YOUNG ACTORS ASSEMBLY (YAA) TERMS & CONDITIONS

These Terms and Conditions outline the responsibilities, expectations, and legal agreements that apply to all students and families participating in Young Actors Assembly (YAA) programs. By enrolling in any YAA program, including classes, retreats, workshops, and filmmaking projects, you agree to comply with the following conditions. This document ensures transparency around enrolment, payment, cancellations, conduct, intellectual property, privacy, and child safety. Please read carefully before signing or completing enrolment.

In these Terms and Conditions:
- “YAA” means Young Actors Assembly.
- “Participant” means the student enrolled in a YAA program.
- “Parent/Guardian” means the legal parent or guardian of the Participant.
- “Program” includes all weekly classes, annual courses, retreats, masterclasses and holiday workshops offered by YAA.
- “Commencement Date” means the official start date of the relevant program.

1. Cancellation and Student Absence

1.1) No refunds will be given upon commencement of programs.
1.2) No refunds or credits will be issued for missed classes regardless of reason. Refunds are only issued if YAA cancels a class and an alternative is not offered.
1.3) YAA reserves the right to cancel classes. YAA will offer a refund, credit or request that the participant attend an alternative class of the same value as the class cancelled. YAA accepts no liability for any other costs.
1.4) Any cancellations received five days from course commencement will incur a 20% cancellation fee.
1.5) Creative Kids Vouchers are valid within one calendar year.
1.6) We do not accept substitution of participants without notifying YAA in writing, as participants must be eligible for the course.

2. Conditions of Enrolment and Participation

2.8) All scripts, recordings and works created during YAA programs are either wholly owned by YAA or jointly owned as outlined in student project agreements. Participants may not distribute, monetise, or represent work as their own without written consent from YAA.

3. Payments

3.1) Prices displayed on the website are in Australian Dollars.
3.2) Early Bird Discounts only apply to our Weekly Classes, not Annual Programs. The discount is only available if fees are paid within the early bird period.
3.3) All annual programs are based on an agreement to pay 11 monthly instalments.
3.4) Upon setting up monthly instalments, you agree to the ‘Stripe’ payment gateway to request funds from your nominated bank account.
3.5) YAA reserves the right to pass any fees charged to the customer by the credit card and payment gateway company.
3.6) Payment is complete when all funds have been paid, received and cleared.
3.7) A warning will be issued if payment is not received as scheduled. After two warnings, YAA may add a $20 late fee to the following month’s payment.
3.8) Failure to pay may result in YAA undertaking debt collection proceedings.
3.9) You agree to pay all legal and administrative costs associated with debt recovery.
3.10) Monthly tuition instalments must be paid in advance each month for 11 months.
3.11) Participants in arrears may not attend YAA programs or retreats.
3.12) If you breach these terms or act disruptively, YAA may suspend or terminate your enrolment without refund.
3.13) Refunds are not provided for a change of mind. Statutory rights under Australian Consumer Law are not excluded. 3.14) If you withdraw within five business days of the Commencement Date, you must notify YAA in writing. Otherwise, you remain liable for the full Annual Tuition Fee.

4. Safety and Wellbeing

All reasonable precautions will be taken to prevent accidents and injury.

5. Child Safety and Studio Code of Conduct

YAA upholds the National Principles for Child Safe Organisations and maintains a strict Code of Conduct to ensure the safety and wellbeing of all students. Parents, guardians, and participants must uphold respectful communication, punctual attendance, appropriate attire, and contribute to a safe and inclusive environment.

Breaches of this Code, including bullying or disruptive behaviour, may result in immediate removal from the Program without refund.

6. YAA On Location – Holiday Workshops

6.1) Full payment is required with enrolment.
6.2) Refunds are only issued if cancellation is made at least 14 days prior to the workshop, minus a $20 administration fee. Cancellations within 14 days are non-refundable. In the case of illness, credit may be issued at YAA’s discretion.
6.3) YAA may refuse admission to any person who poses a disciplinary problem or safety threat. Bullying or inappropriate behaviour will result in removal without refund.
6.4) Parents/Guardians consent to YAA photographing or recording their child for archival or promotional purposes.
6.5) All media may be used in marketing, publications, and online platforms unless written withdrawal of consent is received.
6.6) Bounced payments will incur a $20 administration fee and must be rectified by direct deposit.
6.7) YAA reserves the right to change workshop timetables and pricing at any time.
6.8) Participants agree to the same conditions outlined in sections 1–5, adapted for workshop format.

7. Filmmaking Module – Casting and Screen Time


Young Actors Assembly short films are created to ensure all participants receive shared screen time. The creative and casting process does not prioritise line count or number of speaking parts. Instead, each role is written to serve the story and provide equal opportunity for on-camera presence, experience, and collaboration.

We do not accept complaints or disputes related to perceived imbalances in line allocation. By enrolling in the Filmmaking Module or any YAA screen project, you acknowledge and accept that casting decisions are final, and all roles contribute meaningfully to the ensemble-driven nature of the work.

8. Confidential Information

The confidentiality of proprietary information and YAA’s operational practices is paramount. All information shared, including program design, teaching methodologies and internal communications, must not be disclosed or shared by any participant, guardian, or staff member.

This obligation begins on enrolment and survives the termination of participation.

9. Disputes

YAA encourages resolution of disputes through mediation or arbitration before legal action is pursued. If litigation is necessary, the agreement will be governed by the laws of New South Wales, Australia.

This clause applies to all contractual relationships with YAA.

10. Force Majeure

YAA is not liable for failure to deliver services due to events beyond its control, including but not limited to acts of God, pandemic restrictions, natural disasters or government-mandated shutdowns. In such cases, credits or rescheduled programming will be offered at YAA’s discretion.

11. Online & Digital Delivery

YAA reserves the right to deliver classes online via secure platforms if required. Enrolment constitutes acceptance of both in-person and digital delivery formats.

Participants are expected to follow the same conduct guidelines in virtual environments.

12. Privacy Policy

YAA is committed to protecting your privacy in accordance with the Privacy Act 1988 (Cth). Personal information collected during enrolment is securely stored and used solely for the purposes of delivering our Programs and communicating with you.
