Terms and Conditions

Zoe’s Dance Academy have policies and procedures set in place. Below is an overall guide from our ZDA Team. All Students and Families must comply with the Policies and Procedures.

  1. FEES - Account Details - Name: ZOE E HAYWARD BSB: 112879 Acc No: 412937991 

1.1All fees must be paid by week 6 of each term.                                                                                                                                1.2All fees are to be paid in full within the first 6 weeks of term. If fees are not paid the customer will incur a 10% interest on total term fees. Any customer who has not paid previous term fees in full by the commencement of a new term will not be able to attend any further classes until fees are paid.                                            1.3Incentive to pay full term fees by week 4 will be entered in our end of year raffle at our Showcase.                                            1.4Customers may request weekly payment to be paid on agreed allocated day. If fees become two weeks in arrears customer will incur a 10% interest on total term fees and each week thereafter.                                                                                                         1.5All remittance for Direct Deposit must be followed by an email for record to [email protected]. This provides a record for your fee payment.                                                                                                                                         1.6Once Students commence a term they are committed to paying full fees until the end of term. If a student leaves the studio within the term all fees for that term including private lessons must be paid. No refunds will be given. We require notice in writing via email ([email protected]) for any child who wishes to leave the studio, fees to be paid up to the end of the current term. 1.7All lessons are to be paid for unless specified by the director.                                                                    1.8No lessons will be made up in the case of a student absence. If the studio is unable to run a class on the normal day the class will be rescheduled or an alternate class will be made available.                                                                                                                1.9Private lessons will be forfeited if the student CAN NOT attend their scheduled time slot. If the private lesson does not go ahead due to teacher or studio, this will be made up at a later date or credited. All private lesson credits will be added to customer accounts. If a private lesson has been rescheduled by the studio and the student can no longer attend or does not show up, the student forfeits the lesson.                                                                                                         1.10 All fees are subject to increase at the discretion of management.                                                        1.11Fees may be adjusted at the discretion of management.                                                                    1.12In the event of a lockdown or government restrictions classes will resume online. No refunds will be given on classes. In the event classes can not be held online students will be credited onto the next term. 1.13You are responsible for Additional coststhat occur on top of fees such as Rehearsals, Costumes, Extra lessons and Choreography classes. All students require a costume for each class for our end of year concert and including opening and finale performances. Parents/ Guardians will be required to pay non-refundable Concert deposits by the end of each term which will be added to term invoices. Details given in Term Newsletters. Concert & Costume Packs are non- refundable.                                                                                             1.14If accounts are found in arrears you will be obligated to sign a Promise to pay agreement with set out guidelines of responsibilities to pay.                                                                                                                         1.15Lessons are to be paid in full whether you attend or not.                              1.16You are responsible for Additional costs that occur on top of fees such as Rehearsals, Costumes & Extra lessons. Also Choreography classes (Intermediate & Senior classes only)                                                                                                 1.17All students require a costume for each class for our end of year concert. 

2. CONDUCT & DUTY OF CARE

2.1Students and Families are to be polite and respectful to all teachers, assistants and fellow students/peers.2.2Students are expected to keep their possessions clean and tidy at all times, leaving no rubbish or food scraps. 2.3 Students are expected to arrive to class on time 10mins prior to their lesson in order to warm up. Students are to warm up quietly until their class starts and not distract class being held.                                                                                                         2.4Students are to be picked up on time at the end of their classes. Parents are to be at the door of the hall to collect their children. Once child has left the premises they are out of ZDA’s care.                                                                                                         2.5    Please keep disruption of classes to a minimum, if you need to speak to the teacher it is preferred you to email them  before class and not interrupt the class.Email: [email protected]. Please note phone calls during class times will not be answered as we are busy! If communication is urgent please message Staff on 0412989960 and we will endeavour to get back to you. 2.6Students must bring their own water bottle to every class! Strictly no sharing!!                                                             2.7Unless expressed by staff, please no parents are to come into hall to watch classes as this distracts the class. We also ask that no photos or videos be taken during class by parents or students unless requested by staff. 2.8Students and Families are expected to be supportive of others, any incident involving bad sportsmanship, bullying or any other negativity of the sort will not be tolerated.                                                                                                                         2.9     Students are to be aware that they are representing ZDA at all times while in their uniform. Students should be well presented and studio uniforms must be worn at all dance competitions and events. 2.10Students and Families are to be mindful of what they post on Social Media. Inappropriate behaviour, language, photos etc will not be tolerated and could result in students and families being asked to leave the studio. 2.11Any student asked to leave the studio will not be entitled to a refund of fees previously paid. The full term fees will still be payable.2.12Students and Families are to respect the Staff privacy and must refrain from contacting staff on personal phone numbers, emails or social media. Please direct all contact through the studio email, phone or personal message Facebook page group.2.13The studio offers duty of care when the student is in the studio but cannot be responsible for the student after they have left the premises. If there is no teacher present at the studio the student is not the responsibility of the studio. 2.14Private possessions brought to the studio are the responsibility of the student concerned. ZDA cannot be held responsible for any loss or damage to personal possessions.                                                                                                                2.15 No student is to wait outside the premise, day or night. If parents are not at the studio on time all students are to wait inside the studio and parent is to come inside to collect the student when they arrive. 2.16Students are to be aware of the studios Health and safety plan and comply. (Including Covid Plan)

3. ATTENDANCE

3.1Students are expected to attend all classes that they have enrolled in.                                                            3.2Please email Admin if your child is going to be absent, and give notice if your child is going on holidays or will be away for two weeks or more.                                                                                                                3.3Students involved in Show Groups, Eisteddfod Groups or Concerts are expected to attend all scheduled rehearsals and associated days.                                                                                                                                3.4All students must attend the full schedule of rehearsals for any performance.                                                               3.5Teachers reserve the right to exclude students from performances if all rehearsals aren’t attended.

4. CONTACT DETAILS

4.1Please notify ZDA Admin of any changes to your contact details, including address, phone number and email. This is essential to maintain communication between the studio and the family.                                                                                                                      4.2    Please note that all contact information is confidential. 

5. UNIFORM 

5.1Care should be taken in personal presentation, both at studio and travelling to and from the studio.5.2Uniform is available to purchase is is preferred attire for all classes at ZDA.                                                            5.3Students are required to have their hair neat and tidy to attend class eg. Hair tied up and out of face. 5.4In the interest of safety no jewellery or watches are to be worn during class as may cause injury to other students or themselves. Optional uniform available for purchase. Simple stud earrings are acceptable.5.5Students are required to wear appropriate footwear according to class enrolled. 

6. PARENTS

6.1Please note Zoë and staff do not take Parent meetings. All enquiries, issues, concerns are to be forwarded via email, [email protected] marked “CONFIDENTIAL” If ZDA Staff feel that the issue can’t be resolved via email they will request a meeting with the student/parent. The meetings will be only conducted with two staff members (no one on one meetings will occur) The meeting will be conducted in the students private time slot with no credit or refund to be given.                                     6.2Parents should show respect and courtesy to staff at all times.                                                                  6.3 Parents are encouraged not to hang around in the studio. ZDA prefers a drop off/pick up system. The foyer area is for a parent to sit in while class is on. Tiny Tot parents only are permitted to stay and wait for their children in the foyer area.6.4 On days when the studio is busy, e.g. full dress rehearsals and photo day please do not enter the premises.6.5 Male parents/siblings/friends must leave any area in which female students are changing.                                                   6.6 Parents are to refrain from talking to staff between lessons as you may disrupt the schedule. Please message/email Zoë if you need to talk to a staff member directly.                                                                                                                                6.7Parents are to be aware of the Studios COVID-19 Health and Safety Plan and comply.


7. GROUP COSTUMES

 

7.1 No student is to wear a group costume for a solo without consent of director.

7.2 All hired costumes are to be returned to the studio after each performance.

7.3Studio costumes are not to be used for any outside activities including photo shoots without permission from the studio.7.4End of year concert costume deposits will be payable with each term fees. These are not refundable and will come off the total cost of the end of year concert costume invoices. If Student ceases dancing during Term 4, Costume balances are the responsibility of the fee payer.

7.5Parents should anticipate costume invoices prior to performances. Invoices may be issued at late notice and it is up to the parents to be aware of how many routines their child is in and budget accordingly.

7.6In the event that a student cannot perform in a group performance and a costume has been made for that student, that student is liable for the full price of that costume. If another student is required to wear the group costume then a hire fee may be charged to that student.

7.7A 10% late fee will incur on total costume amount if costume invoices are not paid by the due date.

7.8Group costumes are to be kept in good condition. Any damage to costumes will incur a fee. In an event that the costume is unusable and needs to be replaced, students will be liable to pay the full original purchase cost of the costume.

 

8. EXAMINATIONS

 

8.1 Students will take exams at the discretion of the teaching staff. Students will not be sent for an examination unless they are at the required standard of the teaching staff.

8.2 Students committing to examinations are responsible for any costs incurred by ZDA or the Organisation.

8. 3 Students must attend all exam classes to be eligible to sit an exam.
