional or archival purposes
Information is only used in ways that a reasonable person would expect, or where legally required or permitted.
3. Disclosure of Personal Information
YAA does not sell or rent personal information. Information may be disclosed to:
Medical professionals in the event of an emergency
Service providers such as payment gateways and software platforms, under confidentiality obligations
Government agencies or authorities where required by law
Contractors or creative professionals involved in YAA-authorised projects
All disclosures are made in accordance with the Privacy Act 1988 (Cth) and YAA’s internal policies regarding student welfare and safety.
4. Storage and Security
YAA takes reasonable steps to protect personal information from misuse, interference, loss, and unauthorised access or disclosure. This includes:
Secure password-protected digital systems (e.g. Class Manager)
Controlled access to internal files
Encryption of sensitive data where applicable
Secure deletion or de-identification of information no longer required
Staff and contractors are trained to handle personal data in accordance with privacy and child safety legislation.
5. Access and Correction
Parents, guardians, and students may request access to their personal information and request corrections if the information is inaccurate or out of date.

If a parent or guardian does not wish their child to be included in such materials, they must notify YAA in writing prior to the commencement of the program.
All media is stored securely and handled with care to ensure the dignity and privacy of all participants.
7. Online Systems and Third Parties
YAA uses third-party platforms to facilitate its services, including but not limited to:
Enrolments and communication (Class Manager)
Payment processing (Stripe or other authorised platforms)
These platforms maintain their own privacy and data security policies. YAA selects providers who demonstrate compliance with Australian privacy standards.
External websites linked from YAA platforms are not governed by this policy.
